# Pick the SEO tools your freelance business needs at each stage.

Many freelance SEOs pay for more tools than they use. A good part of a typical monthly tool bill is waste.

With three to five clients, you do not need enterprise subscriptions. You do not need five keyword tools when one does the job. You do not need a tool you open once a quarter.

This article gives a tool stack for each stage of a freelance business, says when to upgrade, and tests which tools earn their cost. It lists no prices, because tool prices change often. Where cost matters, it compares tools against each other, with pricing checked in March 2026. Check the vendor's pricing page before you buy.

## Sort tools into three groups

**Essential:** you cannot work without them. They cover audits, keyword research, and reporting.

**Optional:** they make you faster or improve the output. You can deliver without them, more slowly.

**Luxury:** they give specialists or high-volume operations an edge. Most freelancers do not need them.

## Stage 1: starting out

You learn the work, look for clients, and work on thin margins. Use free tools and entry-level plans.

### Essential

**Screaming Frog SEO Spider.** Crawls a site and finds technical problems: broken links, duplicate content, missing tags, redirect chains, and slow pages. Every new client needs a technical audit, and Screaming Frog is the industry standard. The free version crawls up to 500 URLs, which covers most small business sites. The paid license removes the limit and adds JavaScript rendering, Google Analytics integration, custom extraction, and scheduled crawls. Upgrade when you have three or more clients or sites over 500 pages.

**Google Search Console.** Shows the queries a site ranks for, with impressions, clicks, average position, indexing status, and Core Web Vitals. It is Google's own data, and every SEO report should use it. It shows only sites you have verified access to, so it cannot show competitors. It is free.

**Google Analytics 4.** Tracks traffic, behavior, key events, and traffic sources. You cannot measure SEO without it. It needs setup and has a learning curve. It is free.

**Google Keyword Planner.** Basic keyword research: search volume, competition, and related terms. It needs a Google Ads account, but you do not have to run ads. Without active ad spend, it shows volume in ranges, such as 1,000 to 10,000, instead of exact figures. It has no competitor analysis. It is enough for early keyword discovery.

### Optional

**Ubersuggest.** Keyword research, competitor analysis, link checks, and site audits. It sits between Keyword Planner and Ahrefs or Semrush, at a fraction of their cost. It suits freelancers with one to three clients. Skip it if you run only one or two projects a month.

**AnswerThePublic.** Maps question searches such as "how to choose a CRM." The free tier allows a few searches a day. You can do the same research by hand with People Also Ask.

## Stage 2: building momentum

You have four to six steady clients. Time saved now turns into more clients or higher rates.

### Essential upgrades

**Ahrefs or Semrush.** A full SEO platform: keyword research, competitor analysis, link data, site audits, rank tracking, and content analysis. Free tools hit a ceiling here. You need competitive data, link data, and reliable keyword metrics.

Choose by focus. Ahrefs is known for strong link data and a clean interface, which suits link building. Semrush is known for keyword research, content tools, and PPC data, which suits content and keyword strategy. Both are strong. **Screaming Frog paid license.** Upgrade when you audit four or more sites a quarter or work on ecommerce or other large sites.

**Looker Studio.** Builds automated dashboards from GA4, Search Console, and other sources. Manual reporting takes one to two hours per client per month, so automation saves many hours across five clients. It is free. ### Optional

**Surfer SEO.** Analyzes top-ranking pages and recommends terms, length, headings, and structure. Useful when you write or manage writers. Less useful when experienced SEO writers produce the content.

**Loom.** Records screen and camera video. A five-minute weekly update shows clients the work and supports retention, which makes Loom one of the cheapest retention tools you can buy.

**Grammarly.** Grammar, spelling, tone, and plagiarism checks for content and client reports. Skip it if an editor reviews your work.

## Stage 3: scaling

You have five to eight clients, some on large retainers. You delegate execution and focus on strategy. Tools must support collaboration and more complex work.

### Essential upgrades

**A higher Ahrefs or Semrush plan.** More tracked keywords, more audits, and team access for six to eight clients with complex needs.

**Clearscope or MarketMuse.** Content optimization with language analysis: topics, terms, and structure based on top-ranking pages. At 15 to 30 articles a month across clients, it improves quality and cuts revision rounds. Clearscope is simpler and suits writers. MarketMuse is more strategic and suits content strategists. **A project management tool.** Asana, ClickUp, or Trello, each with a free basic tier and low-cost paid plans. Six to eight clients without one means missed deadlines and forgotten tasks.

### Optional

**BuzzStream or Pitchbox.** Outreach management for link building: prospects, emails, replies, and follow-ups. Useful above about 20 outreach emails a week. Below that, Gmail and a spreadsheet work.

**AgencyAnalytics or DashThis.** White-label reporting with automated dashboards. Looker Studio is free and capable, so pay only for white-label branding or faster setup.

**Zapier.** Connects tools. For example, a new form lead adds a row to a Google Sheet and posts to Slack. Useful only with complex, repeated workflows.

## Stage 4: advanced consulting

You work with two to four large clients or run big consulting projects. Tools support a team, deeper analysis, and differentiation.

### Essential upgrades

**An Ahrefs or Semrush agency plan.** More projects, team seats, white-label reports, and API access.

**A custom reporting stack.** Combine four sources. GA4 gives traffic and conversions, and Search Console gives rankings and impressions. Ahrefs or Semrush gives links and tracked keywords. CRM data shows which organic leads became customers. Supermetrics pulls these sources into Google Sheets or Looker Studio. Google BigQuery, which has a free tier, stores large data sets.

### Optional

**Crazy Egg or Hotjar.** Heatmaps, session recordings, and behavior analysis for conversion work on organic landing pages. It complements SEO and is not core to it.

**Proposify or PandaDoc.** Proposals with e-signature, tracking, and templates. Worth it once you close several new deals a quarter.

## Test every tool with four questions

Before you subscribe, ask:

1. **Does it save time?** If Surfer cuts edit time by two hours an article and you edit ten articles a month, you gain 20 hours. At your hourly rate, those hours are worth far more than the subscription.
2. **Does it improve the output?** If Clearscope moves articles from an average position of 15 to 7, and that multiplies traffic, the client gets better results. Better results protect retainers and bring referrals.
3. **Does it help you win or keep clients?** If weekly Loom updates prevent one client loss a year, the retained revenue covers the subscription many times over.
4. **Does it open new revenue?** Suppose BuzzStream lets you grow from 10 to 30 earned links a month, and that supports a larger retainer. It then pays for itself in the first month.

If all four answers are no, do not buy the tool.

## Skip the duplicates

**Moz Pro.** A good tool, but most freelancers get the same coverage from Ahrefs or Semrush. Keep it only if your workflows already depend on it.

**Majestic.** Link analysis. Redundant when you already have Ahrefs.

**SpyFu.** Competitor keyword and PPC data. Useful for PPC work. For SEO only, Ahrefs or Semrush covers it.

**A second rank tracker.** AccuRanker is strong, but you do not need it if Ahrefs or Semrush already tracks your keywords.

**Paid browser extensions.** Paid extension features, such as those in MozBar's premium tier, add little if you have Ahrefs or Semrush. Free extensions such as SEO Minion and Redirect Path cover most checks. The [SEO Chrome extensions guide](/articles/seo-chrome-extensions-by-role) lists more.

## Use the free tools that do real work

- **PageSpeed Insights** tests speed and Core Web Vitals. No paid alternative is needed.
- **A free schema generator**, such as Merkle's, writes structured data. Paid schema tools help only at high volume.
- **Hemingway Editor** checks readability. The free web version is enough for most freelancers.
- **Canva** designs featured images, infographics, and social graphics. The free version covers most needs.
- **AnswerThePublic** free tier covers occasional question research.

Free tools cover much of the work at the start. They hit limits on data volume, competitor analysis, and advanced features, so a professional practice needs at least one paid platform over time.

## Keep tool spend in proportion

Keep tool spend at 2 to 10% of gross revenue, by stage. The stage sets where you sit in that range:

| Stage | Position in the 2 to 10% range |
|---|---|
| 1: starting out | Low end: free tools and one entry plan at most |
| 2: building momentum | Lower middle: one full platform and a paid crawler license |
| 3: scaling | Upper middle: higher platform plans, content tools, and project management |
| 4: advanced consulting | High end: agency plans, team seats, and a reporting stack |

Three more rules help:

- Pay annually for a tool you know you will keep. Annual plans often cost less than twelve monthly payments. Pay monthly while you test.
- Do not share one login among several freelancers. It usually breaks the terms of service and can get the account suspended. Use a team plan.
- Do not bill tools to clients. They are a business cost. The exception is a tool a client asks for that you do not otherwise use, such as an enterprise plan; negotiate reimbursement for that.
