# Build a one-page SEO report that shows clients what the retainer returns.

Clients often cancel an SEO retainer that works.

The cause is usually the report. Many freelance SEOs send long PDFs full of ranking tables, traffic charts, and link lists, with nothing that ties the numbers to the business. The client reads the first page, finds numbers with no business meaning, and questions the value at renewal.

A report that keeps clients does the opposite. It leads with outcomes such as revenue, leads, and conversions. It shows progress with clear before-and-after comparisons. It tells the story that connects the work to the results. This article builds that report with free and low-cost tools.

## Put business outcomes first

An activity report says: "We published four articles this month. Here are the rankings."

An outcome report says: "This month's new content brought 180 organic sessions and 14 qualified leads. At your average deal size, that is [value] in pipeline."

Order the metrics in three tiers:

1. **Business outcomes, for executives:** revenue from organic search; leads, signups, demos, or purchases from organic traffic; organic customer acquisition cost against paid; pipeline value from organic leads.
2. **Performance indicators, which validate the strategy:** organic sessions and users, conversion rate from organic traffic to leads, rankings in positions 1 to 10, and the top converting pages.
3. **Execution, which shows the work:** articles published, links earned, technical fixes, and pages improved.

Always lead with tier 1. Executives read the top of the report and decide whether to renew. If business outcomes are missing or appear on page eight, the client learns to see SEO as a cost.

## Use a one-page dashboard

Many clients do not read past the first page. Make the first page tell the whole story.

**Header:** client name and logo, the period ("January 2026 performance"), and your name and contact details.

**Top third, business impact** (the values in both tables are hypothetical):

Add a 12-month line chart of organic traffic.

**Middle third, rankings:**

Add a bar chart of keywords by position band: 1 to 3, 4 to 10, 11 to 20, and 21 to 50.

**Bottom third, activity:**

- *Done this month:* 4 optimized articles on [theme]; 11 links from sites rated DR 45 or higher; 8 technical fixes such as broken links and slow pages; 6 existing pages improved for conversion.
- *Top wins:* the "Best invoicing software for contractors" article reached position 3 and brought 180 sessions and 7 leads. Domain Rating rose from 38 to 42.
- *Next month:* a comparison cluster of five "[product] vs [competitor]" articles, outreach to SaaS publications, and a conversion test on the product landing page.

Give business impact the largest type. Rankings in the middle explain the traffic. Activity at the bottom proves the work happened.

## Build it in Looker Studio

Looker Studio, which Google renamed from Data Studio in 2022, is free and connects to Google Analytics 4 and Search Console. Build the dashboard once, and it refreshes on its own. The [Looker Studio reporting guide](/articles/looker-studio-seo-reporting) covers the build in more depth.

### Step 1: connect the data

1. Open `lookerstudio.google.com` and create a report.
2. Add GA4 for traffic, conversions, and landing pages.
3. Add Search Console for queries, impressions, clicks, and positions.
4. Add a Google Sheet for manual data such as links and the content calendar.

### Step 2: build the traffic section

**Chart 1, organic traffic trend (line chart).** Dimension: date, monthly or weekly. Metric: sessions. Filter: "Session default channel group" equals "Organic Search." Date range: the last 12 months. Add a previous-period comparison.

**Chart 2, traffic by landing page (table).** Dimension: landing page. Metrics: sessions, key events, and the key event rate. Filter: organic traffic only. Sort by sessions, descending, and show the top 10.

**Scorecards:** organic sessions this month, the change from last month, and the change from the same month last year.

GA4 renamed "conversions" to "key events" in March 2024. Older templates and guides use the old name.

### Step 3: build the conversion section

**Chart 3, conversion trend (line chart).** Dimension: date. Metric: key events for organic traffic, where each key event is a lead form, a demo request, or a purchase. Date range: the last 12 months.

**Scorecards:** organic key events this month, the organic key event rate, and estimated pipeline value.

GA4 does not calculate pipeline value. Add a Google Sheet as a data source with the formula conversions x the client's average deal size, and update it monthly.

### Step 4: build the ranking section

**Chart 4, average position by query (table).** Source: Search Console. Dimension: query. Metrics: average position, clicks, and impressions. Filter: queries with more than 100 impressions. Sort by average position, ascending.

**Chart 5, ranking movement (bar chart).** Keep a Google Sheet with four columns: keyword, previous rank, current rank, and change. Add it as a data source and chart the gains.

**Scorecards:** keywords ranked in positions 1 to 50, keywords in the top 10, and the net change. The net change is keywords that moved up minus keywords that moved down.

### Step 5: add the narrative

Put a text box at the top:

> Organic traffic rose 18.6% this month, mostly from the "Best invoicing software for contractors" article, which reached position 3 and brought 7 qualified leads. We also earned 11 links from industry publications, and Domain Rating rose by 4 points. Next month we launch comparison content for high-intent searches.

Update it each month. It takes about five minutes and turns the data into a story.

## Choose an alternative if Looker Studio does not fit

**A Google Sheets template.** Make a summary tab with the one-page dashboard. Feed a traffic tab from GA4 through an add-on such as Supermetrics or Analytics Canvas. Fill ranking and link tabs from Ahrefs or Semrush exports. It is simple, familiar, and easy to share. Manual updates take 15 to 30 minutes a month.

**AgencyAnalytics or DashThis.** Paid reporting tools with prebuilt templates that connect to GA4, Search Console, Ahrefs, and Semrush. They offer drag-and-drop dashboards and white-label branding. They add a monthly cost and allow less customization than Looker Studio. Compare the current plans of both before you choose.

**Ahrefs or Semrush reports.** Ahrefs Rank Tracker sends scheduled email reports, and Semrush Position Tracking sends automated PDFs. They need no extra tool if you already subscribe. They offer limited customization and no GA4 conversion data.

## Report on a fixed cadence

**Weekly, informal.** A three- to five-minute Loom video on what you did, what comes next, and any blockers. It keeps you visible, costs the client little time, and prevents the "what are we paying for?" question.

**Monthly, formal.** The one-page dashboard, or a link to the live dashboard, plus a 30- to 45-minute call:

1. Review the dashboard: traffic, conversions, rankings (10 minutes).
2. Discuss wins and problems (10 minutes).
3. Preview next month (10 minutes).
4. Questions and adjustments (10 minutes).

**Quarterly, strategic.** A fuller report: three months of results, a competitor comparison, recommendations for next quarter, and budget planning. The quarterly review is where you justify a rate increase, expand the scope, or change the strategy.

## Pick charts that read at a glance

- **Traffic growth:** a line chart, not a table. A trend line shows direction faster than numbers.
- **Rankings:** a color-coded table. Green for positions 1 to 5, yellow for 6 to 10, orange for 11 to 20, and red for 21 and beyond.
- **Links:** a bar chart of new referring domains per month. Cumulative growth reads more clearly than one month.
- **Conversion funnel:** organic sessions, then landing page views, then form submissions, then qualified leads.
- **Before and after:** side-by-side GA4 or Search Console screenshots, for example January 2025 against January 2026.

## Write the narrative

Raw data:

> Organic traffic rose from 7,100 to 8,420 sessions. Keywords in positions 1 to 10 rose from 53 to 60. We published 4 articles and earned 11 links.

Data with a narrative:

> Organic traffic grew 18.6% to 8,420 sessions this month, mostly from the "Best invoicing software for contractors" article. It reached position 3 for its target keyword and brought 180 sessions and 7 qualified leads.
>
> Seven keywords moved into the top 10, including "invoicing software for contractors," now at position 6, up from 18. The gain followed the link campaign to construction trade publications, which earned 11 links from sites rated DR 45 or higher.
>
> Next month we launch a comparison cluster, "[competitor] vs [client]" and "[competitor] alternative," to reach buyers who are choosing a product.

The narrative connects the work to the outcome. The client sees why each piece matters.

Adapt the depth to the reader. A CMO or marketing lead gets the full dashboard with pipeline and strategy. A CEO or founder gets one page of business outcomes. Operations or product teams get the technical detail: speed, crawl errors, and structured data. ## Adjust when reporting goes wrong

**The client wants daily or weekly performance data.** Rankings move every day and traffic is noisy week to week. Say so: "Daily data shows noise, not trends. SEO is measured monthly. You get weekly work updates so you see what we do. Performance data is meaningful on a 30-day cycle."

**The client fixates on one ranking.** "Why aren't we first for [keyword]?" Bring it back to outcomes: "Our goal is qualified leads, not first place for every keyword. We rank in positions 3 to 5 for 15 keywords that bring 280 sessions and 22 leads a month. Moving to first on those adds some traffic but does not change the conversion rate. More keywords will add more leads than a fight for first place."

**Results are flat or down.** Report it first: "Traffic fell 8% this month after a Google core update. Google says a core update takes about two weeks to roll out, and recovery often comes with later updates. Our plan: improve the affected pages and keep earning links." Clients accept a bad month when they understand the cause and see a plan.

**The client does not understand the terms.** Translate every one. "Organic sessions" becomes "visits from Google search." "Conversion rate" becomes "the share of visitors who became leads." "Domain Rating" becomes "an Ahrefs score of how strong the site's links are." Domain Rating is not a Google metric; say so if the client asks.

**Conversion tracking is broken or missing.** Without conversion data, you cannot show a return, and traffic and rankings alone do not justify a retainer. Fix it first:

1. Set up GA4 key events for form submissions, demo requests, and purchases.
2. Confirm the key events carry source and medium, so you can filter organic traffic.
3. If the client has a CRM, connect it so you can see which organic leads became customers.

Add competitor data each quarter, not each month. One comparison says enough: "Competitor A has 320 keywords in the top 10 and publishes 8 articles a month. We have 185 and publish 4. More content would close the gap." That comparison frames the next budget request.
