# Set up an AI memory file and track what changes in your first week.

You open an AI assistant to write a client email. Before it can help, you explain the client, the project, the stage, and your tone. You did the same thing yesterday.

An AI memory file stops that loop. It is a Markdown file, usually named `CLAUDE.md`, that holds your business context. Claude Code reads it at the start of each session, so the assistant starts with your services, clients, priorities, and voice.

This article follows one synthetic SEO consultant through a first week with the file. The clients are placeholders, not real businesses, and the minutes are the example's assumptions, not measured results. Use the structure, then log your own numbers.

## Day 1: write the file in four blocks

Set aside one hour. Create a file named `CLAUDE.md` in the folder where you start Claude Code. The first block states the services. Keep scope and delivery time. Keep prices in your rate card, not in this example.

The second block lists current clients and their stage.

The third block records how you communicate.

The fourth block lists this week's priorities.

Open Claude Code in that folder. Ask, "What am I working on this week?" The assistant reads `CLAUDE.md` and lists the three priorities. If it cannot, check the folder and file name before you add more content.

## Day 2: send the first draft without a briefing

You need to tell Client A that the pages are ready. Type: "Draft an email to the PT client. Pages are done, sending staging links today."

The assistant produces a draft like this:

> Hi [contact name],
>
> The four injury-specific pages are done. I am uploading staging links this morning. You will have them by noon.
>
> Take a look and tell me if anything needs to change before we publish them.

It asks no follow-up question about which client or which pages. The file answered both. Before the file, the same request needed two minutes of explanation about the client, the project, and the stage.

Later, you ask for a LinkedIn post about the finished pages. The assistant applies the voice block:

> Finished four injury-specific pages for a PT clinic this week. Rotator cuff tears, ACL rehab, sciatica treatment, plantar fasciitis.
>
> The goal is not to rank for "physical therapy" in the city. That term is too broad and too competitive. The goal is to own every specific injury search in the service area.
>
> Someone who searches "rotator cuff tear treatment near me" is ready to book. That is the traffic that converts.

Record whether each draft was usable as written or needed edits. That record matters more than your impression.

## Day 3: add a prospect file

After the Wednesday discovery call, create a separate file for the prospect. Five minutes is enough.

Type: "Draft a proposal for the vet clinic prospect." The assistant reads three sources:

- the service lines in `CLAUDE.md`;
- the problem statement in the prospect file;
- the budget fit in the prospect file.

The draft addresses traffic without bookings, recommends the local SEO service, and uses your voice. You proofread it, make two edits, and send it. In this example, the proposal takes 10 minutes instead of 45.

Keep the prospect in its own file. When the prospect becomes a client, move the file into your client folder. Do not paste prospect notes into the main file.

## Day 4: check consistency across drafts

You need to tell Client B that the site launches on Monday. Type: "Email the accounting client. Site launches Monday. Staging link is ready for final review."

The draft uses the client's company name and the correct launch date. It matches the client's preference for direct updates and ends with a next step. It includes the staging link placeholder and the launch time.

Compare this draft with the Day 2 draft. Both follow the same voice rules and the same structure. That consistency comes from the file, not from the model's memory of an earlier chat.

## Day 5: compare your prompts

Look at the prompts you typed this week. Before the file, a typical prompt started with three paragraphs of context: "I have a client who is a CPA. We are redesigning the website. The site launches next week. I need to send an update."

This week, the prompt is one line: "Email the accounting client about the launch." The file supplies the rest.

Save three old prompts and three new prompts in your log. The difference in length is your evidence that the re-explanation loop has stopped.

Most people use AI like a search engine: ask, get an answer, start again. With a memory file, the assistant starts each task with the background. You give it the next task, and it drafts from the facts you wrote.

## Weekend: run the comparison test

Open an assistant that does not have your file, such as ChatGPT on your phone. Type: "Draft a post about finishing client work this week."

It asks which work, which industry, and which tone. Each question is context you supplied by hand before Day 1.

Run the same prompt in Claude Code. It reads `CLAUDE.md`, sees the finished PT pages, applies your voice, and drafts the post without questions.

If you use ChatGPT for some work, its custom instructions give a smaller version of the same effect. Each field held about 1,500 characters in the January 2026 observation. Its practical limit is the context window of the model that reads it.

## Keep a first-week time log

The example assumes these savings. Replace them with your own numbers.

In this synthetic log, the week saves 95 minutes after a 60-minute setup, so the example setup pays back within the week. Your own log can show a smaller or larger result. Use the log, not the example, to decide whether to extend the file.

Record one more column if drafts fail: the fact the assistant lacked. Each missing fact is a line to add to the file.

## Plan week two

In week two, maintenance replaces setup:

1. Add a file for each new client. Allow about 10 minutes per client.
2. Refine one voice rule when a draft misses your tone. Allow about 2 minutes.
3. Update the priorities block every Monday.
4. Move finished work out of the priorities block.

When a draft repeats a mistake, write the correction into the file, not into the chat. The [correction guide](/articles/corrections-become-system-memory) shows how a correction changes the next run.

## Know where the file goes and who sees it

The file stays on your disk. You control what it holds, and you can track changes with Git. The file is not a private channel, though. When Claude Code reads it, the content goes to the model provider as part of the session. Check the provider's data-use terms for your plan. Keep passwords, API keys, and sensitive client records out of the file.
