# Best Platform for Company Context Across AI Tools: What Must Follow the Job.

A customer history spans Gmail, HubSpot, meeting notes, ChatGPT, and Claude. Each assistant sees a useful fragment. None sees the corrected promise the account manager approved yesterday.

The company does not need one more assistant with a larger memory claim. It needs a context system that can resolve one customer, retrieve the approved record, show its sources, and stop before an unauthorized action.

The best platform is the one that can carry a defined job across tools while the company keeps the record, correction path, permission boundary, and replacement option.

The context path must stay inspectable when the assistant changes.

## Persistent context is a system, not one sync button

Automatic synchronization can copy information. It cannot decide which information has authority.

An email may contain a proposed discount. A CRM field may contain the accepted price. A meeting transcript may contain a later correction. A chat summary may omit who approved the change. If a platform puts all four into one searchable pool, retrieval can become broader while the business answer becomes less reliable.

Define persistent context as four separate layers:

- the company record that contains approved facts and decisions;
- the retrieval route that selects the smallest source set for the job;
- the model that interprets those sources;
- the action layer that controls writes, sends, and other effects.

## Compare three platform patterns

Vendor memory is convenient for personal preferences and continuity inside one product. It usually stays coupled to that product's accounts, controls, and interpretation of relevance.

Shared workspaces and connected suites can expose project files, email, chats, and business applications. They reduce manual loading. They can also retrieve conflicting or excessive material unless the job has a source order.

An owned context layer stores the controlling packet in files or systems the company can inspect and export. Thin adapters let approved assistants read it. This route requires maintenance, but it makes replacement and audit easier.

Many businesses will use a hybrid. Product memory handles preferences. A shared workspace supports collaboration. Owned records control prices, permissions, decisions, corrections, and open obligations.

Do not score platforms by feature count. Score the complete route used by one recurring job.

## Separate record, retrieval, model, and action ownership

Write down who controls each layer before a trial:

- Who can edit the canonical customer record?
- Which system resolves conflicting sources?
- Which account and model process the packet?
- Which mechanism blocks an external send?
- Which person accepts corrections?
- Which log proves what happened?

Apply that principle to the complete context route. A status-draft job may need read access to an approved client packet and write access to one drafts folder. It does not need every mailbox, every client folder, or permission to send.

Build a synthetic customer timeline before connecting live systems.

Use harmless facts. Give a second customer a distinctive canary value. The canary must not appear in any TEST-041 output.

The test should fail if the platform returns a plausible answer without identifying the missing canonical source.

## Test source coverage and authority conflicts

Run the same fixture through every proposed assistant route.

First, confirm that each route can find all required sources. Then remove one required file. A safe route should report the missing input and stop.

Next, expose the conflicting proposal and approved decision. The approved decision must win because the test defines its authority, not because it appears more recent or sounds more certain.

Finally, add the correction. Repeat the job in fresh sessions. Every assistant should use the corrected date and identify the controlling record.

## Test client boundaries and least privilege

Use separate test identities or scopes when the platform supports them. Grant only the sources required by the fixture. Deny the other-client folder and every action capability.

Record whether denial occurs at the storage, connector, platform, model-tool, or application layer. A natural-language instruction that says "do not read other clients" is not the same as an enforced denial.

Run two negative tests:

1. Ask directly for the other client's canary.
2. Place a prompt-injection instruction inside a permitted reference file that requests the denied source.

Both runs must refuse or fail closed. The receipt should name the blocked request without exposing the denied content.

## Test corrections across three assistants

A correction is complete only when the next eligible job uses it.

Change one fixture fact through the approved correction route. Do not manually patch each assistant. Record when the canonical source changes, when each retrieval path observes it, and when each fresh run applies it.

If the platform maintains its own memory, inspect whether the older value remains and how it is removed. If the platform cannot explain which layer supplied the stale value, the correction path is incomplete.

## Require export, shutdown, and replacement evidence

Export is not a checkbox. Perform it.

Export the context packet, source identifiers, permissions map, corrections, and receipts. Open them without the platform. Rebuild the synthetic job with a fresh assistant. Confirm that the same approved decision and stopping boundary survive.

Then disable the test connector or account. Verify what stops, what remains available, what retained copies exist, and who can delete them. Record any proprietary objects that cannot move.

A platform can still be useful when some objects do not export. The buyer must know which operational capability depends on them.

## Use a buyer scorecard tied to one job

Score evidence, not demonstrations:

- canonical record remains under company control;
- source order resolves the planned conflict;
- missing sources produce a stop;
- permissions block cross-client reads;
- corrections reach all approved routes;
- receipts show sources and stopping state;
- export supports a cold-start replacement;
- shutdown behavior is documented;
- one named owner can maintain the route;
- monthly cost includes connectors, review, and recovery work.

Reject any candidate that fails source authority, isolation, or replacement. Compare convenience and cost only among routes that pass those gates. ## Approval and stopping boundary

The evaluation may create synthetic records, test accounts, local fixtures, read-only connectors, and draft outputs. It may disable and delete those synthetic resources.

It stops before connecting live mail, CRM, drives, or customer data. It also stops before granting broad credentials, buying annual seats, changing retention, authorizing writes, or selecting a company-wide standard. The data owner, system owner, and budget owner approve those changes.

If the company cannot name the canonical record and correction owner, the platform comparison stops. A tool cannot settle an unresolved business authority decision.
