# Chat History Title Best Practices: Name AI Work by Client, Decision, and Date.

Six business chats are named "New chat." One contains an approved pricing decision. Another contains a rejected draft. A third includes sensitive client details. Nobody can identify the right record before an account cleanup.

A useful title improves retrieval and triage. It does not make the conversation current, approved, complete, or safe to retain.

Use four fields: client or domain, job, decision state, and date. Keep sensitive names out when the platform, sharing model, or screen exposure makes them inappropriate. Promote lasting decisions into an owned record outside chat.

## Titles are retrieval metadata, not authority

A title helps a person find a conversation. It does not prove:

- who approved the contents;
- whether the final answer was accepted;
- which sources were current;
- whether a later chat superseded it;
- whether the conversation is complete;
- whether it should still be retained.

OpenAI distinguishes archiving from deletion. Archived ChatGPT conversations remain stored under normal retention settings, while deleted chats leave the history view and are scheduled for deletion subject to stated exceptions. Renaming and archiving therefore solve organization problems. They do not complete a retention or business-memory workflow.

## Use client or domain, job, state, and date

Adopt one pattern that sorts well and can be understood without opening the chat:

Use stable client IDs when names are sensitive or ambiguous. Use the date of the chat's governing work, not the day someone happened to rename it. If the conversation spans many days, use the decision date or close date defined by policy.

Keep the vocabulary short enough to scan. Hyphenate multiword jobs. Do not encode every source and participant in the title.

## Mark draft, approved, superseded, and archive states

Use controlled states:

- `draft`: output exists but is not approved;
- `approved`: an authorized person accepted a defined result;
- `blocked`: work stopped on a named missing condition;
- `superseded`: a later approved record replaced it;
- `reference`: evidence that does not govern current work;
- `archive`: closed conversation awaiting policy-based retention or deletion.

Reserve `approved` for a recorded approval. A positive reaction, polished output, or completed model response is not enough.

When a chat becomes superseded, include the new decision ID in the owned register. Chat titles often cannot hold the full link cleanly, so keep the mapping in `AI-CHAT-NAMING.md` or an archive index.

Keep the file beside the business archive procedure, not inside one vendor's custom instructions. The convention should survive a model or provider change.

## Keep sensitive names out when required

Chat titles can appear in sidebars, screen shares, browser history, exports, notifications, support logs, or shared workspaces. Use the minimum identifying information needed for retrieval.

Prefer a stable ID when a title could reveal:

- client legal matters;
- health or employment details;
- acquisition or personnel work;
- private financial information;
- credentials or secret project names.

Never place passwords, tokens, private keys, full account numbers, or sensitive personal identifiers in a title. Renaming does not remove those values from the chat body, provider records, or exports.

## Rename a five-chat sample and test retrieval

Do not begin with thousands of conversations. Select five representing approved, draft, superseded, blocked, and sensitive work.

Run this test list:

1. Rename each chat using the convention.
2. Ask a second operator to find the approved decision without opening all five.
3. Ask them to identify which chat must not govern current work.
4. Search by client ID, job, state, and date.
5. Export the available chat history and confirm titles survive where expected.
6. Archive one conversation and confirm it remains retrievable.
7. Mark one for deletion and verify the retention procedure.
8. Locate the promoted decision outside chat.

Test the actual account and plan. Do not base the archive procedure on another user's interface.

## Promote durable decisions out of chat history

Titles help find candidates for promotion. Review approved conversations and move lasting state into the correct owned record:

- decision and effective date;
- owner and approval evidence;
- current claim or procedure;
- source files;
- superseded record;
- correction path;
- next test.

Link the record back to the provider conversation ID when permitted. The owned record should remain usable if that link disappears.

## Keep a reversible mapping before bulk cleanup

Before renaming many chats, export or record the original title, provider conversation ID, proposed title, final title, operator, and time. This mapping lets a reviewer find errors without depending on visual position in a sidebar.

Use dry-run output first. Detect duplicate proposed titles, invalid characters, title-length limits, missing dates, unknown clients, and states that lack approval evidence. Resolve sensitive or ambiguous items manually.

Do not automate through a browser in the background. If the provider has no supported naming API, run a foreground sample and confirm each visible result. Rate limits, lazy-loaded sidebars, and reordered lists can make positional automation rename the wrong conversation.

After each batch, select a sample by conversation ID and compare its body, old title, new title, and archive state. Stop when the interface changes or an identity cannot be confirmed.

## Review retention and naming after use

Titles should support a later retention pass. Group conversations by domain, state, and age. Review approved chats for promotion, blocked chats for unresolved work, superseded chats for archive, and sensitive chats for the applicable retention rule.

Keep an explicit no-change result for conversations already compliant. A cleanup receipt should show how many were inspected, renamed, skipped, blocked, archived, or proposed for deletion. This distinguishes finished triage from a script that stopped midway.

Review the convention after a month of use. Count titles operators can locate without opening, duplicate job labels, ambiguous states, sensitive names caught, and durable decisions promoted. Change the vocabulary only when the evidence shows a recurring retrieval failure. Stability makes the titles useful across people and tools.

## Approval and stopping boundary

The workflow may inventory chat titles, propose normalized names, rename an approved sample, create an archive index, identify promotion candidates, and prepare a deletion list.

It stops before exposing sensitive names, changing ownership or sharing, deleting conversations, bulk-renaming without a reversible mapping, or treating a title as approval. The record owner approves promotion. The data owner approves retention and deletion. The workspace administrator approves bulk operations.

If a chat's client, state, or date is ambiguous, label it `reference` with an unresolved note instead of guessing.
