# AI-native towing companies: the first functions to build

Start a towing company's AI-native work with a bounded office function. Consider a shift-handoff exception brief, an account invoice comparison, or a vehicle-release document queue. Keep dispatch, roadside decisions, charges, and release authority with the people responsible for them.

The first useful output should be something a dispatcher or office manager can verify from a named tow record. The [towing company overview](/for/towing-companies) describes the wider preparation boundary. This article explains how to select and accept a function inside it.

These are proposed designs, not claims about your current dispatch platform or operating results. Use invented tow records to decide what the function should do before giving it access to live jobs.

## Sort the office work around decisions

Ask the dispatcher and office manager to walk through a completed shift. Record what they copied, what they reconstructed, and what they had to decide. Include work passed to the next shift without a clear owner.

Distinguish a fixed field transfer from interpreting a varied note. The first may need ordinary software. The second may be a useful AI preparation task when the checker has reliable source records.

| Sort | Candidate work | Person who decides |
| --- | --- | --- |
| Eliminate | Duplicate end-of-shift narratives that nobody uses | Operations manager |
| Automate | Copy an approved job reference into a fixed register | Dispatch process owner |
| Augment | Compare account terms and recorded invoice components | Office manager |
| Outsource | A specialist review outside the office's competence | Owner |

Do not classify truck assignment as simple office work because it appears on a screen. Keep operational authority explicit. A preparation function should finish before any dispatch, reroute, fee waiver, or vehicle release.

Ask the checker what would let the next person act with the correct context. Prefer a short exception list with evidence over a narrative that repeats every event without distinguishing unresolved work.

## Function one: prepare the shift-handoff exceptions

Have the outgoing dispatcher direct the function. Supply the current job register, approved event timestamps, pending callback list, and written handoff rules. Limit the input to the shift and job references selected for review.

Require an output grouped by unresolved action. Separate a customer callback from an account update and a disputed status. Include the last recorded event, its source time, and the role responsible for the next decision.

The incoming dispatcher checks the brief against the live dispatch record before relying on it. An older event should remain labeled with its timestamp. The function must not describe an old position or status as current.

For acceptance, invent one job with conflicting pickup statuses and another whose customer requested a destination change that dispatch has not accepted. Require both exceptions. Do not allow the draft to resolve the conflict or treat the requested destination as an instruction.

A completed handoff brief should not automatically close jobs or notify customers. Add those capabilities only through a separate written scope with explicit approvals. Preserve the prepared brief and its review state for the next shift.

## Function two: compare account invoice exceptions

Let the office manager direct this candidate. Give it the recorded job components, approved account terms, current invoice draft, and adjustment history. Exclude card information and unrelated customer records.

Ask for differences requiring a person to review. Examples for a test can include a repeated line, a missing supporting reference, or a charge description that does not match the approved terms. The function should cite both records without deciding the disputed amount.

The billing owner checks arithmetic with fixed calculations and reviews commercial terms. The account manager approves any explanation sent to the contracted customer. Keep settlement, waivers, credits, and collection decisions outside the preparation function.

Test an invoice with a duplicate component and an account exception that applied only to an earlier job. The correct output flags the duplicate and refuses to extend the old exception automatically. It must not create a new rate or invent missing authorization.

Keep original job evidence intact. If the office accepts a correction, record it through the approved billing process. The comparison should identify proposed changes without silently rewriting the invoice used as its source.

## Function three: prepare the release-document queue

Have the yard or office manager define the checklist for the actual type of release. Supply the approved checklist, controlled record references, and current request status. Keep private identity documents outside the model path unless their handling is specifically approved.

The function can identify missing checklist entries and inconsistent references. It should not decide ownership, authorize release, or tell a visitor that presenting a document guarantees release. The responsible staff member checks the evidence under the applicable process.

Jurisdiction matters. North Carolina G.S. 20-219.2 applies only in the counties and cities listed in subsection (c). For qualifying private-lot removals, subsection (a) provides for removal on the parking-space owner or lessee's written request, subject to its conditions. [North Carolina G.S. 20-219.2, checked 2026.10.26](https://www.ncleg.gov/EnactedLegislation/Statutes/HTML/BySection/Chapter_20/GS_20-219.2.html).

That example does not supply a release checklist for every tow. Have the responsible reviewer identify the rules for the business's location and tow category. Keep unverified requirements out of both the function and public instructions.

Test an invented request with a job-reference mismatch and an incomplete approval field. Require a blocked queue item for the authorized reviewer. The function should not infer that a matching surname establishes authority.

The [vehicle-release website information guide](/articles/towing-vehicle-release-website-information) covers public instructions. Keep internal verification and release decisions separate from what the website explains.

## Keep emergency handling outside the queue

Document how staff reach the existing human response process when a caller reports a dangerous situation. Do not make urgent calls wait for a generated handoff brief or use a model to decide whether a roadside situation is safe.

The first function should work on bounded records already selected by staff. It must not silently become an answering service or dispatcher. Ask the owner to approve any later change in scope before new callers depend on it.

Avoid arrival-time promises in generated text. A source may contain a requested time, an earlier estimate, and a current dispatcher decision. Keep those categories distinct and let the authorized person approve any outgoing commitment.

## Give each function a director and checker

Use 10/80/10 as a responsibility pattern. A person selects the task and sources. The system prepares the middle. A person checks the result. It does not predict the amount of labor the function will save.

For handoffs, name the outgoing director and incoming checker. For invoice comparison, name billing and the account approver. For release queues, name the authorized yard or office reviewer and a backup.

Require a visible stop when a needed reviewer or controlling source is unavailable. Staff should be able to reject a draft, explain the correction, and find it in the next run's rules.

## Control spend and preserve the handoff

Set a monthly allowance, per-run ceiling, maximum input size, and retry limit for each function. Reserve budget before a paid request. Count failures and retries against the same allowance. Send an operational alert when the boundary blocks work.

Every run should leave a receipt with job references, source versions, model identifier, work prepared, review state, and cost. Keep exact locations, identity documents, and payment details out of general logs. Store permitted operational references under the approved access policy.

At acceptance, run ordinary, conflicting, missing-source, unauthorized-access, and budget-exhausted cases. Have the actual checker inspect the evidence. Keep rules, configuration, corrections, tests, and the runbook in business-controlled records.

Name the model in configuration and require a replacement to pass the same cases. Train the backup to stop the function and continue manually. Add another function after that first handoff is reliable under its written limits.

Use the [AI acceptance checklist](/articles/ai-agent-acceptance-checklist) to record pass, fail, and blocked cases for this trade-specific handoff.

Bring Scale With Search one repeated office handoff and cleared sample records. Read the [AI systems approach](/ai-systems), then [send the job for a written scope](/work#send-your-brief).
