# AI-native solar installation: the first functions to build

Build the first solar AI function around a project handoff that the office can verify. Consider permit-packet completeness, installation-readiness exceptions, or an existing-system service handoff. Keep design, approval, scheduling, and customer commitments with their authorized owners.

These are proposed functions to study against your own operation. Choose one with accessible approved records and a checker who can explain a pass. The [solar installation overview](/for/solar-installation) maps the wider business. The purpose here is to define a working internal function with a clear end.

## Start with the project record

Choose a completed sample project cleared for the exercise. List the handoffs from first request through installation and later service. Ask each person which repeated preparation they carry and which decision follows it.

Keep the customer's request separate from the accepted proposal. Keep a submitted document separate from approval by the relevant authority. Preserve a dated project state instead of reconstructing it from an old conversation.

The FTC's solar guide asks buyers to compare bids covering expected output, installation costs, permit fees, and warranties. [FTC guidance, checked 2026.10.26](https://consumer.ftc.gov/articles/solar-power-your-home). Keep those subjects distinct when designing your records and internal checks.

Do not let a model fill an empty field with a typical local rule. Require the team to identify the applicable utility, jurisdiction, equipment documents, and project owner from approved sources. Unknown facts become questions.

## Sort repeated work before building

Use the following as a proposed sort, then adjust it with the people doing the work.

| Sort | Candidate solar task | Owner's decision |
| --- | --- | --- |
| Eliminate | Duplicate progress narratives that repeat a maintained project board | Operations lead confirms whether anyone needs them |
| Automate | Check whether named document slots have approved files | Project coordinator owns the checklist |
| Augment | Prepare a readiness exception brief from mixed project notes | Project manager reviews the interpretation |
| Outsource | A specialist review outside the firm's approved competence | Owner selects the qualified party |

A checklist comparison may require only fixed rules. Use a model where varied notes need organization. Keep new system design, electrical decisions, and financing explanations outside a first administrative function.

Ask the checker to choose the output format. A short exception list with source references may be more useful than another long status report. Remove a proposed field if nobody can explain what decision it supports.

## Function one: prepare permit-packet gaps

Have the project coordinator direct this function. Give it the project-specific checklist, a controlled document register, and the current submission record. The checklist must come from the responsible team's verified requirements for that project.

Require a table showing each required slot, its named file, revision, status, and missing decision. Separate received, ready for internal review, submitted, and approved. If a document is present but unsigned, report that state without treating it as complete.

The permit coordinator checks the packet against the controlling checklist. The responsible technical person approves technical content. Only the authorized staff member submits the packet through the business's existing process.

Test a sample where a revised plan exists but the register still points to the earlier version. Add a document marked submitted without an approval record. The function should identify both discrepancies. It must not invent an approval number or infer approval from elapsed time.

Do not begin with a function that claims to determine every permit requirement from a street address. A bounded completeness review gives the checker a specific source to inspect. Broader research can be separately scoped when its sources and review owner are known.

## Function two: build an installation-readiness brief

Let the project manager direct this candidate. Supply the accepted scope, approved project-state register, material readiness record, access notes, and the scheduling rules relevant to that job. Keep each source's timestamp visible.

Ask for exceptions that prevent the manager from making a scheduling decision. Examples for the test may include unresolved access, conflicting material status, or a required approval that lacks a recorded result. These are test conditions, not claims about any customer's project.

The project manager checks administrative readiness. Technical and field leads retain their own approvals. The scheduler chooses an appointment only after the authorized readiness decision. The AI function should end at a prepared brief.

Test an optimistic customer message that asks for installation next week while the current project record contains an unresolved approval. Require the draft to preserve the request and the unresolved condition separately. It must not turn the requested date into a commitment.

For each exception, include the responsible role and the last verified source. Do not assign blame. A useful brief names the decision needed and the record that would resolve it.

## Function three: prepare the service handoff

Have the service coordinator direct this function using a named service case, the customer's reported issue, the installation reference, and approved administrative routing rules. Let the customer describe observations without converting them into a diagnosis.

Prepare a handoff with the system reference as recorded, reported concern, contact route, available approved documents, and unanswered questions. Separate equipment warranty references from installer workmanship terms. Leave individual coverage decisions open for the responsible reviewer.

The service manager checks the administrative handoff. Qualified technical staff decide assessment and work. The function must not instruct a customer to open equipment, reset a system, or accept a repair charge.

A suitable acceptance case includes an older warranty attachment and a current installation reference that does not match it. Expect a conflict flag and a request for the correct terms. Do not allow a general statement that the repair is covered.

The [solar maintenance and repair page guide](/articles/solar-maintenance-repair-website-page) addresses public service routing. Use it alongside this internal handoff when customers need a clear first-contact destination.

## Put people at both ends

Use 10/80/10 as a responsibility pattern. The director selects the job and approved sources. The system prepares the middle. The checker compares the output with those sources before the next action. The percentages are not a time-savings forecast.

For each candidate, name a backup checker and a stop state. If the authorized reviewer is unavailable, preserve the prepared work without sending it. Give staff a way to reject the result and record why.

Correct the source when a project fact is wrong. Correct the function's rules when its preparation behavior is wrong. Keep the two changes distinguishable so another employee can understand what happened.

## Add spend control to the written result

Set a monthly limit and a per-run ceiling for each function. Include document reading, model calls, and retries. Assign an alert recipient. Stop new calls before the configured allowance would be exceeded.

A receipt should identify the project reference, approved source versions, model identifier, work done, review status, and cost. Keep utility account details and customer documents out of the receipt body. Store the detailed material only in the approved project system.

Make the model a named, replaceable setting. A replacement must pass the same incomplete, conflicting, and changed-source cases. Changing the model should not change which documents it may read or which actions need approval.

## Choose the smallest inspectable handoff

Before handoff, have the office run the ordinary and exception cases itself. Require staff to find the sources, stop a run, correct a rule, and check the next result. Retain the runbook and test evidence in records the business owns.

Start with the function whose input and acceptance criteria the team can supply now. Add another after that first handoff works under the written limits. Keep design and field judgment with the people authorized to exercise them.

Use the [AI acceptance checklist](/articles/ai-agent-acceptance-checklist) to record pass, fail, and blocked cases for this trade-specific handoff.
