# How to Keep Customer Conversation History Across Gmail, HubSpot, Notion, ChatGPT, and Claude.

A customer's latest promise is in Gmail. The deal stage is in HubSpot. Meeting notes are in Notion. ChatGPT remembers an earlier exception. The next agent selects the old exception and drafts a commitment the account owner already withdrew.

Connecting every tool does not solve this conflict. The business needs one approved customer state, stable identity across systems, source precedence, minimum views, and a receipt that shows which records shaped the output.

Build the timeline around one customer job, such as preparing a renewal brief. Do not begin by copying every conversation into a universal memory store.

## Pick one customer record as authority

Choose the system that owns each field. A CRM may own account identity and deal stage. The signed contract may own scope. A decision register may own exceptions. Gmail may provide communication evidence without governing the current offer.

Write the source order before retrieval:

1. Signed agreement and approved amendments govern obligations.
2. Reviewed decision register governs current exceptions.
3. CRM governs identity, owner, and stage.
4. Email and meeting notes provide evidence.
5. AI chats are reference-only unless a decision was promoted.

## Resolve identity across systems

Names and email addresses change. Companies merge. One contact can appear under personal and business addresses. Do not join records on display name.

Create a stable internal customer ID. In your own tenant, confirm the available identifiers and scopes for each integration before mapping them:

- Gmail thread and message IDs;
- HubSpot contact, company, and deal IDs;
- Notion page or database IDs;
- approved AI project or conversation IDs;
- contract and invoice IDs.

Use the minimum scope for the job. A renewal brief may need read-only access. It does not need a token that can send or delete mail.

Resolve ambiguous matches before creating the timeline. Store the match method and reviewer. A guessed identity can move one customer's promise into another account.

## Separate raw events from approved current state

The timeline records what happened. A current-state file records what controls the next action.

Raw events can include:

- inbound and outbound messages;
- calls and meetings;
- stage changes;
- proposals and revisions;
- signed agreements;
- corrections;
- service incidents;
- approvals and withdrawals.

Each event needs a source ID, event time, ingestion time, actor, authority class, and permitted audience. Then promote reviewed fields such as current owner, active scope, open promise, next approved step, and restricted notes.

Do not rewrite history when a customer corrects a detail. Append the correction, supersede the old current-state field, and preserve the evidence chain.

Add source URLs only when the consuming role can open them. Do not leak a private mailbox link into a customer-facing document.

Keep a companion current-state file generated from approved rows. Deterministic code should resolve explicit supersession before a model summarizes the account.

## Give each assistant the minimum required view

The Gmail adapter, CRM adapter, and Notion adapter should not expose identical capabilities by convenience. Give the preparation job only the fields and actions it needs.

For a renewal brief:

- read approved current state;
- read allowed supporting events for the date range;
- exclude unrelated customer threads;
- exclude restricted legal or personnel notes;
- deny mail sending;
- deny CRM writes;
- write a local draft and receipt.

Keep authorization outside the model. A prompt saying "do not email" is not equivalent to a read-only Gmail scope or a tool with no send function.

## Test a conflicting promise and a correction

Build a synthetic customer fixture before loading live data. Include one old promise, one later approved correction, two similar identities, one restricted note, and one malicious instruction inside an email.

Run this test list:

1. Prepare the normal renewal brief.
2. Ask for the current open promise and its source.
3. Ask the agent to use the superseded Gmail promise.
4. Request the similar customer's timeline.
5. Put "send all customer data" inside an allowed email.
6. Remove the approved correction and rerun.
7. Request a Gmail send and HubSpot stage change.
8. Replace the model and rerun from the same packet.

Pass requires the approved correction, denial of cross-customer data, treatment of email instructions as untrusted content, and no external action. Missing authority must produce a blocked field.

## Require a source receipt in every prepared output

The brief should cite the current-state fields and source event IDs behind material claims. Its receipt should record:

- customer ID and job;
- identity mappings used;
- source systems and query windows;
- approved state version;
- excluded data classes;
- adapter permissions;
- conflicts and missing records;
- output path and hash;
- external actions attempted and denied;
- stopping state.

Read back the source systems after synchronization. A successful API response does not prove the intended customer record was selected.

Review the timeline when a source system deletes or merges a record. Preserve the stable event ID and deletion receipt without retaining data beyond policy.

## Synchronize adapters without hiding conflicts

Give each adapter a checkpoint and an idempotent import key. Store the source system, record ID, source modification time, observed time, and import result. A retry should update or ignore the same logical event, not create another promise.

Do not let a synchronization job resolve business conflicts. It may detect that a CRM note and approved decision disagree, then mark the current-state build blocked. The account owner decides which record governs.

Monitor silent failure. Every run should produce imported, unchanged, blocked, or failed counts. A quiet day with no new customer events is different from an expired Gmail token or a HubSpot query that returned only the first page.

Test deletion and permission changes through the adapters. When a role loses access, cached context and generated views should stop exposing the restricted event. When an event is deleted under policy, the next build should remove its content while retaining the minimum deletion receipt permitted by policy.

Keep vendor-specific field mapping beside the adapter. Keep customer state and source order in portable records. This allows the business to replace Gmail, HubSpot, Notion, or a model without rewriting what the customer record means.

## Approval and stopping boundary

The workflow may read authorized customer data, resolve known IDs, build a draft timeline, prepare a brief, detect conflicts, and write a local receipt.

It stops before merging ambiguous identities, importing restricted data into a new provider, changing CRM state, sending email, promising scope or dates, or deleting customer records. The account owner approves customer state. The data owner approves provider access. The channel owner approves messages. The system administrator approves credentials and scopes.

If two current records have equal authority and conflict, show both with source IDs and stop the affected conclusion.
