Record the exact pages, reviewed version, broker decision, and unresolved changes. Give each site a named maintainer. The register below is a proposed operating worksheet. Ask the responsible broker to set its applicable requirements and review triggers. State obligations differ. For example, TREC says a sponsoring broker should review a sales agent's advertising. It also says the broker must maintain current written policies and procedures for advertising-rule compliance. Checked: 2026.10.23. ## Inventory the actual websites Ask each agent for their public website addresses and the provider responsible for changes. Include separate team sites, hosted property search, and active campaign landing pages where used. Keep a row for each distinct publication destination. Identify which parts the agent controls and which require the brokerage or vendor to act. Use direct public addresses in the register. Keep login details and passwords in the brokerage's authorized credential system. When an address is missing or its ownership is unclear, mark it UNRESOLVED. Assign someone to resolve the gap before recording the site as reviewed. ## Separate requirements from design preferences Give the broker space to identify the relevant state rule, brokerage policy, and any applicable MLS instruction. Link each requirement to its current source. Keep optional style preferences in their own column. That lets the builder distinguish a required correction from a preferred presentation change. Virginia provides a specific example. Its rule requires advertising under the principal or supervising broker's direct supervision and requires the firm's licensed name to be clearly legible. It also specifies an advertising disclosure containing the firm's name and office contact information. Have the responsible reviewer approve the worksheet before relying on it. | Field | What to retain | | --- | --- | | Public address | Exact page and any separate hosted search destination | | Responsible parties | Agent, broker reviewer, and website maintainer | | Reviewed version | Dated capture or saved version that identifies the content checked | | Requirement and source | Applicable rule or policy named by the reviewer | | Decision | Approved, changes required, or unresolved | | Required correction | Specific passage, placement, or contact behavior to change | | Closure evidence | Corrected version and reviewer confirmation | | Next trigger | Event or scheduled date that prompts another review | Avoid using a single approved label for an entire site when important pages remain unchecked. Name the scope of the decision. Retain the review record privately. Publish the corrected identity and service information without exposing internal discussion. ## Check the paths that leave the main website Review representative biography, service, property, and contact pages. Follow any hosted IDX link and inspect its surrounding identity. Include downloadable material and visible form acknowledgments when they carry brokerage or agent claims. Ask the reviewer to assess the resulting presentation. Preserve requests to the provider responsible for a correction. Virginia's rule requires timely updates for material listing-status or property-description changes. It also requires controlled property information to match the property's condition and current contract status. Checked: 2026.10.23. ## Set review triggers the brokerage can carry out Ask the broker to choose the review schedule. Add event triggers for affiliation changes, team renaming, new domains, template replacements, and relevant policy changes. Include listing-status changes where the website displays property information. Have the responsible reviewer define the required update process and timing for the applicable jurisdiction. Assign a maintainer to each correction. Ask for the corrected public address and dated result before closing the task. Identify what still needs a legal or account-specific answer. Bring that correction list to the [website scope form](/work). Ask for the changes and evidence the responsible broker needs to complete the review.
