# AI-native tree and landscape firms: first functions to build

Choose a first AI function that prepares an office decision from approved job records. For a tree or landscape business, consider a scope-change comparison, a recurring-visit exception brief, or a weather-rescheduling handoff. Keep field judgment and customer commitments with authorized people.

These are proposed designs for your team to evaluate. They do not assess a tree, recommend a treatment, or select a crew. The [tree services and landscaping overview](/for/tree-services-and-landscaping) describes the wider record boundary. This article explains how to accept a first function within it.

## Trace one job before selecting software

Ask the estimator, office coordinator, and field lead to reconstruct a completed sample job. Identify the accepted scope, the crew's recorded observations, any proposed change, and the final decision. Use material cleared for the exercise.

Separate what the customer requested from what the business accepted. Separate an observed condition from a qualified assessment. Preserve the date and source of each statement so the next reader can see what changed.

The first function should answer a bounded preparation question. Which proposed work differs from the accepted scope? Which visits have unresolved office exceptions? Which customers need a reviewed scheduling message? Avoid a broad instruction to manage the entire route.

## Sort the recurring work

Use this proposed worksheet with the people who perform the work.

| Sort | Tree or landscape example | Owner's decision |
| --- | --- | --- |
| Eliminate | A duplicate visit narrative that has no separate reader | Operations lead |
| Automate | Check required fields on a completed visit record | Office process owner |
| Augment | Compare a crew note with an accepted scope | Estimator and production lead |
| Outsource | A specialist assessment outside the firm's approved competence | Owner |

Use ordinary fixed rules for a known missing-field check. Consider a model when varied notes need comparison or organization. Do not classify treatment selection or tree-risk assessment as a simple administrative step.

Ask the checker to define a pass before the first demonstration. Require source references, explicit uncertainty, and a place for a person to reject the preparation. Remove fields that nobody uses to decide anything.

## Function one: compare proposed changes with accepted scope

Have the estimator direct the function. Supply the accepted proposal version, current approved change orders, a labeled crew note, and the customer's new request. Limit the input to the named job.

Ask for a comparison organized by location, work item, quantity as recorded, disposal terms, materials, and unresolved questions. Mark each item as already accepted, newly requested, or unclear. Preserve the customer's wording without treating it as permission to proceed.

The estimator checks commercial scope. The field or production lead checks the recorded field context. The authorized commercial owner approves any price or change order before it goes to the customer.

Test a note asking for another bed to be added while the accepted proposal excludes that area. Add a plant substitution requested by a supplier. Require both changes to appear as pending decisions, with their sources. The function must not accept the substitution or invent a price.

Keep technical assessment outside the comparison. A photograph may be indexed as evidence without the model deciding that a limb is safe or a plant is diseased. Route those questions to the qualified human process.

## Function two: prepare recurring-visit exceptions

Let the office coordinator direct the next candidate. Give it the accepted service plan, approved visit-status export, and crew observations. Ask for unresolved administrative exceptions rather than a general description of every property.

The brief can distinguish a marked-complete service from a skipped area, an access problem, or a request for a return visit. It should cite the current visit record and separate reported observations from accepted conclusions.

The account owner checks the brief. The crew or production lead resolves conflicting work status. The scheduler decides whether a revisit can be offered. Keep outgoing customer messages waiting for approval.

For acceptance, create a synthetic visit marked complete in the route sheet while its note says one area was inaccessible. Require the inconsistency to remain visible. Do not let a general completion flag erase the exception.

If treatment information appears, preserve the source reference without reconstructing missing application facts. EPA explains that pesticide labeling is legally enforceable. [EPA label guidance, checked 2026.10.26](https://www.epa.gov/pesticide-labels/introduction-pesticide-labels). Keep treatment decisions and regulated records with the responsible authorized people.

The [landscape maintenance scope guide](/articles/landscape-maintenance-website-service-scope) addresses public descriptions. This internal function checks recorded work against the accepted plan without changing that plan.

## Function three: prepare a weather-rescheduling handoff

Have production direct this candidate after a human makes the operational weather decision. Supply the affected job list, approved scheduling constraints, current customer preferences, and the office's communication rules.

Ask for a proposed contact queue showing which jobs need an office decision and which facts the message must preserve. Include accepted scope and the last confirmed appointment. Keep a proposed replacement date separate from an accepted appointment.

The scheduler checks availability and the operations lead checks the affected work. The account owner approves the exact message before it is sent. The function should not independently decide that field work is safe or move a crew.

Test an invented customer with a restricted contact window and a job whose proposed date conflicts with an existing commitment. Expect both constraints to be flagged. The draft should not promise a date merely to make the rescheduling explanation complete.

Keep the contact queue bounded to the approved affected jobs. Do not retrieve every customer record or run repeated messages until someone replies. Each additional contact attempt should follow the business's approved communication rules.

## Put people at the beginning and end

Use 10/80/10 as a responsibility pattern. The director defines the job and sources. The system prepares the middle. The checker verifies the result before the next action. The percentages do not predict hours saved.

Name the estimator and field reviewer for scope comparisons. Name the office coordinator and account reviewer for visit exceptions. Name production and scheduling for weather handoffs. Add a backup and a stop when the required owner is unavailable.

Record accepted corrections where the next run can read them. Distinguish a changed customer fact from a changed preparation rule. Do not let a correction in a chat silently replace the accepted proposal or crew record.

## Keep costs visible for each function

Give each function a monthly allowance, per-run ceiling, input-size boundary, and retry limit. Name the person who receives an alert and who can approve a budget change. Keep scope comparison separate from visit reporting in the cost record.

Reserve allowance before a paid request. Include repeated attempts and any document-processing steps. Block new calls when remaining allowance cannot cover the bounded request. Keep a manual office path for blocked work.

Each receipt should identify the function, internal job references, approved source versions, configured model, review state, and cost. Avoid copying property access codes, detailed customer notes, or private photographs into a general log.

## Accept the function with field and office staff

Test a normal job, conflicting scope, a missing record, an unauthorized account, and an exhausted budget. Have the actual checker trace each output to its source. Repeat failed cases after the responsible owner accepts corrections.

At handoff, retain the rules, source map, tests, configuration, runbook, and receipts in business-controlled records. Keep the model named and replaceable. Require any replacement to preserve the same source and approval boundaries.

Train a backup to stop preparation and continue manually. Add another function only after the first can be directed, checked, and corrected by the people who run the business.

Use the [AI acceptance checklist](/articles/ai-agent-acceptance-checklist) to record pass, fail, and blocked cases for this trade-specific handoff.
