# Google Docs vs Obsidian for AI Business Memory: Collaboration or Custody.

A team updates its pricing policy in Google Docs. The recurring agent still reads a Markdown export made last month. It prepares a client quote with the old exception, and nobody can prove which copy controlled the answer.

The failure is not that Google Docs or Obsidian is bad. The team used collaboration and custody as if they were the same job.

Google Docs is strong when several people must edit, suggest, comment, and approve in one familiar surface. Obsidian is strong when the business needs files it can inspect, search, back up, version, and give directly to different agent tools. The buying decision is where the authoritative record should live and how accepted changes cross that boundary.

## The decision is collaboration versus controlled custody

Google documents live as native objects in Google Drive. Google provides sharing roles, comments, suggestions, and version history. Editors can inspect who changed a document and restore or copy an earlier version. Obsidian defines a vault as a folder on the local file system. Notes are files that other editors, backup tools, version-control systems, and local agents can read without first converting a cloud document. Sync is optional and separate from the local vault. This creates a useful division:

- Use Google Docs for live collaboration and formal review when the team already works there.
- Use Obsidian for a maintained operating record when direct file access, model replacement, and inspectable change control matter.
- Use both when accepted changes move through a named promotion step.

## How each tool stores the record

A Google Doc has a stable Drive identity, access list, current content, comments, suggestions, and product-managed history. The business can download a document in common formats. Google Takeout can also export Docs content, comments, suggestions, named revisions, and other supported data. The exported archive is still a transfer artifact, not a live Google document. An Obsidian note is normally a Markdown file inside a folder. The current content can be opened with an ordinary text editor. Attachments can sit beside the note. A Git repository can record selected changes, although Git protects only tracked files. A backup can copy the folder, although a copy is trustworthy only after a restore test.

Neither storage model declares truth on its own. A current-looking document can still contain an unapproved decision. Add authority fields such as owner, status, effective date, source role, and review date.

## Compare the two tools feature by feature

A comparison written in January 2026 set the two products side by side. Treat each row as a dated observation, and check current plans before you decide.

Gemini in Docs also worked with Gmail and Drive. It could summarize email from one sender or pull figures from a spreadsheet during the session. It did not carry that context into the next session, and it could not follow a network of linked notes. Docs also supports voice typing, translation, comments, and more than 25 languages.

Obsidian asks more of the people who use it. Collaboration happens through a shared folder, Dropbox, or Git, without live cursors, in-line comments, or @mentions. Setup includes a vault, a sync choice, themes, and plugins. Staff who do not know Markdown learn its syntax while they take notes. Google Docs opens and accepts typing at once.

The same comparison framed the difference as built-in AI versus AI that reads your files. Gemini lives inside Docs. Claude Code reads the vault folder, including a `CLAUDE.md` file with the business context, at the start of each session. The vault files stay on your disk, but the text a session reads goes to Anthropic for processing.

## Which tool gives an agent predictable access

Predictable access means the agent can locate the intended source, verify its identity, read the current version, and report what it used.

An agent can reach Google Docs through a product connector, Drive API integration, browser session, or exported copy. Each route has different permissions and freshness. The task brief should name the route. “Read the policy” is insufficient when both the native Doc and last month's export exist.

An agent with filesystem permission can read an Obsidian Markdown file directly. That route is easier to inspect, but broad folder access can expose unrelated clients, archives, credentials, or private notes. Give the job a manifest rather than the whole vault.

## Version history, authority, and corrections

Google Docs version history is useful evidence for collaborative change. It can show editors and changes, and an editor can restore an earlier state. That history remains inside the Google product and depends on access to the native document.

Obsidian does not create an audit trail merely because files are local. Add version control or another history mechanism if change attribution matters. Record accepted corrections in a durable correction log rather than relying on an agent to infer the latest intent from file timestamps.

Use one rule in either tool: an accepted decision record outranks chat, comments, drafts, and old exports. When two records have equal authority and conflict, the agent stops.

Run the comparison against one recurring job and record evidence instead of impressions.

The scorecard separates product capability from tested business behavior. A connector shown in a marketing page is not a pass until the actual account can read the exact source and produce a receipt.

## Permissions, backup, offline use, and transfer

Google Docs offers viewer, commenter, and editor roles. That makes collaboration control visible to nontechnical teams. Workspace administrators may also apply organization policies. Export availability can depend on account type and administrator settings.

Obsidian inherits filesystem, device, sync, and repository permissions. This can be flexible, but the owner must design it. A copied vault on an unmanaged laptop may be a larger exposure than a restricted shared Drive. Local custody is not automatic security.

For transfer, test what survives without the original interface. Download the Google source and inspect content, comments, suggestions, and identifiers that matter. Copy the Obsidian vault and restore it into a clean folder. Give both artifacts to a fresh model with the same brief. The expected business answer should survive even if formatting changes.

## When Google Docs should remain the collaboration surface

Keep the native Doc in control when the job depends on simultaneous editing, suggestions, comments, familiar sharing, or an established Workspace approval process. Do not force staff into a local-file workflow merely to satisfy an architecture preference.

If the agent reads the Doc, require its Drive identity, access route, and last-verified date in the task record. If the agent reads an export, label the export date and make stale copies fail acceptance.

## When Obsidian should become the memory layer

Use an Obsidian vault when direct files, offline inspection, cross-model access, local search, and buyer-controlled backup are central requirements. Keep the source set narrow. Put current facts, decisions, corrections, task briefs, and receipts in named paths.

A hybrid is often the cleanest answer. People collaborate in Google Docs. An owner approves the change. A controlled job promotes the accepted decision into the Markdown record. The receipt links both objects and records their hashes or revision identifiers.

The flow also runs the other way. Keep SOPs, client records, and frameworks in the vault. When a team must edit one of them together, copy it into a Google Doc for the live session. When the Doc is final, export it to Markdown and replace the vault copy through the same promotion step. Choose by the job. Google Docs fits live team editing, AI help inside one document, and instant sync across devices. It also fits teams already in Google Workspace that do not need context between sessions. Obsidian fits a knowledge base that an agent must read across sessions, local control of files, several AI tools, and collaboration that can be asynchronous.

The choice matters less in two cases. For casual, low-consequence use, pick the interface your team prefers. If the organization has standardized on one platform under contract, work within that platform's controls.

## Run the source-and-correction test

Use synthetic business data and perform these checks:

1. Create the same policy in a Google Doc and a Markdown file.
2. Add an older price to an archive and a current price to the approved record.
3. Correct one sentence in each current source.
4. Run the same task through the intended agent route.
5. Confirm the output uses the current price and correction.
6. Remove access to the current source and confirm the job stops.
7. Export or copy the record into a clean environment.
8. Ask a replacement model to locate the controlling decision.
9. Restore one prior version, then return to the accepted current state.
10. Save a receipt naming the object ID or file path read.

Pass means both people and the agent can identify the controlling source. It does not mean both tools need identical scores.

## Approval and stopping boundary

The comparison may create synthetic documents, test read-only access, export test copies, restore a fixture, and draft a proposed promotion rule.

It stops before widening Drive sharing, granting a connector access, exposing an entire vault, deleting version history, moving live client records, changing backup policy, or declaring a new authoritative system. The record owner and system owner approve those changes.

It also stops when the native document and exported file disagree without a written precedence rule. The agent reports both identifiers and the conflict.
