# What do consumer AI subscriptions cost a small team?

At a published individual ChatGPT subscription price of $20 per month, five people would cost $100 per month. Ten would cost $200. Nineteen would cost $380. These are arithmetic examples for one subscription per person, using a price checked on 2026.10.26.

That is a subscription baseline. To budget the work, also identify any separately billed usage, the people who maintain instructions, and the review each output needs. Keep those items visible rather than treating the subscription total as the complete operating cost.

The question becomes useful when you attach it to a recurring job. Which function does the business need, who uses it, and what evidence will show it works? Start there before deciding how many subscriptions to buy.

## Use a dated price for a narrow comparison

The [official individual-subscription price documentation](https://help.openai.com/en/articles/6950777-what-is-chatgpt-plus) lists $20 per month, billed monthly. The [ChatGPT pricing page](https://chatgpt.com/pricing/) is the starting point for checking available subscriptions. Both sources were opened on 2026.10.26.

This example uses that single documented price. It does not compare named plans or features. It does not establish that an individual subscription is the right purchasing or data-handling arrangement for your company.

Recheck the price and terms before purchasing. Confirm the currency, billing method, and final amount shown for your account. Use an actual invoice when reviewing existing spending.

Do not insert a guessed rate for another product. Add a row only after checking its current official price. Keep the check date beside each source so the next budget review can identify old assumptions.

## Multiply the subscription price by the people using it

For the example below, each person has one subscription at $20 per month for twelve months. The annual column is twelve monthly payments. It is not an annual billing offer or discount.

| People with one subscription each | Monthly arithmetic | Monthly baseline | Twelve-month baseline |
|---|---|---|---|
| 1 | 1 × $20 | $20 | $240 |
| 5 | 5 × $20 | $100 | $1,200 |
| 10 | 10 × $20 | $200 | $2,400 |
| 15 | 15 × $20 | $300 | $3,600 |
| 19 | 19 × $20 | $380 | $4,560 |
| 20 | 20 × $20 | $400 | $4,800 |

The table excludes taxes and any other charges. It assumes the same price throughout the example period. These calculated totals are neither a provider quote nor a forecast of future prices.

For your own worksheet, replace the headcount with actual paid users. Record the source price, the date checked, and the person responsible for each account. Keep inactive subscriptions visible until their owner decides what to do.

## Count subscriptions before judging their value

Create a small inventory of the AI subscriptions the business pays for or reimburses. Ask each account owner to confirm the amount, billing interval, and job served. Use records rather than recollection.

Group the subscriptions by function as well as by person. Two employees may use the same service for different work. One employee may use several services for a single job. The inventory should make either arrangement visible.

Separate an unverified charge from a confirmed duplicate. Do not cancel an account merely because its purpose is unclear. First identify the owner, the business material inside it, and any workflow that depends on it.

The [subscription shutdown test](/articles/ai-subscription-shutdown-test) provides a useful dependency check. Use it before changing access or billing. A cost review should leave the business record and ongoing work accessible to authorized people.

## Put separately billed usage on another line

The [official billing documentation](https://help.openai.com/en/articles/9039756-managing-billing-for-chatgpt-and-the-api-platform) states that ChatGPT subscriptions and API usage have separate billing. It also identifies model usage and applicable tool or storage charges as API cost inputs. Source checked 2026.10.26.

Do not assume the subscriptions in the table pay for a proposed background function. Ask how that specific function authenticates and incurs charges. Use the actual arrangement and its documented terms in the budget.

For a usage-billed function, record the model, expected run volume, and observed cost per run. Keep estimates labeled until a trial supplies actual results. Include retries and failed attempts when inspecting usage.

Use the [guide to what survives a canceled AI subscription](/articles/what-stops-when-you-stop-paying-for-ai) for the dependency comparison. This article's calculation answers the narrower question of what a dated individual-subscription baseline adds up to across a team.

## Budget the work around the subscription

Add the tasks required to operate the workflow. Someone maintains approved instructions. Someone checks the sources. Someone reviews drafts and resolves exceptions. Someone owns access and account changes.

Write those responsibilities next to the function they support. Avoid assigning an invented hourly value to all of them. Measure the actual work during a trial, then use the business's own cost assumptions.

A simple budget worksheet can have four sections: subscriptions, metered usage, operating effort, and outside dependencies. Put unknowns in an explicit column. An unknown cost is a question to investigate, not a zero.

Keep initial setup separate from recurring costs. Also separate a defined build price from the accounts used to run it. That distinction helps an owner compare proposals using the same scope and acceptance conditions.

## Compare one working function on equal terms

Choose a specific job, such as preparing an internal weekly status summary. Describe the approved sources, output format, checks, and reviewer. Then compare the proposed ways to complete that same job.

For the employee-subscription approach, record how people gather facts, prepare drafts, and check them. For a dedicated function, record how the system retrieves sources and where a person reviews the result.

Use the same examples and required checks for both. Include incomplete records and requests outside the permitted scope. A lower visible charge does not establish that either arrangement meets the business requirement.

Save the test evidence and the cost assumptions together. Review them when the task volume or source requirements change. The comparison should support a decision about work, without promising a saving you have not measured.

## Give every function a spending boundary

For a proposed recurring AI function, write a monthly AI limit and name the alert recipient. Decide whether new runs stop at the limit. Test that behavior before approving wider use.

Require each run to record what it read, what it produced, which model answered, and what it cost. Keep the receipt with the output. The [run-receipt guide](/articles/receipt-is-part-of-the-output) explains why an inspectable result needs more than a success message.

Assign responsibility for checking costs after a configuration or model change. Repeat the acceptance cases before using a replacement. Keep the business record and instructions available independently of the current model.

Those controls are part of the proposed [AI systems method](/ai-systems). They make spending and responsibility explicit. They do not guarantee a lower bill than individual subscriptions or any other purchasing arrangement.

## Make the next purchasing decision from the worksheet

Bring confirmed subscription charges, the job description, and evidence from a bounded trial to the decision. Mark any missing terms or costs before comparing the options.

Keep a subscription when its owner can explain the job and the terms fit the intended use. Consider a working function when the recurring task has clear sources, repeatable checks, and an accountable reviewer.

Scale With Search scopes and prices each working AI function, with the business study included in the first. Review the [AI systems scope](/ai-systems), then [send the recurring job and the costs you can confirm](/work#send-your-brief).
