# Test what Microsoft Copilot remembers and keep the rest in a file you own.

You tell Copilot that you prefer Python for data work. The next day, it suggests R. You explain your project file names, and a week later it creates files with a different pattern. You describe your writing style, and the next draft returns to corporate boilerplate.

Microsoft added a memory layer to Microsoft 365 Copilot for this problem. The source observation for this article, made in January 2026, reported a rollout that month. Microsoft's admin documentation still labeled personalization and memory a preview on 2026.09.02. The layer keeps preferences and work patterns inside Microsoft 365. It does not see work in other tools, and you cannot give it one complete record to start from.

This article explains how the memory layers work, where they stop, and how to test them on your own account. It then shows how to keep the missing context in a file that any assistant can read.

## Know the two memory layers

Microsoft introduced two connected layers in late 2025.

Saved memory stores preferences from your conversations. If you write "I prefer bullet points in my writing," Copilot can log that preference. If you mention that you work on Project Alpha, it can keep that fact. You can review and delete saved items in `Settings > Personalization`, and you can turn memory off. Deleting a chat does not delete the saved memories that came from it.

Work IQ is the deeper layer. It tracks your role, company structure, recurring projects, and work patterns across Word, Teams, Outlook, and other Microsoft 365 apps. Microsoft describes these work insights as details learned from your Microsoft 365 work content, such as email, Teams chats, and meeting transcripts. They need a work or school account, and availability depends on the organization's Copilot plan.

## Find where the memories live

Microsoft's admin documentation, checked on 2026.09.25, states that Copilot stores memories in a hidden folder in your Exchange mailbox. The memories follow the same security and compliance policies as other mailbox data, such as Customer Lockbox and encryption at rest. Purview retention policies do not apply to them. A saved memory stays until you delete it. The folder is not designed for direct access: an administrator can search it with eDiscovery, but you cannot open your memories as one document.

Developers in Visual Studio get a different version. There, Copilot memories save coding preferences to personal user files or to repository instruction files under version control. Copilot reads project guidelines, code style, and tool choices from those files. This version is the most useful of the three, because the memory sits in a file that belongs to one codebase.

## See where the memory stops

Copilot memory covers Microsoft 365 only. Slack messages are invisible to it. Projects in Notion or Asana are invisible. Notes in Obsidian do not exist for Work IQ.

Saved memory depends on chat. If you do not tell Copilot a fact in a conversation, it does not keep the fact. No central file exists where you can load your full context. You teach it one item at a time.

Work IQ reads your Microsoft 365 activity: sent email, edited documents, and attended meetings. That helps when your work happens inside Microsoft 365. It does not help when the real work happens in other tools. You also cannot point Copilot at an outside knowledge base and tell it to learn that source.

Memory is fragmented across apps. You draft in Word, summarize a meeting in Teams, and answer email in Outlook. Each app can use saved memory, but context from one session does not always reach the next session. Work IQ connects the apps in principle. In the January 2026 observation, users still repeated the same facts.

If you turn memory off, Copilot becomes session-only. Every conversation starts with no personal context.

## Understand why the model forgets between sessions

A language model works inside a context window, a fixed amount of text it can process at one time. A new conversation starts with an empty window. Earlier conversations do not carry forward unless a memory feature or a file puts them back into the window. Chat history is a log that you scroll through and search. Memory is context that the system loads into the next conversation. Copilot saved memory and ChatGPT memory both store short summaries. A summary can hold "prefers short emails." It cannot hold a full client process, a decision framework, or the reasons behind a rule. ## Compare the common workarounds

Users try four workarounds. Each one fixes part of the problem.

| Move all work into Word, Teams, and SharePoint | Work IQ sees more of your activity | You depend on one vendor, and clients on Google Workspace fall outside the boundary |

None of the four gives you central control. You either feed Copilot in pieces or change your work to fit its app structure.

## Run a five-prompt memory test

Test Copilot memory on your own account before you rely on it for client work. Use harmless, synthetic facts.

1. In a new chat, state one preference: "Weekly summaries use three bullets."
2. Open a second new chat and ask which summary format you prefer.
3. State one project fact in Word, then ask about that fact in Teams.
4. Ask for a fact that exists only in a tool outside Microsoft 365.
5. Open `Settings > Personalization` and compare the saved items with the words you used.

Record the account type, license, date, and each result. A pass on steps 2 and 3 shows that saved memory crosses sessions and apps. Step 4 should fail, because it tests the boundary. Step 5 shows whether Copilot saved your exact rule or a looser paraphrase.

Repeat the test after a license change, a new tenant policy, or a product update. Microsoft changes these features by plan and administrator setting.

## Keep the master context in a file

Copilot memory treats context as scattered preferences and activity logs. It learns from what you do inside Microsoft 365. A file-based record reverses that model: you state the context once, in one place.

A context file is a plain Markdown file. It holds your role, tools, clients, preferences, and workflows. Claude Code reads a file named `CLAUDE.md` at the start of each session. Work IQ infers your context from behavior. The file states the context. The assistant starts from facts you wrote, not facts it guessed.

The file also moves with you. It lives on storage you control, syncs through the service you choose, and works with the next assistant that reads text. When your context changes, you edit one line. You do not search through chat history and saved memory entries to find the old value.

Copilot can still use the same record. Store the file in OneDrive and tell Copilot to read it at the start of a session. That step is manual, but every tool then reads one version of the facts.
