Start with its purpose, contents, and publication authority. Keep working copies and matter records outside the website handoff. Use this process for proposed checklists, blank worksheets, and educational downloads. It is a publishing review, not a finding that a document is safe to disclose. ## Decide whether the reader needs a download Write the question the file answers. Decide whether an ordinary web page could answer it without a download. Keep a PDF only when its format serves a defined task, such as printing an approved blank worksheet. Ask the attorney to distinguish a general educational document from instructions for an individual matter. Identify who maintains any legal explanation inside it. Do not reuse a completed client worksheet as a design shortcut. ## Check more than the visible names ABA's Model Rule 1.6 commentary describes confidentiality as covering information relating to representation, whatever its source. It also addresses disclosures that could lead others to discover protected information. These are model materials; the attorney must apply the relevant jurisdiction's rules. Use an attorney-approved synthetic example when a worked example is necessary. Ask the reviewer to assess combinations of facts, not just names. Keep the original matter documents out of the builder's workspace. Propose this review record for every download: | Review item | Decision to record | | --- | --- | | Purpose | The public task the file supports | | Source | Who prepared the approved blank or synthetic document | | Content | Attorney clearance for text, examples, and identifiers | | File inspection | Review of comments, attachments, properties, and selectable text | | Publication | Exact approved file version and allowed placement | | Maintenance | Named owner and reasons to review or withdraw it | Have a qualified reviewer check the exported file itself. Do not accept a screenshot of a redaction as evidence about the downloadable document. ## Separate search visibility from permission to publish Google documents `noindex` through meta tags or HTTP response headers. Its guidance includes response headers for PDFs and requires crawler access for Google to see the instruction. For this publishing process, require separate access-control evidence for a file meant to remain private. Do not put a protected document on the public site while waiting for a search setting to work. Ask the maintainer to identify the actual file address and access behavior. A page without a navigation link should still receive the same publication review as an advertised download. ## Accept the exact exported file Compare the delivered PDF with the approved version. Check its filename, visible text, links, and printed output. Ask the reviewer to confirm the file inspection results and publication decision together. Keep a list of pages linking to the download. After replacement, require the maintainer to check those links and the old file address. Record whether the old version remains available.
