# Animal drug supply records: distinguish a shortage, a resolved entry, and a discontinuation

A purchasing lead needs a specific supplier answer: does this notice concern our product, and what can the supplier confirm about fulfillment? Start by separating the public record's state from the clinic's inventory and the supplier's response. Keep all three visible in the same review.

Use this guide to read the source before preparing that conversation. The [veterinary clinic overview](/for/veterinary-clinics) covers administrative records and review boundaries. The [veterinary supply intelligence guide](/intelligence/veterinary-clinics) describes a proposed review queue. Here, the task is narrower: interpret the published state without turning it into a delivery promise.

## Read the two tables as different records

FDA maintains a [current and resolved shortage table](https://www.fda.gov/animal-veterinary/product-safety-information/current-and-resolved-animal-drug-shortages) and a [discontinued-drug table](https://www.fda.gov/animal-veterinary/product-safety-information/discontinued-animal-drugs). Both were reopened on October 28, 2026. The first separates the shortage state, beginning date, and resolution date. The second supplies a posting date and space for additional information.

The October 28 reading showed shortage rows but no resolved entries. The resolved example below is fictional and illustrates the resolution-date field.

Preserve those distinctions in your worksheet. Do not rename every date “updated,” because that removes the question each date can answer. A posting date records what the table labels as posting. It should not become an assumed last manufacturing date, last shipment date, or last usable date.

Read the whole row, including product identity and explanatory information. If an explanation is absent, leave it absent. Do not supply a cause from another product, an earlier notice, or a conversation about a different order. Copy only what you can trace back to this record.

Treat each table as one evidence source within the purchasing review. Your internal note should identify which table supplied the row. A combined list can be convenient, but its rows still need their original source and field meanings.

## Choose the next question from the published state

For a shortage entry, prepare a question about the exact product's present supply situation. Ask what the manufacturer can confirm and what your distributor can confirm for your account. Keep those replies separate when the organizations answer different questions.

For a resolved entry, prepare a fresh availability question rather than closing the clinic's issue automatically. A resolution date in a public record is not a dated acknowledgment of your purchase request. Require a current supplier response before recording any delivery expectation.

For a discontinuation entry, prepare a product-master review. Ask which exact product the notice concerns and what the supplier can establish about that item. Do not convert this task into a substitution choice. Keep clinical review with the veterinarian and ordering decisions within the clinic's authorized process.

These are recommended purchasing questions, not additional FDA status definitions. FDA's [shortage guidance, under its section for veterinarians](https://www.fda.gov/animal-veterinary/product-safety-information/animal-drug-shortage-information), directs readers to manufacturers for current supply information. That guidance was reopened on October 28, 2026.

## Keep source, inventory, and response times separate

Build a small timeline rather than placing one date at the top of the page. Use the following worksheet structure. It distinguishes dates copied from a source from dates created by your clinic's review.

| Time in the review | What to record | What stays outside that field |
| --- | --- | --- |
| Source retrieval | When you successfully read the table, with time zone | The beginning or end of the supply event |
| Shortage beginning | The value in the source's beginning-date column | Your first backorder or first supplier call |
| Shortage resolution | The source's resolution-date value, if present | An assumed distributor shipment date |
| Discontinuation posting | The posting-date value on that separate table | An inferred manufacturing or stock deadline |
| Clinic inventory | When the clinic's stock record was checked | National supply status |
| Supplier response | When the supplier answered the exact question | A guarantee extending beyond the reply's terms |

Leave blank source cells blank, with an explicit note that no value was shown. Do not copy the retrieval date into a missing resolution field. That would manufacture a source event from your own reading activity.

If you compare two snapshots, keep both retrieval times. A row that changed between readings establishes an observed difference between those snapshots. It does not establish the exact moment the publisher changed the page. Record that narrower observation so the next purchasing lead can understand it.

## Work through three fictional stock records

The following names, quantities, dates, and supplier replies are invented. They demonstrate record handling and describe no real drug, company, shipment, or clinic. They provide no ordering or treatment recommendation.

### Fictional case one: a shortage and an old stock count

Assume a public example lists “Example Cedar Suspension” in shortage, beginning October 5. A fictional clinic count lists four unopened packages on October 20. The purchasing lead reads the source on October 28.

The worksheet now contains three observations with different dates. It does not contain today's verified stock, an allocation for the clinic, or an expected delivery. The next task is to refresh the clinic count and ask the supplier about the identified item.

Suppose the supplier answers, “No confirmed ship date.” Preserve that answer as unresolved delivery, with its response date. Do not use the shortage's beginning date to estimate a recovery interval. A long-running notice provides no arithmetic rule for predicting this shipment.

### Fictional case two: resolved in the source, unanswered locally

Assume “Example Birch Tablets” has a fictional resolution date of October 21. The clinic's open purchasing question dates from October 18. A distributor reply on October 24 says the account's delivery remains unconfirmed.

Keep the public resolution and the unresolved supplier response side by side. Neither needs to overwrite the other. The next call should ask whether the distributor can now confirm the specific item and delivery terms. It should reference the prior response so the conversation has a clear starting point.

Close the follow-up only against the clinic's chosen evidence requirement. For example, the purchasing owner could require a dated written acknowledgment. Record what that acknowledgment establishes. Do not make a later reader infer confirmation from a checked box labeled “resolved.”

### Fictional case three: a discontinuation and a remaining package

Assume a separate fictional table posts “Example Maple Powder” on October 12. A clinic record checked October 27 shows one package. The supplier has not answered whether the notice matches the clinic's exact product.

The posting and the stock count can both remain recorded. Neither resolves the identity question. Send the product details for review before changing the product master. Keep any inventory disposition question with the clinic's responsible people and applicable product records.

The useful administrative result is a named task with evidence: confirm identity, obtain the supplier's response, and record the authorized product-master decision. No replacement product belongs in the worksheet unless a separate authorized process supplies that decision.

## Prepare a supplier-confirmation worksheet

Use one worksheet per product inquiry. Give it an internal reference that does not identify an animal or owner. The purchasing lead should be able to reconstruct the question without opening a patient chart.

| Worksheet field | Entry to prepare |
| --- | --- |
| Internal product reference | Clinic SKU and the inventory record version |
| Public product identity | Product name, firm, application reference, and source link |
| Identity review | Confirmed for this inquiry, uncertain, or not established |
| Public supply state | Exact state from the named table |
| Source dates | Original date labels and values, including empty fields |
| Reading time | Retrieval timestamp and time zone |
| Clinic stock evidence | Count timestamp and the responsible staff role |
| Supplier question | Exact product and the unresolved fulfillment question |
| Supplier answer | Dated response, evidence location, and any stated conditions |
| Responsible reviewer | Purchasing lead and veterinarian where review is needed |
| Next action | Named owner, review date, and evidence needed to close |

Write the supplier question before making contact. A useful version asks whether the supplier can confirm availability and fulfillment timing for the identified item. It avoids the vague question “Is the shortage over?” when the clinic needs an answer about a particular inquiry.

If the answer is verbal, label the note as a staff record of a conversation. Retain the time and the question asked. Do not convert a tentative answer into a written supplier commitment. Ask for clarification through the clinic's normal purchasing process when the distinction matters.

## Resolve identity before interpreting consequences

A familiar ingredient name should prompt a closer product check. It should not complete the match. Review the product name, firm, application reference, and available strength and form evidence against your clinic record.

Use the companion [animal drug application-number guide](/articles/animal-drug-application-number-supply-notice-product-match) for that comparison. It separates an exact identity match for inquiry from an uncertain alias and an absent source entry. The result supports a better supplier question rather than a clinical equivalence decision.

If identity remains uncertain, keep the task in an identity-review column. Do not assign the source's supply state to every clinic item containing a similar ingredient. That shortcut hides which products someone checked and which products remain unreviewed.

## Handle missing and changed information explicitly

When a product is absent from the table you read, record “not listed in the source checked.” Include the search terms and reading date. Do not translate absence into available, resolved, discontinued, or unaffected.

When the source cannot be read, preserve the last successful reading as historical evidence. Mark the current review incomplete. A failed page read must not turn yesterday's outstanding questions into an empty list of issues.

When a supplier response conflicts with an earlier note, retain both in sequence. Ask what changed and who can confirm it. If the old note concerned another package or distributor item, correct the linkage rather than rewriting the history as though the mismatch never happened.

The [business memory guide](/articles/business-memory-for-ai-agents-guide) explains why source locations and accepted corrections belong in records your business controls. For purchasing, keep the original observation, the correction, the reviewer, and the next question together.

## Hand off a review someone else can finish

Before a staff handoff, open one completed worksheet and one unresolved worksheet together. Check whether another purchasing lead can identify the exact product, source state, and unanswered question. Remove unexplained shorthand that depends on the previous reader's memory.

Give each unresolved task a responsible person and a next review date. Leave ordering, product disposition, prescribing, and substitution outside this source-reading worksheet. The veterinarian and purchasing owner should define their own decisions and evidence requirements.

For a scoped record workflow, bring Scale With Search a synthetic product list and examples of confusing supplier replies. Define the sources, matching rules, review roles, and retained evidence in writing.
