# Run This Test Before You Cancel an AI Subscription.

The AI subscription ends Friday. Monday's account report fails because its project instructions, uploaded files, saved memory, and connector lived inside the vendor workspace.

The business exported the chats. It did not move the job.

Before cancellation, prove that one recurring result can run from records you control on a replacement model. Then revoke access, preserve evidence, and delete only what the approved retention policy says to delete.

## Cancellation, deletion, export, and shutdown differ

Cancellation stops future billing or changes the plan at the provider's effective date. It does not necessarily delete the account or its data.

Deletion requests removal under the provider's policy. Export produces a package of supported data. Shutdown is the business process that moves jobs, closes dependencies, revokes connectors, and verifies continuity.

Use provider instructions for the billing step. Use your own dependency register for the operating step.

## Inventory every dependent job

List business results, not only features.

"Uses ChatGPT Projects" is a feature note. "Prepare Monday account report from current CRM export and decision log" is a job.

For each job, identify:

- owner and reader;
- frequency and next due date;
- vendor workspace or project;
- saved instructions and memory;
- uploaded files and generated artifacts;
- connectors, credentials, and scheduled runs;
- output destination;
- acceptance test;
- replacement route;
- shutdown status.

## Inspect `subscription-dependency-register.csv`

Use a row per recurring job:

Do not mark a row complete because an export exists. `pass` means the replacement produced the accepted business result.

## Export records before changing access

Use the provider's official export process. Preserve the original package unchanged with its request date, account identity, and checksum when practical.

Collect separately any project instructions, custom configurations, uploaded source files, accepted outputs, and settings that the standard export does not clearly restore. Record what you could not export.

An export is evidence. It is not automatically a usable business record or restoration package.

## Move durable records into owned files

Promote current facts, accepted decisions, procedures, corrections, and open obligations into readable business files.

Keep the raw export separate. Chat history includes brainstorming, outdated statements, generated claims, and abandoned drafts. Do not let bulk conversion turn all of it into current memory.

Record provenance back to the original conversation or file. Mark authority and review state. This is the custody layer described in [replacing the model while keeping business memory](/articles/replace-the-model-keep-business-memory).

The replacement should read a context manifest and approved files. It should not need an improvised summary from the old model.

## Identify what the export cannot restore

Test the package rather than assuming completeness.

Can you restore project membership, saved memory, custom instructions, file relationships, citations, tool permissions, scheduled tasks, connector state, and shared-workspace roles? If not, capture the missing state in owned configuration and runbooks where the provider permits it.

Some features should not be recreated. A stale saved preference or broad connector may be safer to retire.

The decision is per job: transfer, replace, keep manual, or retire.

## Separate feature loss from record loss

Plan access changes in two columns. Feature loss covers model limits, project tools, connectors, storage allowances, and scheduling. Record loss covers files, decisions, corrections, receipts, and other evidence the business cannot reconstruct.

A cheaper plan may remove a feature while leaving account data available. An account deletion may start a different retention process. A connector can stop working even when the underlying source remains in Drive or a CRM.

For each dependency, record the provider's current behavior and the date you checked it. Then record the business workaround. Do not generalize one product's cancellation behavior to another provider or assume a current policy will remain unchanged.

Test access through the identity and plan the business will hold after the change. An administrator viewing the old workspace before cancellation does not prove a standard user can retrieve the same records afterward.

## Run one job on the replacement model

Choose a recurring job due soon. Freeze one input packet so both routes receive the same approved sources.

Define expected facts, required decision, prohibited source, output format, and stopping point. Run the old route, then the replacement route.

Compare:

- sources used;
- unsupported claims;
- required sections;
- correct decision;
- approval and stopping behavior;
- receipt fields;
- elapsed review time.

The outputs do not need identical prose. They must satisfy the same acceptance contract.

## Test the shutdown sequence

Run these checks before cancellation becomes effective:

1. Every recurring job has a named disposition.
2. The raw export opens and its checksum is recorded.
3. Durable records exist outside the vendor workspace.
4. One replacement-model run passes the acceptance fixture.
5. The next due job has an owner and operating path.
6. Scheduled tasks are listed with enabled state.
7. Connectors and sessions have a revocation plan.
8. Provider billing identity and effective date are recorded.
9. Retained and deleted data classes follow the approved policy.
10. A final receipt names unresolved dependencies.

Fail the shutdown if the business has only a ZIP and no successful replacement run.

## Revoke connectors, keys, sessions, and schedules

After the replacement passes and the owner approves shutdown, disable schedules that should not continue. Revoke unnecessary OAuth grants, API keys, shared links, browser sessions, and service-account access.

Read back external state. Confirm a schedule is disabled in the system that executes it. Confirm the provider reports the token revoked. Do not rely only on a local configuration change.

Preserve identifiers and timestamps in the receipt, not secret values.

If a connector supports several jobs, resolve all of them before revocation. One cancelled subscription should not break an unrelated workflow by surprise.

## Preserve evidence, then apply deletion policy

Keep cancellation confirmation, export receipt, dependency register, replacement test, revocation results, and final owner decision.

Then apply the approved [memory ownership test](/articles/do-you-own-ai-memory) and retention schedule. Cancellation is not permission to delete records the business must retain. It is also not a reason to keep every chat forever.

Use the provider's current policy for provider-side actions. Record any limitation you cannot independently verify.

## Schedule a post-cancellation verification

Set a check after the effective date. Confirm the billing state, account access, disabled schedules, revoked connectors, and first replacement run. Compare those results with the shutdown receipt.

If the provider bills again or a schedule still executes, route the exact evidence to the account owner. Do not let the replacement agent retry or change billing state on its own. The post-change check closes the gap between a submitted cancellation request and observed operating reality.

## Approval and stopping boundary

An agent may inventory dependencies, request an export through an already-authorized workflow, prepare owned records, run replacement tests, and draft the shutdown receipt.

It stops before cancelling or deleting an account, revoking shared access, disabling a production schedule, deleting data, or changing billing. The account owner must approve those exact effects and effective dates.

The process also stops when the subscription identity, replacement owner, next due job, or data-retention rule is unresolved. Do not cancel first and treat missing access as a discovery method.

An export can supply evidence, but it should not be treated as a ready-to-run replacement for the business job. Extract canonical records, source rules, open work, and corrections, then run the same acceptance fixture on the replacement model and compare the business result.
