Ask about confirmation messages, reminders, calendar entries, staff notifications, and cancellation notices. Treat contact preferences as a firm decision. Do not assume that the email address or phone number entered for scheduling authorizes every later message. ## Define the firm's scheduling boundary Ask the responsible attorney what a visitor may reserve before conflict screening. Identify which administrative details the calendar needs and which questions belong in another approved process. Use the firm's current scheduling instructions as the source. Keep case narratives and document requests outside the calendar brief unless the attorney has approved a specific collection process. Ask for current documentation and a demonstration before promising a particular contact restriction. Have the firm approve the full message text, including subject lines. Do not write a reassuring privacy claim around an unknown configuration. ## Make contact choices understandable Ask the attorney to define the contact options the firm can fulfill. Give each supported option clear wording. Avoid collecting a preference that staff or the tool cannot honor. Use that guidance when briefing any preference fields. Keep the instruction near the choice. Have staff confirm how the selected value reaches their scheduling process. ## Test the whole appointment lifecycle Use synthetic names and contact routes you control. Arrange the test with authorized staff in an agreed test environment. Do not create a real consultation reservation or disclose an actual family matter. Check the initial receipt, supported reminders, reschedule path, and cancellation path separately. Compare each observed message with the approved text and destinations. Record a failed preference as a failed requirement even if the appointment appears on a calendar. Decide whether to change the configuration, revise the public promise, or withhold the integration.
