Have the responsible person check the wording before it becomes public. Keep project records in the company's private service process. A public reply should help someone reach the team that can review their concern. ## Separate the public reply from the project review Google states that review replies are public. Its guidance says to protect private information and move complex issues to a phone or email conversation. Ask the service manager to review the project privately before approving any factual statement for the reply. Keep addresses, inspection reports, photographs, invoices, warranty documents, and personal contact details outside the public response. Do not add identifying details to prove which project you believe the reviewer means. The internal review can examine the reported concern, promised follow-up, and current service owner. We will discuss the details with you privately. Use that draft only if the service office can provide the stated review. Add the company's approved public contact method. Do not invent a manager name, direct number, deadline, or visit commitment. Keep the response specific enough to acknowledge the concern without disclosing project facts. Have the approver read it as someone unfamiliar with the dispute. Avoid promotional offers or a list of service towns.
