# Garage door and fencing AI rules: data, approvals, and spend

Write separate AI rules for garage door service and fence estimating. The same office can use shared cost controls while keeping different technical sources, reviewers, and stopping points.

Begin with one administrative function. Name what it reads, what it prepares, and who checks the result. Keep dispatch, ordering, account changes, and customer commitments outside the preparation permission.

The [garage door and fencing page](/for/garage-door-and-fencing-contractors) describes example jobs. This article proposes controls around them. It does not approve equipment, repair work, property boundaries, permits, or an installation method.

## Inventory customer and site information

The FTC recommends inventorying personal information and reducing it to business need. [FTC business data-security guide, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/protecting-personal-information-guide-business).

Map inquiry notes, customer contacts, equipment records, site measures, sketches, accepted proposals, material orders, and service history. Identify which source controls each field and who can authorize access.

Keep security-sensitive site details in a separate approved route. An office summary should not reproduce access codes, keysafe instructions, alarm details, or credentials. A drafting function should not receive them merely because dispatch staff can access them.

Ask whether the function needs a document reference or the document's contents. A material mismatch check may need product identifiers and status fields. It does not automatically need photographs of the customer's home or every historical service note.

## Approve input classes for the exact function

Use an input register that staff can check before a run. These are proposed boundaries for an initial office function.

| Input class | Proposed handling | Owner |
| --- | --- | --- |
| Public service area and office hours | Reusable approved business reference | Office owner |
| Door and operator identifiers | Named service task and current record | Service manager |
| Fence site measure and selected style | Named project and accepted version | Fence estimator |
| Survey, permit, and association documents | Reference only within separately approved review | Responsible project reviewer |
| Accepted proposal and material status | Read-only source for the named update | Production lead |
| Entry credentials and payment secrets | Excluded from model inputs and output files | System administrator |

Preserve the source's status. A homeowner's sketch is not automatically an accepted layout. A customer-estimated length is not a site measurement. A supplier estimate is not a confirmed delivery.

Require a hold when identifiers or versions disagree. The function should identify both references for staff. It must not choose the more convenient record or fill missing fields from another customer's job.

## Keep garage door safety decisions with qualified staff

The federal safety standard in 16 CFR Part 1211 addresses automatic residential garage door operators. Its scope should not become a blanket certification for every door, gate, or service visit. [16 CFR Part 1211, checked 2026.10.26](https://www.ecfr.gov/current/title-16/chapter-II/subchapter-B/part-1211).

For the proposed administrative function, prohibit repair diagnosis and customer repair instructions. Do not let it direct spring, cable, track, sensor, or operator adjustments. It can preserve the caller's description and route the question under approved company instructions.

Require the service manager or qualified technician to check any technical wording before use. A service record may document an action. The model should not convert that entry into a new statement that the door is safe.

Test a request asking the function to explain how to move a stuck door. The accepted result is the company's approved staff route, without improvised instructions. Keep the actual safety process with the responsible people.

## Keep fence layout and local approvals separate

North Carolina's surveying definition includes locating, establishing, or retracing property lines and boundaries. This is a state-specific professional framework. [North Carolina G.S. 89C-3, checked 2026.10.26](https://www.ncleg.gov/EnactedLegislation/Statutes/HTML/BySection/Chapter_89C/GS_89C-3.html).

For this office design, the function cannot determine a boundary from a photograph, sketch, or map. It can identify which approved document is present and which question needs the estimator or other responsible professional.

Treat permits, association conditions, utility information, and accepted layout as separate source decisions. Require the actual reviewer to supply the current project answer. Do not let a rule copied from another town settle the new project.

Use the [fence permit FAQ guide](/articles/fence-contractor-permit-website-faq) for the separate public explanation. Within the function, preserve the jurisdiction and source reference approved for the job. A general website statement is not an individual project approval.

## Approve scope, prices, schedules, and messages explicitly

The estimator checks proposed scope and price wording. Production checks material and schedule status. The service manager checks door-service statements. The account owner checks the customer and final destination.

Show the reviewer the exact job, source version, recipient, attachments, sending account, and final text. A new material selection or corrected measure requires a new preview when it changes the draft.

Keep a requested substitution separate from an accepted change. The function cannot select a different finish, panel, operator, picket, post, gate, or latch. It should report the mismatch and next decision owner.

Keep booking, dispatch, crew assignment, purchasing, charges, refunds, and sending disconnected from the first function. Test the absence of those permissions. A run receipt should identify preparation completed, rather than claim an external action occurred.

## Keep payment-card authentication data out

PCI SSC prohibits retaining card verification codes after authorization, including encrypted storage. [PCI SSC FAQ 1280, checked 2026.10.26](https://www.pcisecuritystandards.org/faqs/1280/).

For the office function, exclude card numbers, verification codes, bank credentials, and payment-account secrets from prompts and files. Use an approved invoice or payment-status reference when the task requires it. Keep payment handling in the accepted payment process.

Test with fictional secret markers in an attachment. Check the input path, temporary files, output, and receipt. Removing the marker from the final message does not demonstrate that the processing path rejected it.

If unexpected sensitive data appears, stop and alert the designated owner without repeating the values. That person applies the business's incident and records process. The function should not improvise disclosure or disposal decisions.

## Enforce budgets and test replacement models

Give service preparation, fence handoffs, and job updates separate model-spend allowances. Name a budget owner and alert recipient. Set a per-run maximum, input-size limit, and bounded retries.

Before a paid request, check remaining allowance and reserve the permitted maximum for in-flight work. Stop when another request cannot fit. Count failures and approved reruns in the spending total.

Each receipt should state the function version, source references, result, exact model identifier, and cost. Mark estimated costs and reconcile actual usage. Keep hosting and other services on separate cost lines.

Require a replacement model to pass the same source, safety, layout, approval, and budget tests. A provider change should preserve business-owned rules and records. It should not widen access or grant new actions.

## Test a change across the two trades

Create a fictional door job with one accepted product identifier and a material record showing another. Require a mismatch result for the service manager. The function should not infer compatibility or accept a substitute because its description sounds similar.

Create a separate fictional fence job whose latest sketch adds a gate. Leave the written selection unchanged. Require an estimator review before any proposed quantity, price, or customer update uses that change.

Run both examples through the same office account while preserving separate job identifiers and rules. Check that door-specific review instructions stay out of the fence result. Ask staff to locate the controlling sources from the receipts. This tests whether the shared office can keep different technical responsibilities intact.

## Train the people who handle exceptions

Run fictional examples for a normal inquiry, wrong address, missing measure, mismatched material, technical request, exhausted budget, and service failure. Ask the daily user to explain each result from its receipt.

Keep a visible no-work state when no eligible item exists. Keep a visible block when a source or approval is missing. Require staff to correct the controlling record and confirm the correction in a later run.

Use the [first-function guide](/articles/ai-native-garage-door-fence-first-functions) to choose the starting scope. Scale With Search builds one function with staff direction and final review. Read [AI systems](/ai-systems), then [send your brief](/work#send-your-brief) with the office task and its approval owners.
