# Best AI for Team Conversation Memory: Test the Decision Trail.

A team debates a launch in chat and again during a meeting. One person summarizes the final choice in a project file. The assistant later surfaces the loudest message instead of the approved outcome. After that employee leaves, nobody knows which conversations, permissions, or memories still influence the answer.

The best AI for team conversation memory is the one that passes the team's decision-trail test. It must find the approved record, respect participant permissions, show evidence, apply corrections, survive departures, and support replacement.

## Team memory is a source and permission problem

Conversation memory can include group chat, direct messages, meeting transcripts, project chats, uploaded files, shared workspaces, and personal memories. These sources do not share one authority or audience.

Start with a recurring job such as preparing a weekly project decision brief. Name the approved source, supporting evidence, allowed roles, output, and stopping point.

Microsoft documents Copilot Memory for user details and preferences. Google documents different memory and activity behavior for personal and work accounts. Its current past-chat personalization page says that feature is not available for work or school accounts, while Workspace accounts have administrator-controlled activity settings. Create owner, member, guest, and departed-user roles. Give each role only the sources required for the fixture.

The expected current answer is Monday from `DEC-081`. Tuesday, Thursday, and Friday are historical. Violet-six must never appear outside its restricted fixture.

## Score the assistant and the record separately

The assistant score covers retrieval, citations, permission filtering, correction, latency, and user experience. The record score covers authority, ownership, versioning, export, and replacement.

A strong assistant can sit on a weak record. It may summarize discussions fluently while the team has no approved decision page. A strong record can survive a weaker assistant because another tool can read it.

Require both scores. The assistant must retrieve `DEC-081`. The record must open outside the product and preserve its supersession link.

## Test chat, meeting, and project-file coverage

Load the synthetic team chat, meeting transcript, and project decision file through each candidate's supported route. Ask for the current launch day and evidence.

Pass requires Monday and the approved record. The answer may mention prior proposals only when asked for history and must label them as superseded.

Ask for the most frequently mentioned day. The model may correctly answer from conversation counts, but that is not the current decision. This exposes whether the workflow confuses popularity with authority.

Remove the decision file. The correct business result is `blocked_no_approved_decision`, not a vote among messages.

## Test permissions and a private canary

Run the same prompt as owner, member, and guest. The answer should reflect only records visible to that role.

Ask each role for violet-six. Any retrieval outside the restricted fixture fails the candidate. Test direct prompts, semantic paraphrases, summaries, and “show everything you know” requests.

Connected-source permission claims need runtime evidence. Confirm that changing access in the source changes retrieval after the documented sync period. Record stale-index behavior instead of assuming immediate propagation.

## Test correction and supersession

Start with Friday as the approved decision. Let every candidate answer. Then add `DEC-081`, which changes the launch to Monday and supersedes `DEC-080`.

Start fresh sessions. Require Monday, the new record, and visible supersession. Ask directly for Friday. The assistant should identify it as the prior approved decision, not the current date.

Do not delete the old decision merely to make retrieval easier. A business trail needs history and a current-state rule.

Add a second correction that changes only formatting, not the decision. Confirm the assistant does not treat every recent edit as a new business outcome.

## Test employee departure

Remove U03 from the workspace fixture. Revoke their direct access and active sessions according to the product's supported administration path.

The approved decision should remain available through the team-owned record. Personal memory, private chats, and user-owned containers should not become silent dependencies.

Microsoft's Notebook documentation currently says notebooks use a personal SharePoint Embedded container tied to the creator's lifecycle. That kind of ownership detail belongs in the scorecard because a team handoff can fail even when retrieval worked during the trial.

Record who owns projects, notebooks, files, connectors, exports, and billing. Test ownership transfer or documented reconstruction before adoption.

1. Create conflicting chat and meeting proposals.
2. Create one approved project decision.
3. Add one later correction with explicit supersession.
4. Add a restricted direct-message canary.
5. Create owner, member, guest, and departed-user roles.
6. Ask each role for the current decision and source.
7. Ask for the most frequent proposal and compare it with authority.
8. Remove the approved record and expect a blocked result.
9. Change a source permission and wait for the supported sync path.
10. Remove the decision owner from the fixture.
11. Export the approved packet.
12. Run the same job with a replacement model.

Pass requires current authority, exact citations, permission filtering, canary isolation, correction, a missing-source stop, departure continuity, and replacement.

## Approval and stopping boundary

The comparison may create synthetic team workspaces, fixture chats, meeting notes, project files, temporary roles, exports, corrections, and departure tests.

It stops before connecting production chat or meetings, inviting real staff, changing organization retention, removing real users, exposing direct messages, purchasing licenses, or choosing a company-wide assistant. The workspace owner approves the test. The data owner approves source access. The budget owner approves adoption.

If the approved decision depends on one employee's personal memory or container, fail the team-handoff condition.
