# Build an AI second brain in one 90-minute session.

You ask an assistant about a client project. It asks who the client is, what the project covers, and where it stands. The answers exist in your notes, email, and documents, but the assistant cannot see any of them.

A second brain holds what you know so that you do not have to remember everything. For a person, that means a note system. For an AI assistant, it means files that hold your context and a master file that says where to look.

This setup takes one sitting. You create a folder structure, write one master file that the assistant reads every session, and move your existing information into place.

## Understand the core idea

An AI assistant starts every conversation with no memory of the last one. It does not know your business, your preferences, your processes, or your projects.

A second brain for AI stores that context in Markdown files. One master file, `CLAUDE.md`, says who you are, what you do, and where to find specialized information. Claude Code reads `CLAUDE.md` at the start of each session.

When you ask for help with a client project, the assistant reads `CLAUDE.md`, sees that a `clients` folder exists, and opens that client's file. You do not explain. The assistant reads.

## Minutes 0 to 15: create the folder structure

Set a timer. This is scaffolding, not a research project.

Create four top-level folders:

| Folder | What it holds |
|---|---|
| `projects/` | Active work with deadlines |
| `processes/` | Repeatable workflows |
| `clients/` | Client-specific context, if you have clients |
| `reference/` | Background information the assistant may need |

Each folder holds one type of information. That separation tells the assistant where to look before it opens a file.

## Minutes 15 to 45: write CLAUDE.md

`CLAUDE.md` is the master file. It lives in the root folder, and the assistant reads it first.

Write five sections:

1. Identity: your name, role, and company; what you do, who you work with, and what you are responsible for.
2. Schedule: when you are available, when you have fixed meetings, and what a typical day looks like. The assistant cannot plan around a conflict it does not know.
3. Projects: one line per project, with a status of active, paused, or waiting.
4. Tools: the names of your CRM, email system, and project management software.
5. Preferences: report format, tone for client email, and whether you want tables or summaries. These are defaults, not rules.

End the file with a folder index that tells the assistant where to look:

The last line matters. It makes a missing file visible instead of filling the gap with an invented answer.

## Minutes 45 to 75: move your existing files in

Go through your documents, notes, email, and bookmarks. Move the relevant material into the folder structure.

Do not rewrite anything yet. Move it as it is.

- A process document in Google Docs: export it as Markdown and put it in `processes/`.
- Client notes in email: copy them into one Markdown file per client in `clients/`, named for the client.
- Project specs spread across Slack, Notion, and your desktop: gather them into one folder per project in `projects/`.

Check what you move. Client files belong in the second brain only when the assistant needs them for the work. The [client data guide](/articles/client-data-in-ai-agent-memory) lists what to keep out.

## Minutes 75 to 90: test the setup

Open Claude Code in the root folder. If you use Obsidian, the [Claude and Obsidian connection guide](/articles/connect-claude-obsidian-business-memory) shows how to give Claude access to one folder instead of the whole vault.

Ask three questions that need your files:

1. "What is the status of the [project name] project?"
2. "What is our process for onboarding a new client?"
3. "Summarize the notes for [client name]."

If the assistant answers correctly without an explanation from you, the second brain works. If it asks a clarifying question, note the missing fact and add it to the correct file. Then ask again in a new session.

The test usually fails in one of three ways, and each failure has one fix:

| Failure | Cause | Fix |
|---|---|---|
| The assistant asks which client you mean | The folder index in `CLAUDE.md` does not match the real file names | Correct the path pattern under `Where to look` |
| The answer gives an old status | The project file still holds last month's status | Update the file, and put a date on the status line |
| The answer invents a process step | The process file is missing, and the assistant filled the gap | Add the file, and keep the "say so" line in the folder index |

Run a fourth test on purpose. Ask about a client that has no file. The correct answer is a report that the file is missing. A confident answer about that client means the assistant fills gaps. In that case, move the "say so" rule nearer the top of `CLAUDE.md` and test again.

## Name files so the assistant can find them

An assistant that lists a folder sees file names before it opens any file. Descriptive names make the correct file easy to pick.

Use kebab-case, which is lowercase with hyphens. Write `client-acme-corp.md`, not `Client Acme Corp.md` or `clientAcmeCorp.md`. One consistent pattern gives consistent search results.

Start each name with its category: `project-website-redesign.md`, `process-invoice-approval.md`, `client-north-industries.md`. The prefix groups related files in a directory listing.

Avoid generic names. `notes.md` tells the assistant nothing. `meeting-notes-2026-01-15.md` says this is one meeting on one date.

Add dates where time matters, such as `report-q4-2025.md` or `contract-signed-2026-01-10.md`. A date gives the assistant temporal context.

## Put the correct content in each file type

Each folder needs different information.

| File type | What to include |
|---|---|
| Project file | Goal, deadline, stakeholders, status, current blockers, next actions, deliverables, links to related files |
| Client file | Company name, contact names and roles, contract terms, communication preferences, project history, open issues, renewal dates |
| Process file | When to use the process, step-by-step instructions, decision points, required tools, expected timeline, owner |
| Reference file | Product specs, brand guidelines, code snippets, templates, research |

A synthetic client file shows the shape:

A person can read this file in ten seconds. The assistant can read it and draft the Friday summary without a question.

Keep all credentials out of the second brain: passwords, API keys, and access tokens. If a task needs a credential, name where it lives, such as a password manager entry, and never write its value. The files stay on your disk, but the text Claude Code reads from them goes to Anthropic for processing. Retention terms depend on your plan.

## Maintain the second brain

Add information when you notice a gap. If you explain something to the assistant and realize it should already know it, write it into the correct file at once.

Update a project status when it changes. When a project moves from active to paused, change the file. The assistant cannot help you set priorities if it thinks every project is active.

Archive completed work. Create an `archive/` folder and move finished projects there. The active folders stay focused.

Review `CLAUDE.md` once a month. Your role, projects, and preferences change. The master file must reflect the current state, not last quarter's state.

Do not wait for a perfect system. A second brain that holds most of your context still saves you from explaining everything in each session.

## Know when the second brain works

The second brain works when you ask for something and the assistant does it without follow-up questions, clarifications, or requests for more context.

You stop opening requests with background. You stop writing "As I mentioned last time," because the assistant already has the fact in a file.
