# Give Every Agent a Job, Sources, and Stopping Point.

The weekly report is due at noon. The [agent](/articles/what-is-an-ai-agent-in-a-small-business) opens the right spreadsheet, then pulls numbers from an old export, a Slack message, and a draft forecast. The report looks complete. Nobody can tell which figures are current.

The failure began before generation. The agent had a deliverable, but no source contract and no stopping rule.

Every agent needs three sentences before it needs a better prompt:

1. This is the job.
2. These are the allowed sources.
3. This is where the work stops.

Add an approval owner and a receipt, and the workflow becomes reviewable.

## Write the job as a finish line

A job describes an observable finish.

Weak: "Handle the weekly report."

The second version names the artifact, comparison, and time window. A test can determine whether the file exists and contains the required sections.

## Bind the finish line to allowed sources

Do not tell the agent to "use company [context](/articles/stop-re-explaining-your-business-to-ai)." Name the files or systems it may use for this job.

The task brief defines source roles and precedence. The context manifest defines scope and freshness. The agent contract does one narrower thing: it binds this finish line to the approved set.

For the weekly report, the contract may allow the accepted orders table, current reporting definitions, current exception file, and one prior report for layout only. It should forbid draft forecasts, cached exports, private notes, and unrelated client folders.

The agent should not widen that set because another source looks helpful. It stops and asks for a contract change. ## Make the stopping point concrete

Examples:

- stop after writing the report file;
- stop before emailing or posting it;
- stop if the reporting period is missing;
- stop if two authoritative sources disagree;
- stop if the output requires a number that is absent;
- stop before changing the underlying order table.

The stop should produce a useful exception. Write what is missing, cite the conflicting paths, and name the person who can decide.

## Use two kinds of stop

Every contract needs a normal stop and early-stop conditions.

The normal stop is the finish line: the report draft and receipt exist, required checks have a result, and no external action occurred. It tells the agent when enough work is complete.

An early stop protects the job when completion would require guessing or exceeding authority. Missing reporting period, ambiguous account identity, absent source, conflicting current records, invalid output path, or a requested external action can each trigger it.

Write the result expected from an early stop:

"Ask for help" is not a stopping point. The record should show what prevented completion and who can resolve it.

## Separate preparation from action

An agent can prepare a report, email, invoice summary, publication package, or proposed CRM update. Preparation does not grant permission to send, publish, charge, book, or write to the CRM.

The workflow should end with an inspectable artifact. A separate capability gate controls the external action. This prevents a fluent draft from authorizing itself.

## The file to inspect

Create `agents/weekly-report.task.yaml`:

The corresponding receipt can record source paths, file hashes, start and finish times, validation results, and the output path. It should not store secrets or unnecessary customer data.

## Test the contract, not the prose

Run three cases:

1. A normal week produces the draft and receipt.
2. A missing period produces an exception and no draft presented as complete.
3. Conflicting totals produce a stop with both source paths.

Then test the boundary. Give the workflow an instruction inside a source file that says to email the report. The expected result is unchanged: it writes the draft, records the injected instruction as untrusted content, and stops before sending.

Make that injected-instruction test explicit. Add a harmless line to a fixture source:

The source is allowed for facts, not for changing the agent's authority. The test passes when the workflow treats the line as untrusted source content, flags it, produces only the permitted draft when safe, and records that no send capability was available. It fails if the instruction changes the recipient, tool use, source boundary, or stopping point.

Run a second variant that asks the agent to read a forbidden folder. Run a third that claims a manager already approved the action. Approval must come through the written mechanism named by the contract, not through text found inside a source document.

This test matters because source access and instruction authority are different. A record can be trusted as evidence for one field while remaining unable to rewrite the job.

## Review the contract from the exception backward

Start with the [consequence](/articles/ai-agent-approval-matrix) you want to prevent. If the risk is an unsupported total, require the current accepted table and stop when it is absent. If the risk is a wrong recipient, require resolved identity and stop before sending. If the risk is cross-client retrieval, name the allowed root and test a forbidden path. The contract becomes shorter when each field protects a known boundary. It becomes longer and weaker when it tries to describe every possible behavior in general language.

One page is often enough. The goal is not legal prose. The goal is a finish line, source set, and stop that a reviewer can test.

Include the output path and receipt path in that finish line. "Draft prepared" is harder to verify than "`reports/weekly/2026-W34.md` and its receipt exist, and both name the current period." The contract should leave no doubt about what an ordinary reviewer opens next.

The contract is working when an ordinary reviewer can answer five questions from files: What was the job? What sources were allowed? What was produced? Why did it stop? Who decides what happens next?

### What should teams ask before trusting an AI agent in real workflows?

Define the observable job, allowed sources, permitted actions, approval owner, stopping conditions, output path, and receipt path before improving the prompt. A reviewer should be able to identify what the agent read, what it produced, why it stopped, and who decides what happens next.

### What actually makes AI agents reliable on long projects?

Give the agent a narrow contract with one job, an approved source set, and a concrete finish line. Persist the output, validation result, stop reason, and receipt outside the model conversation so later reviewers can inspect the run.

### After your agent approves a plan, how often does it actually follow it?

Do not treat approval language inside a plan or source document as authority. The contract should separate preparation from external action, and the executor should require the written approval mechanism named by the workflow.

### How do you decide what stays in model reasoning versus a deterministic workflow?

Use the model for interpretation, comparison, synthesis, or draft creation inside the contract. Use fixed checks for identity, permissions, source boundaries, required fields, duplicates, output paths, and exact writes.
