# Animal drug application numbers: match a supply notice before asking about clinic stock

Before asking a supplier about a supply notice, establish which clinic product the notice might describe. Keep the application number, product name, firm, strength, and dosage form in separate fields. An ingredient resemblance or matching number should start the comparison rather than settle every product question.

The goal is a reviewable identity worksheet for a veterinarian and purchasing lead. It does not choose a substitute, interpret a dose, recommend an order, or change the formulary. The [veterinary clinic overview](/for/veterinary-clinics) explains the broader administrative boundary. This guide concentrates on identifying the item behind the question.

## Understand what the application reference contributes

FDA uses New Animal Drug Application (NADA) numbers and Abbreviated New Animal Drug Application (ANADA) numbers for approved animal drugs. Its [identification guidance](https://www.fda.gov/animal-veterinary/unapproved-animal-drugs/how-can-i-tell-if-drug-legally-marketed-animals), reopened October 28, 2026, explains that several proprietary labels can share an approved application. The number therefore needs context when comparing a supplier item with a public notice.

Record the application type alongside the number when the controlling source establishes both. Preserve leading zeros and the source's displayed reference. Keep the clinic SKU and distributor item code in their own fields. Do not relabel any convenient number as an application number merely because it appears on a purchasing record.

FDA's same guidance describes [Animal Drugs @ FDA](https://animaldrugsatfda.fda.gov/adafda/views/#/search) as searchable by proprietary name, ingredient, and application number. Use the official record to examine the candidate. Preserve your query and the record you opened so another reviewer can repeat the inquiry.

## Compare the supply row with the product record

The [FDA shortage table](https://www.fda.gov/animal-veterinary/product-safety-information/current-and-resolved-animal-drug-shortages), reopened October 28, 2026, provides product, firm, and application references beside supply information. The [separate discontinuation table](https://www.fda.gov/animal-veterinary/product-safety-information/discontinued-animal-drugs) also identifies products and firms. Treat each row as a candidate to compare with the clinic item.

Create three columns: public supply row, official product record, and clinic product record. A fourth column should explain any difference. This layout prevents a single familiar name from hiding missing strength, form, or package information.

Do not fill an absent detail from memory. If the supply row abbreviates a name, retain that text and record the fuller product-record wording separately. If the clinic record lacks an application reference, ask the responsible reviewer to obtain the label evidence. Keep the comparison incomplete until the missing identity is addressed.

## Read one dated official example without making a stock claim

On October 28, 2026, the shortage row for albendazole identified Valbazen Suspension 11.36%, Zoetis Inc., and application 110-048. These details support a dated identity exercise. They do not describe a clinic's inventory or distributor allocation. [FDA shortage table](https://www.fda.gov/animal-veterinary/product-safety-information/current-and-resolved-animal-drug-shortages).

The official [application 110-048 detail page](https://animaldrugsatfda.fda.gov/adafda/views/#/home/previewsearch/110-048) was checked through its public search response and product-detail record. The search result named Valbazen, Zoetis Inc., and albendazole. The product details listed a liquid suspension and specifications of 11.36 percent albendazole. [Official product details, accessed October 28, 2026](https://animaldrugsatfda.fda.gov/adafda/app/search/public/retrievePreviewBean/1415).

That comparison connects the table's wording with an official product identity. It still needs a clinic label and supplier item before supporting an inquiry about clinic stock. Do not infer package size, present availability, delivery timing, or clinical suitability from these public fields.

Keep the example's date when reusing it in staff training. A later reader should reopen the sources rather than treat this paragraph as a current supply bulletin. Preserve the source version used for each actual purchasing question.

## Treat strength and dosage form as separate checks

Put strength and dosage form on distinct worksheet rows. Also retain the source location for each value. An agreement on one row should not conceal a conflict on another row.

If a concentration uses a percent expression in the official record, copy that expression for review. Do not calculate another concentration or convert it into a dosing instruction. The worksheet's job is to preserve established identity, not derive a clinical interpretation.

If the clinic export says only “liquid,” leave the dosage-form comparison unresolved until the responsible reviewer checks the product evidence. Do not silently replace broad wording with a more specific term from a candidate record. Record how the reviewer established the correction.

Keep package quantity and distributor item code separate from strength. A carton description helps identify the purchasing item, but it should not overwrite the official formulation fields. Ask the supplier which exact item its response covers when the commercial reference remains uncertain.

## Practice with three invented identity cases

All names, ingredient placeholders, strengths, and item codes below are fictional. They describe no approved product and establish no clinical relationship. The exercise tests how staff preserve agreement, uncertainty, and missing evidence.

| Fictional case | Evidence supplied for the exercise | Appropriate identity result |
| --- | --- | --- |
| Example Cedar Suspension | Supply row, mock official record, label, and supplier code agree on the described item | Confirmed identity for this inquiry |
| Example Cedar Liquid | Ingredient placeholder agrees, but the clinic name lacks strength and form | Uncertain match requiring label review |
| Example Willow Tablets | No corresponding row appears in the example supply snapshot | No entry found in the source checked |

### An exact match supports a precise question

In the first exercise, the clinic SKU CED-01 points to the same invented name, firm, application placeholder, strength, and suspension form. The mock label and distributor code also identify the same package. The reviewer records the evidence behind each agreement.

The purchasing lead can now ask about that defined item. The worksheet should state “identity confirmed for this inquiry.” It should not state “approved to order” or “clinically equivalent.” Those conclusions require different authority and evidence.

If the supplier answers about another item code, reopen the identity check. A confirmed match does not extend automatically to a different package description or replacement item. Keep the original inquiry and the new proposal separate.

### An uncertain name needs a specific missing fact

In the second exercise, the clinic's shorthand says “Example Cedar Liquid.” The mock supply notice specifies a suspension. The ingredient placeholder matches, but no clinic label has been provided. The strength field remains empty.

Write the unresolved question precisely: obtain the label for the clinic item and confirm its strength and dosage form. Assign that task to a named staff role. Avoid a generic confidence score that gives no explanation of what evidence would resolve the difference.

Suppose the label later shows a different fictional strength. Record a rejected match for the original comparison. Do not revise the clinic item's strength to make the candidate fit. Ask the responsible reviewer whether a different public record should be examined.

### An absent source entry stays an absent entry

In the third exercise, the reviewer cannot find the fictional clinic item in the example supply table. Record which table, snapshot, and search terms were checked. Keep the product-identity task separate from any supplier question already open.

The result is “not listed in this source,” not “available.” Nor should a failed search become a conclusion about approval or discontinuation. If the clinic needs an answer about its specific item, prepare that inquiry from verified product evidence.

## Use a worksheet that exposes disagreement

The following structure is a proposed staff worksheet. It is not an FDA form. Use it with synthetic records first, then adapt it through the clinic's authorized process.

| Identity field | Evidence to retain | Reviewer question |
| --- | --- | --- |
| Application reference | Type, number, source, and reading date | Do the references describe the same application? |
| Proprietary name | Exact text from each record | Is a difference explained by verified label evidence? |
| Firm or sponsor | Wording from the table and official record | Does the difference need confirmation? |
| Ingredient | Source wording without inferred additions | Is the comparison supported beyond ingredient similarity? |
| Strength | Expression and source location | Is the clinic value present and consistent? |
| Dosage form | Official wording and clinic label evidence | Is the form established rather than guessed? |
| Clinic SKU | Internal product reference | Which clinic item is under review? |
| Supplier item | Distributor code and package description | Which commercial item will the supplier answer about? |
| Match result | Confirmed, uncertain, rejected, or absent source entry | What evidence explains the result? |
| Review record | Responsible person, date, correction, and next task | Can another staff member reconstruct the decision? |

For a firm-name difference, ask for evidence rather than inventing a corporate explanation. A name change, distributor relationship, or obsolete internal alias needs a source. Until that source is available, preserve both names and the unresolved question.

For a missing application reference, preserve the empty field. Do not insert a nearby product's number or an old alias merely to complete the row. A visibly incomplete worksheet directs attention to the missing evidence.

## Keep accepted aliases narrow and reversible

When a reviewer confirms an internal shorthand, save the exact clinic SKU it belongs to. Include the label evidence, accepted spelling, reviewer, and date. Do not apply the correction to every product sharing a word.

Retain rejected matches too. A short note explaining a different strength or form can prevent the same candidate from being accepted during the next staff handoff. Keep the original source references beside that correction.

The [business memory guide](/articles/business-memory-for-ai-agents-guide) describes retaining source authority and corrections in business-controlled records. Here, the practical record is a product mapping that another purchasing lead can inspect and revise. An old conversation should not be the only place the accepted alias exists.

## Hand identity to the supply-state review

Once identity is established for the inquiry, read the public state through the companion [shortage, resolution, and discontinuation guide](/articles/animal-drug-shortage-resolved-discontinued-records). Preserve the public dates separately from your clinic's inventory timestamp and the supplier's response date.

Use the [veterinary supply intelligence overview](/intelligence/veterinary-clinics) to frame a proposed review queue. The identity worksheet supplies evidence for that queue. It does not remove the veterinarian's responsibility for clinical decisions or the purchasing owner's control of orders.

Before a handoff, test whether another staff member can repeat one confirmed comparison and explain one rejected comparison. Require the sources and missing facts to remain visible. A useful result names what was matched and what still needs an answer.

Scale With Search can scope a product-record review workflow from synthetic examples and approved source boundaries. Bring the identity fields, reviewer roles, and expected handoff in writing.
