# How do I run several businesses on one AI record?

Use one owned record structure with a separate boundary for each business. Share the way work runs. Keep company facts, customer records, approvals, and spending inside the company that owns them. Give yourself a portfolio view built from approved summaries.

Here, one record means a consistent system of files and rules under your control. It does not mean putting every business into the same conversation. Your first design decision is what each job may read. The portfolio view comes after that decision.

Consider an illustrative owner with a repair shop and a product business. Both need a weekly status report. The report format can be shared. The shop's customer messages and the product business's supplier terms should stay within their separate jobs. Design the system around those boundaries before connecting either inbox.

## Give each company its own starting point

Create a short company index for each business. Name the company, its responsible manager, its current functions, and the files those functions may use. Record where current decisions belong and who can approve a change.

Use the [context manifest template](/articles/ai-context-manifest-template) to specify each company summary's reading boundary.

Keep the portfolio index narrower. It should point to each company and show which summary you are authorized to see. Do not copy all company material into the portfolio index for convenience. A pointer tells the system where eligible information lives without turning every source into shared context.

For example, your portfolio index might list a company ID, manager, report location, latest verified run, and unresolved decision. The company index then contains the detailed source map. Use stable IDs even when two businesses have similar names or sell similar products.

The guide to [business memory for AI agents](/articles/business-memory-for-ai-agents-guide) explains the underlying record. This article focuses on the owner's view across several companies.

## Separate shared methods from private company facts

Put reusable methods in a shared area. A method might explain the sections of a weekly report, the meaning of its status labels, and the checks required before review. Keep examples free of private customer or company information.

Put current company facts beside the company that owns them. These might include approved prices, operating procedures, customer commitments, and corrections to prior reports. A function should combine one selected method with one selected company record.

Treat a shared-method change as a proposal. Test the new version against each company that uses it before replacing the accepted version. One business may need an extra approval or a different reporting period. Preserve that difference in its company instructions.

OWASP recommends enforcing authorization on every path that accesses tenant-owned resources. For this proposed design, treat each company as a separately authorized scope. [OWASP Multi Tenant Security Cheat Sheet](https://cheatsheetseries.owasp.org/cheatsheets/Multi_Tenant_Security_Cheat_Sheet.html), checked 2026.10.26.

## Build the portfolio view from explicit summaries

Define the fields you need to compare. A useful first view might show open decisions, incomplete jobs, source freshness, approved spending, and the next responsible person. Ask each company's function to publish those fields into an approved summary.

Show the reporting period beside each value. If the repair shop reports through Thursday and the product business reports through Friday, make that difference visible. Do not let the summary present them as an identical period.

Keep a link from every summary item to its source receipt. You should be able to open a late-job flag and see which company record produced it. Label unavailable information as unavailable. Do not ask the model to fill a blank with what another business usually reports.

For private material, approve the summary's content before it enters the portfolio view. The owner view should show the information your policy allows, even when a broader technical account could retrieve more.

## Assign one function before building the whole portfolio

Study the work separately in each business. List recurring tasks and sort them into eliminate, automate, augment, or outsource. A task that no longer serves a purpose can leave the process. A task that needs judgment may remain with a person.

Choose one function with a defined result. Preparing the shop's weekly exceptions report is narrower than managing the shop. Write down the input files, reporting period, required checks, and approval owner before building it.

Use 10/80/10 as a division of responsibility. A person sets direction. The system prepares the middle. A person checks the result. The percentages describe the method. They are not a forecast of labor removed or work completed without review.

Only add the product business after the first function has an accepted runbook. Reuse the tested structure while checking the second business's sources and boundaries independently.

## Keep approvals attached to the company and action

Specify who can approve a report, a customer message, and a live account change. The same owner may hold all three authorities. Record them separately so a replacement manager can see which responsibility has transferred.

An approval for one company should name that company and the exact proposed action. A shop manager's approval of a reply should not authorize a message from the product business. A portfolio review should not silently authorize every action listed in its summary.

For implementation detail, read [how to keep business contexts separate](/articles/separate-business-contexts-ai-agents). Use that guide to test the retrieval and account boundaries. Use the portfolio design here to decide what the owner should see after those checks pass.

NIST's AI RMF Core calls for documented roles and responsibilities for AI risk management. Assigning a named owner to each function is a practical application of that principle. [NIST AI RMF Core, Govern 2.1](https://airc.nist.gov/airmf-resources/airmf/5-sec-core/), checked 2026.10.26.

## Keep spend visible by company and function

Give every function its own spending limit and alert recipient. Record the model used and the cost of each run. Keep a separate line for shared services so their allocation is visible.

Decide what happens when a limit is reached. For example, require the job to stop and stage a manual fallback. Do not let a portfolio allowance silently override the company limit. A change to a limit should identify the person who authorized it.

Review the portfolio total alongside its company lines. If you cannot assign a shared cost reliably, label it unallocated. Do not invent a precise split to make the view look complete.

Keep the model choice in a named setting. When you test a replacement, use the same company sources and acceptance checks. Record any change in behavior before allowing the new model to prepare routine work.

## Test an owner's absence and a company handoff

Ask another authorized person to run the first function from its written instructions. Can they find the current sources, explain a blocked run, and identify the approval owner? Treat unanswered questions as missing handoff work.

Then test a boundary. Request the shop report with the product business selected. The job should reject the mismatch before retrieving private records. Request a portfolio summary without permission to read a private field. Confirm that the field remains excluded.

Also test the practical exit. If you sell a company or change its manager, can you identify its files, functions, receipts, and account references? Define what transfers and what stays with the portfolio before a live transfer occurs. Keep shared methods versioned so a departing company has the version it is entitled to retain.

These are proposed acceptance checks. Passing them supports the tested workflow. It does not establish that every future task is safe to automate.

## Start with the view you need to act on

Write the next decision you want the portfolio view to support. Then identify the company summary and function needed to support it. This keeps the first build tied to a result you can inspect.

The [AI systems method](/ai-systems) starts with studying the business, sorting the tasks, building one function, and training its users. For a multi-business owner, repeat that discipline inside each company. Share the methods only after their boundaries are clear.

[Send your brief](/work#send-your-brief) with the first company, the recurring job, and the decision its output should support.
