# AI-native staffing: the first functions to build

Start an AI-native staffing agency with the handoff between a client request and an accepted assignment. Write down who accepts the brief, who updates it, and who checks the next message. Build from that record.

Keep candidate selection outside the first build. The examples below cover office preparation. They are proposed operating designs, not claims about an installed system or a placement result.

Use the [recruiting and staffing overview](/for/recruiting-and-staffing) to place these functions inside the broader office process. The first decision is which recurring handoff deserves a working function.

## Study an assignment from first request to closure

Choose a closed assignment that the agency may review internally. Ask the account manager, recruiter, and coordinator to reconstruct its office work. Use the actual documents rather than remembered steps.

List the incoming request, accepted role requirements, interview arrangements, client updates, and closure record. Beside each document, name the person who needed it and the decision it supported.

Mark where someone copied facts between systems. Mark where a person resolved a contradiction. Keep those activities separate when planning the function. A formatting step and a judgment about requirements need different authority.

Ask each participant which output they would stop requesting. A weekly paragraph nobody reads should face that question before it becomes an automated paragraph.

Use the study to establish a small starting boundary. One assignment type and one office team give the owner a concrete acceptance case. Additional locations or service lines need their own source review.

## Sort the recurring work before building

Put each task into eliminate, automate, augment, or outsource. Treat the following table as a proposal to discuss with your team.

| Work observed in the study | Proposed treatment | Decision owner |
| --- | --- | --- |
| Duplicate internal status summaries | Eliminate one copy after confirming its readers | Operations lead |
| Copying an approved assignment identifier | Automate with fixed rules | Office coordinator |
| Explaining a changed client requirement | Augment with a sourced comparison | Account manager |
| Specialist review of hiring technology | Outsource when the agency lacks that expertise | Agency owner |

Do not use a model for a field copy that a fixed rule can perform. Reserve model work for preparing language or organizing ambiguous source text under a written boundary.

For candidate-facing technology, keep a separate review path. DOJ guidance explains that hiring tools can unlawfully screen out qualified applicants with disabilities. [DOJ hiring technology guidance, checked 2026.10.26](https://www.ada.gov/resources/ai-guidance/).

That is a reason to begin with administrative preparation and test its limits. It does not establish that a particular scheduling or summary tool falls outside employment rules.

## First function: compare the request with the accepted brief

The account manager directs this function. The input is one client request, the current accepted assignment, and the agency's intake checklist. The output is a change sheet for review.

Require three sections: facts already accepted, changes requested, and questions still unanswered. Preserve the client's requested start date as a request. Keep an agreed date in a separate field.

The system may identify a missing work location or conflicting shift description. It must not resolve that conflict by choosing the newer message automatically. The account manager decides which source controls.

The account manager also checks the result. In a small agency, one person may direct and review. Record both steps so an instruction at the start does not count as approval of unseen output.

An acceptance case should include a client asking to change a role after interviews begin. The proposed function passes only if it preserves the accepted brief and highlights the requested revision.

It must not rewrite the assignment, set a fee, promise candidates, or tell the client that the agency has accepted the change. Those decisions stay with the authorized person.

## Second function: prepare interview change packets

The recruiting coordinator directs the scheduling function. Give it approved time options, the assignment reference, participant identities, and the latest relevant scheduling request.

Have it prepare a proposed reply and a private checklist. The checklist should distinguish the candidate's preference, the client's offered slot, the time zone, and anything awaiting confirmation.

The coordinator checks the packet against current scheduling records before sending. Give the function draft permission only during the first build. A calendar invitation needs its own explicit action rule.

Test a reschedule, two people with similar names, and an expired time option. Require a hold when the participant or assignment cannot be identified. A plausible email address is not enough.

Keep medical explanations outside the scheduling packet. A coordinator can route an accommodation request to the responsible person without copying its details into every interview message.

Link the workflow to the agency's [application assistance and error process](/articles/staffing-agency-application-form-errors). Application support and interview confirmation should remain distinguishable steps for staff and applicants.

## Third function: assemble a client update from approved events

The delivery lead directs the update function. Supply the accepted brief, approved assignment events, and the client's update format. Limit each run to one client and assignment.

Ask for completed administrative steps, unresolved questions, and the next authorized agency action. Require a source reference for each status statement. An absent event should produce a question rather than an invented update.

The account manager checks the draft before it leaves the agency. The reviewer must confirm both the wording and the recipient. A correct update for another assignment is still a failed output.

Keep opinions about candidates outside this first function. If the agency later wants candidate summaries, treat that as a new scope with employment, privacy, and evaluation review.

Test the update with a withdrawn interview and a changed client contact. The output must reflect the current authorized status without exposing unrelated candidate details or another customer's information.

## Own the assignment record and the corrections

Store the accepted brief, dated changes, contact permissions, and review decisions in records the agency controls. Define which record each function reads before preparing its output.

Give every run a source version and assignment identifier. Keep private candidate documents in their approved systems. The function should receive the minimum approved extract for its assigned office task.

FTC guidance recommends minimizing retained sensitive information and limiting access. [FTC business data guidance, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/protecting-personal-information-guide-business).

Apply that principle by separating public role facts, client instructions, scheduling details, and restricted records. Ask the responsible reviewer to approve the fields each function can receive.

When a reviewer corrects a draft, save the accepted correction beside the source rule. Distinguish a one-time client exception from a standing agency instruction. Test the next run against that distinction.

The [recruiting memory guide](/articles/ai-memory-for-recruiting) covers hiring standards, role files, and candidate notes. This plan scopes administrative assignment functions; candidate evaluation needs its own review.

## Cap spending by assignment function

Set a monthly limit for each function before it runs. Name the owner who receives an early alert and the owner who can approve additional spending.

Include a per-run ceiling and a retry limit. Count failed attempts against the same budget. A missing assignment field should return to the coordinator instead of causing repeated model calls.

Every run receipt should record the function, assignment reference, source versions, model identifier, result, review state, and cost. Keep sensitive message text outside the cost receipt.

The business record should name the model and allow replacement. Test a replacement against the same accepted assignments before using it for current work. Compare factual accuracy, holds, review effort, and cost.

## Train the people who direct and check

Use the 10/80/10 pattern as a responsibility split. A person sets direction, the function prepares the middle, and a person checks the result. It is not a measured time-saving claim.

Have the coordinator run an ordinary case and an exception without the builder's help. Require them to locate the controlling brief, explain a hold, and record a correction.

Write the function's exclusions into its runbook. Name the substitute reviewer for absence. Leave the next assignment with a clear owner rather than an unattended approval queue.

Scale With Search studies the business and builds one working function at a time. Read the [AI systems scope](/ai-systems), then send one office handoff through the [written scope form](/work).
