Identify every public copy and the person authorized to decide access. Separate the customer document from the company's educational inspection page. Keep a report intended for selected recipients within an approved document-sharing process. ## Inventory the report and its copies Ask the document owner to identify the report version, permitted audience, and current sharing arrangement. Do not inspect customer files through an unapproved public test. Give the website maintainer a private list of affected URLs and the business's access decision. Include PDF downloads, attachment pages, old uploads, and any separate storage destination the company uses. Use this proposed inventory: | Item | Information to establish | | --- | --- | | Document | Correct project reference and version | | Audience | People approved to receive that document | | Locations | Each known website or storage copy | | Access | What an unauthorized visitor can currently retrieve | | Decision | Public, restricted, or removed under the owner's instructions | | Owner | Person responsible for confirming the final result | Keep customer names, addresses, and report contents out of public repair tickets. Share the minimum private reference the maintainer needs. ## Distinguish access control from indexing Google recommends password protection for confidential or private website content. It also explains that a noindex page can still be visited directly by someone with its link. A search instruction should not substitute for deciding which people may retrieve a customer report. Ask the maintainer to specify how the approved document route checks access. Include direct file URLs in that review. A protected page around an unrestricted attachment does not establish that the attachment is restricted. Keep the educational page public only with content approved for public use. A redacted example needs its own review and permission. ## Specify search treatment for the intended public material For a PDF that remains publicly accessible but should not appear in Google, Google's documentation supports a noindex instruction through the X-Robots-Tag HTTP header. Have the maintainer identify the appropriate treatment for each URL after the access decision. Do not combine a crawl block and an unseen noindex instruction and call the result verified. Keep a restricted customer document and a public non-indexed document as different cases. Ask the maintainer to explain which case the proposed change addresses. Do not promise immediate disappearance from search. Record access checks and search observations separately, with their dates. ## Accept the document route with synthetic material Use a harmless sample report for access testing. Check the direct attachment address without an authorized session and through the intended customer route. Require the maintainer to demonstrate the agreed access behavior. Where a public PDF has a noindex requirement, inspect the response header for that file. Confirm the educational page links only to approved material. Ask the document owner to sign off on every retained public example. Keep the final URL inventory and responsible owner with the website maintenance record.
