# CPSC recall matching: compare a product model with your retail SKU

A store SKU tells your team which catalog row to open. It does not, by itself, establish which product a recall describes. Start the comparison with the official notice, the manufacturer's identifiers, and evidence from the item you hold. Keep the internal stock code attached throughout the review.

The useful result is a documented relationship between those records. A shared word in two product names only creates a question. A matching model can provide stronger evidence, but any stated production period or variant restriction still needs review.

This guide proposes a manual worksheet for merchandising staff and the responsible product-safety reviewer. All store names, stock codes, labels, and scenarios below are synthetic. They do not describe a real recall or certify any product.

The [retail and ecommerce overview](/for/retail-and-ecommerce) covers broader store office work. The [retail intelligence guide](/intelligence/retail-and-ecommerce) introduces the catalog recall queue. Here, the narrower job is deciding what evidence connects one catalog entry to one notice.

## Read the source fields before comparing the names

The Consumer Product Safety Commission provides machine-readable recall information through its [recall API information page](https://www.cpsc.gov/Recalls/CPSC-Recalls-Application-Program-Interface-API-Information). Its [retrieval guide, version 1.3](https://www.cpsc.gov/s3fs-public/RecallRetrievalWebServicesProgrammersGuide20171031.pdf), lists product Name, Description, and Model fields. Manufacturers and ProductUPCs are separate collections. Those locations matter when reading a downloaded record.

Do not assume a field exists merely because the format allows it. The [older guide currently linked from the API page](https://www.cpsc.gov/s3fs-public/pdfs/blk_pdf_CPSC-Recalls-Retrieval-Web-Services-Programmers-Guide_3-25-2015.pdf) includes an example with a null Model and empty ProductUPCs. It also contains identification details in descriptive text. Read that example as documentation, not as a current notice.

For your worksheet, copy available identifiers exactly. Describe an absent value as absent from the inspected source. Do not convert that absence into a claim that the product has no model or barcode.

Assign separate columns to the store SKU, manufacturer model, and any supplied UPC. A stock code can locate your own record without being an official product identifier. Conversely, an official identifier needs a checked connection to your catalog before it identifies your stock.

Keep the manufacturer name separate from your supplier's trading name. If purchasing uses a distributor abbreviation, record the evidence connecting it to the product. Do not expand an abbreviation from memory when several companies could fit.

## Keep original label text beside normalized catalog text

Use two text columns whenever you simplify an identifier for comparison. The original column preserves what the source says. The comparison column makes a proposed reading visible.

For example, a synthetic label might read `MX-240 / BL`, while the catalog displays `mx240 bl`. A reviewer could propose `MX240BL` as a comparison value. That proposal is not proof that punctuation and spacing have no meaning for this manufacturer.

Keep suffixes, leading zeroes, and unclear characters visible. If the label could read either `O` or `0`, enter the uncertainty explicitly. Ask for a clearer product-only label image or a direct inspection. Do not choose the character that creates a match.

Use a correction note when the catalog itself is wrong. Preserve its earlier value in the review record before an authorized catalog owner changes it. Otherwise, the next reviewer cannot see why the match originally appeared inconsistent.

The same discipline applies to names. A store title such as “compact blue task lamp” may be useful for finding a candidate. It should not overwrite the manufacturer's model wording. Keep the original product description available for a reader who needs to assess the comparison.

## Work through an exact identifier example

Consider a synthetic store SKU, `STORE-417`. Its catalog row says model `MX-240-BL`, manufacturer `Example Maker`, and package quantity one. The fictional notice names the same model and manufacturer. The physical label also reads `MX-240-BL`.

Record each agreement separately. The worksheet now has an exact model match across three inspected records. That is more useful than a single “matched” checkbox because another reviewer can see which sources support the conclusion.

Now add a fictional restriction: the notice covers production lots `L20` through `L24`. The catalog export contains no lot information. The exact model match remains valid evidence, while applicability to the item remains unresolved.

Ask the responsible reviewer to inspect the lot marking using the notice's identification instructions. If the marking reads `L22`, record its original text and evidence location. If the marking cannot be found, preserve that question instead of treating the model match as a complete decision.

A real notice shows why this distinction matters. The [CPSC notice for certain Lithonia RSX luminaires and adjustable mounting arms](https://www.cpsc.gov/Recalls/2027/Lithonia-Lighting-Recalls-RSX-Luminaires-with-Adjustable-Tilt-Arm-Mountings-Due-to-Risk-of-Serious-Injury-from-Impact-Hazard) names mounting types and manufacturing periods. It directs consumers to contact the company to confirm inclusion. This example illustrates identification detail; it provides no conclusion about any store's products.

## Separate a partial candidate from a rejected match

For a second synthetic row, `STORE-418`, the catalog name is “compact task lamp.” Its model field says `MX-240`, without a color suffix. A search finds the fictional notice for `MX-240-BL`.

The shared model stem justifies investigation. It does not establish that the store's item is the blue variant. Record “partial candidate: suffix missing” as the current evidence state. Assign the label question to someone who can inspect the item.

Suppose the label subsequently reads `MX-240-GR`. Record the difference without erasing the original candidate. The safety reviewer must check whether the complete notice includes that variant elsewhere. The title alone cannot settle the question.

If the reviewer rejects the match, preserve the specific reason and the notice version inspected. “Different suffix on label; reviewed against listed variants” is more useful than “false positive.” The reason gives a later reviewer something concrete to revisit.

Avoid applying that rejection to every product sharing the same store title. Another catalog row could carry the affected variant. Keep the conclusion attached to the actual row and the label evidence that supported it.

## Treat missing identifiers as an evidence problem

For the third synthetic row, `STORE-419`, the catalog says “folding desk lamp,” but the model field is blank. A candidate notice uses a similar product name. No label inspection has occurred.

The worksheet should say “unresolved identity.” It should also identify the missing evidence: manufacturer wording, model marking, and any variant information required by the notice. A blank field does not count as agreement with another blank field.

Prepare a focused supplier question. Ask where the model appears on the product and which document connects it to the supplied catalog item. Include the internal SKU as your reference. Do not imply that the supplier's reply will independently determine recall applicability.

When the reply arrives, retain its date and scope. A document describing a current replacement item might not identify older stock. Ask whether it covers the physical units under review before updating the comparison.

If the supplier cannot resolve the identity, keep the case open for the responsible safety reviewer. An unmatched product never receives a “safe” label from this worksheet. Follow the store's established safety process while identification remains unresolved.

## Build a worksheet another reviewer can follow

Use one review record for each candidate relationship. Repeat the notice reference where several SKUs need separate label checks. The following columns are a proposed store practice, not a CPSC form.

| Worksheet field | What to record |
| --- | --- |
| Store reference | SKU, catalog title, export filename, and export time |
| Official notice | Full notice URL, recall number, and source date as displayed |
| Retrieval evidence | When the reviewer opened the notice and where the saved copy lives |
| Product identity | Original manufacturer, model, and supplied UPC text |
| Catalog comparison | Original catalog values beside any normalized comparison text |
| Physical evidence | Product-only label reference, inspected unit, and inspection date |
| Scope questions | Missing model suffix, lot, variant, or production-period evidence |
| Evidence state | Exact identifier agreement, partial candidate, or unresolved identity |
| Decision ownership | Responsible safety reviewer, decision date, and next action owner |
| Decision basis | Sources inspected, remaining limits, and reason for the conclusion |

Keep quantity context separate from identity evidence. A catalog export may show twelve units while the worksheet concerns one inspected sample. Record which units the reviewer examined. Do not extend one label observation to an entire shipment without an explicit basis.

Also separate a review decision from its execution. A note requesting further investigation is not evidence that another team completed it. The responsible person should record the actual next step through the store's approved process.

## Revisit the relationship when its evidence changes

A saved SKU-to-model relationship should name the evidence that supports it. If the catalog mapping changes, check the affected review. If the official notice changes, reread the current notice before carrying an earlier conclusion forward.

The companion guide on [CPSC recall dates and store review history](/articles/cpsc-recall-publication-dates-review-history) explains how to preserve those observations separately. Identity and chronology answer different questions. One connects the product to the notice; the other records what was available when someone decided.

Store accepted corrections in a record your team controls. The [business memory guide](/articles/business-memory-for-ai-agents-guide) explains why durable source records matter beyond a single conversation. Here, that record should preserve product evidence and reviewer reasoning without collecting customer or injury information.

The [Product recall finder](/tools/product-recall-finder) provides a separate place to begin public notice research. Read its current scope and limits before using it. Bring the official notice into the worksheet rather than treating a search screen as the final evidence.

## Hand over questions that can be answered

Before handing the worksheet to a safety reviewer, check whether each open question identifies its missing source. “Needs review” gives little direction. “Physical lot marking not inspected” tells the next person what evidence is absent.

Keep questions within the receiving person's authority. Merchandising can correct a catalog transcription. A supplier can explain its product records. The responsible safety reviewer interprets the current notice for the store's actual situation.

If a relationship remains uncertain, preserve the competing readings. Write both possible label values beside the source image reference. A clean-looking record that hides the uncertainty makes the next review harder.

For a store-specific implementation, bring Scale With Search a non-sensitive sample catalog and the proposed review worksheet. The [written scope process](/work) establishes the work, records, and review responsibilities. Product decisions stay with the responsible human.

## Source note

Sources were reopened on 2026.10.28. The API information page linked an older PDF with a version 1.1 cover and version 1.2 footers. The separately available version 1.3 guide is dated October 31, 2017. Field descriptions above use the cited documents without assuming every field is populated. The current [CPSC recall index](https://www.cpsc.gov/Recalls) and the linked luminaire notice were also inspected. The synthetic worksheet and examples are editorial recommendations, not historical CPSC records or a legal compliance assessment.
