# Compare call tracking software for real estate website inquiries

Compare call tracking software by the source information you need, the destination that receives each call, and the numbers you can retain. For an agent website, require separate views of seller questions, buyer questions, missed calls, and repeat contact. Choose a provider only after reviewing its reporting and exit process.

Call tracking connects a tracking number to a receiving number. CallRail documents source-specific numbers and website number pools for visitor-level measurement. Its website script replaces the displayed business number with a tracking number. [CallRail's dynamic number insertion overview](https://support.callrail.com/hc/en-us/articles/5711814948877-Dynamic-number-insertion-overview).

Use the comparison below to prepare a shortlist. Provider capabilities are documented facts. The selection rules and test sheets are proposed requirements for your website.

## Decide which question the software must answer

Write the business question before requesting a demonstration. For example: which website channels produced received seller inquiries, and which calls still need an answer?

Choose the detail needed to answer that question. CallRail distinguishes a static source tracking number from a website pool. The former identifies one campaign source. The latter can capture visitor-level details, including pages visited. [CallRail's tracking-number definitions](https://support.callrail.com/hc/en-us/articles/5711814948877-Dynamic-number-insertion-overview).

For a number printed on a campaign piece, ask for source-level reporting. For visitors arriving through different website channels, ask the provider to demonstrate session attribution. Require the provider to explain its number-pool sizing and what happens when available numbers are insufficient.

If your question is whether the website phone link reaches you, test the existing route first. Put attribution software into the brief when you can name the additional decision its records will support.

## Compare providers against the same website brief

These are documented options, not a performance ranking. Account access, plan inclusion, and compatibility with your website still need confirmation.

| Provider | Documented capability | Selection rule for an agent website | Confirm before buying |
| --- | --- | --- | --- |
| CallRail | Source numbers, website pools, and first-touch and last-touch reporting. [Number setup](https://support.callrail.com/hc/en-us/articles/5711814948877-Dynamic-number-insertion-overview), [attribution documentation](https://support.callrail.com/hc/en-us/articles/5711811606541-Attribution-modeling). | Shortlist when you need to distinguish the source that introduced a caller from the source associated with later contact. | Show your required report columns, repeat-call behavior, receiving destination, and included features. |
| WhatConverts | Dynamic number insertion records session source, campaign, keyword, and landing page. Its export feature supports complete, visible-column, and filtered datasets. [Website number replacement](https://www.whatconverts.com/features/lead-tracking/call-tracking/dynamic-phone-number-insertion/), [lead exports](https://www.whatconverts.com/features/lead-management/export-leads/). | Shortlist when your requirement combines website call context with records you can export and review. | Demonstrate seller and buyer classification, your actual forms if needed, and the export fields in the selected plan. |
| CTM (CallTrackingMetrics) | Marketing Lite lists source attribution, forwarding, and IVR routing. Marketing Pro adds form tracking. Sales Engage lists advanced routing and team performance reporting. [CTM's plan comparison](https://www.ctm.com/plans-pricing/). | Shortlist when the brief includes a defined team answering process alongside attribution. | Verify which plan supports your routing rules, report access, and required inquiry types. |

Ask each provider to use the same proposed scenario: a seller calls from your selling page, a buyer asks about a property, and an existing contact calls again. Require an explanation of how each interaction appears in the report.

Compare that explanation with the information your receiving agent needs. Leave a capability marked unresolved until its documentation or demonstration answers the question. A listed feature does not establish a working connection to your account.

## Inspect the attribution rule before comparing channels

Ask which source receives credit in the report you intend to use. CallRail documents first touch, lead creation, qualification, and last touch as separate milestones. It also documents different credit-assignment models. [CallRail's attribution definitions](https://support.callrail.com/hc/en-us/articles/5711811606541-Attribution-modeling).

For your reporting brief, retain the introducing source and the latest associated source when available. Record the selected model beside channel totals. Avoid comparing reports until their periods, filters, and credit rules match.

Test the channels you use. Include an organic search arrival and an agreed campaign link. For each, record the landing page, visible number, dialed number, receiving destination, and reported source. Keep missing source information labeled unknown.

CallRail's test instructions call for cleared cookies or a fresh private browsing session between number-swapping tests. Follow the selected provider's method when preparing your checks. [CallRail's manual testing instructions](https://support.callrail.com/hc/en-us/articles/5711376255501-Manually-test-dynamic-number-insertion).

Also ask how the provider handles a caller who saves the number, uses another device, or returns later. Require an explanation of the recorded evidence and its limits. Keep a caller's stated source separate from the software's attribution.

## Require proof of call delivery on the actual website

Define the destination before adding a tracking number. Name who answers, who covers an absence, and what happens outside the agreed answering hours.

WhatConverts says its insertion script replaces numbers in headers, footers, buttons, and click-to-call links. Use that documented behavior as a requirement to test on your own pages. [WhatConverts' website replacement description](https://www.whatconverts.com/features/lead-tracking/call-tracking/dynamic-phone-number-insertion/).

Arrange controlled calls with the receiving person. Use a phone and test contact details you control. Save the result at the receiving destination, then compare it with the tracking record.

| Proposed check | Evidence to save | Acceptance condition |
| --- | --- | --- |
| Seller page on a phone | Displayed number, phone-link destination, and call receipt | The intended recipient answers the agreed seller test. |
| Buyer or property page | Page address, dialed number, and received question | The recipient can identify the buyer test and its page context through the agreed method. |
| Unanswered call | Call result, voicemail if configured, and assigned follow-up | The responsible person can find the missed call and demonstrate the next action. |
| After-hours route | Actual destination and greeting | The route matches the written answering plan. |
| Tracking script unavailable | Visible fallback number and controlled call result | The agreed contact route remains usable under the tested condition. |

Inspect the displayed number and the phone link separately. Ask the developer to demonstrate the fallback in an agreed test environment. Repeat failed checks after repair and retain both results.

## Build a report around seller and buyer inquiries

Define an inquiry for your own report: a received question about selling, buying, or a particular property. Keep supplier calls, spam, tests, and existing-client service questions in separate categories.

Require a review method for that classification. Ask whether your selected plan supports the labels or custom fields you need. Have the receiving person confirm the inquiry purpose before counting it as a seller or buyer request.

For each record, request the call time, tracking number, receiving destination, answer status, observed source, and inquiry category. Add page context where the tracking method supports it. Name the person responsible for an unanswered inquiry.

Use repeat contact as its own category in channel reviews. Decide whether a report counts people, calls, or distinct questions. Write the definition beside the total. Keep appointments and representation agreements in your own verified business records.

## Resolve number control and data export before installation

Put the account under the business identity authorized to retain the numbers. Name the administrator and the person who can request a transfer. Keep your main business number and any tracking numbers identifiable in the handoff sheet.

CallRail says numbers created in its service belong to the customer. Its port-out instructions require administrator authorization and a request initiated by the receiving provider. It warns against closing the account or deactivating numbers before a completed transfer. [CallRail's port-out procedure](https://support.callrail.com/hc/en-us/articles/5711677430669-Port-a-phone-number-away-from-CallRail).

WhatConverts says it releases numbers on request when a customer leaves. Its feature page describes that commitment without a detailed transfer schedule. Request the procedure for your numbers before signing. [WhatConverts' number-porting page](https://www.whatconverts.com/features/lead-tracking/call-tracking/port-your-numbers/).

For CTM, request the number-release procedure, required authorizer, and export instructions. Leave those terms unresolved in your comparison until you receive the applicable documentation.

Download a sample report before accepting the setup. CallRail documents Excel call-log exports and limits exports with transcripts to its Premium Conversation Intelligence plan. [CallRail's call-log export instructions](https://support.callrail.com/hc/en-us/articles/5711277622029-Export-Call-log). WhatConverts describes exporting all data or a filtered selection. [WhatConverts' export options](https://www.whatconverts.com/features/lead-management/export-leads/).

Open the sample outside the provider's dashboard. Check the dates, source fields, inquiry labels, and identifiers against the test records. Ask separately about recordings, transcripts, retention, and access after cancellation.

Call recording laws vary by state, and some states require every party to consent. Before enabling recordings, confirm the rules for your state and your callers' states, and have the responsible broker or counsel review the proposed notices, consent process, retention, and access. Make those decisions part of the setup brief.

## Compare the complete cost and write the exit sequence

Request a quote for the same requirements from each shortlisted provider. Ask for subscription charges, numbers, minutes, forms, routing, exports, support, and cancellation terms. Mark an unquoted requirement unresolved.

CTM's published plans separate subscription billing from usage. Its pricing page lists number and minute charges separately. Use the full quote when evaluating that option. [CTM's plan and usage pricing](https://www.ctm.com/plans-pricing/).

Write an exit sequence before installation: save the required records, confirm number-transfer terms, prepare the receiving service, test calls after transfer, and remove obsolete website code. Follow the provider's instructions for the timing of cancellation.

Assign a person to each step. Require a working phone route after the change. Keep the number inventory, report definitions, and transfer instructions with the website handoff.

## Bring the phone path into the whole website fix

The call-tracking comparison records number control, transfer terms, and failed phone checks. Submit the website faults through [whole website fix: call tracking requirements](/for/real-estate). Inquiry-path testing belongs to the whole website fix.
