Give the builder a written storage, access, and deletion plan. Start with the initial request. Ask operations whether staff need an attachment before speaking with the sender. Leave uploads for the approved later process when they do not help first contact. ## Name the document and its purpose List the documents the team is prepared to receive. Explain what staff use each one to review. Keep customer payment details, account credentials, and unrelated personal records outside the initial inquiry. Have operations approve the visitor instructions. State the accepted file types and limits beside the control. Give the sender another contact route when a required document cannot be uploaded. Keep the attachment decision separate from measurement units and shipment acceptance. ## Require controls beyond a filename check OWASP recommends allowing only necessary file extensions, checking file types rather than trusting the supplied Content-Type, and setting size limits. It also recommends generated storage names and storage away from the public web root where possible. Give those requirements to the implementer for a design appropriate to your service. Ask for a documented access model and review of the processing steps. Keep the public page instructions distinct from the server controls that enforce them. Do not accept a list of permitted extensions in the page copy as proof that the server enforces the same restriction. ## Define the file's route to staff Use this proposed worksheet before approving an upload feature: | Decision | Answer to obtain | | --- | --- | | Business need | Documents required for the initial review | | Accepted files | Approved formats, count, and size limits | | Storage | System that holds received files | | Access | Staff roles allowed to retrieve them | | Notification | How the quoting team learns a document arrived | | Retention | Approved retention period and deletion owner | | Failure | Sender message and staff handling for an incomplete upload | Ask whether notifications include attachments or links. Require the implementer to explain how the chosen route preserves the approved access limits. Keep received files associated with the correct inquiry. Require staff to distinguish a received attachment from a reviewed or accepted document. ## Test with small synthetic files Arrange checks in a controlled test environment. Use harmless files created for the test. Include an accepted format, an unsupported format, a file beyond the agreed limit, and an interrupted upload. Require useful errors and a way to correct the request. Confirm what happens to the rest of the inquiry when the attachment fails. Keep an incomplete upload from producing a misleading success message. Ask an authorized tester to request the test file without an authenticated session. Require evidence that the public destination does not expose the test document. Keep security testing within the implementer's approved plan. ## Accept the staff handoff Have the receiving team find the synthetic inquiry and open its approved test attachment. Compare the file association and reply details with the submission. Record who maintains the storage, permissions, and retention settings.
