# AI-native restoration: the first functions to build

Start an AI-native restoration business with the office work around a loss file. Keep technical judgment with the people responsible for the site. Give the first function a narrow preparation task and a named checker.

A proposed starting sequence is loss intake, status-update preparation, and document-packet assembly. Each function should preserve what the records say and stop when the source is incomplete.

The [restoration industry overview](/for/restoration-and-water-fire-damage) describes that office boundary. The plans below expand it into a build brief. They do not claim a deployed system or determine a restoration method.

## Study one loss file from call to final packet

Choose a completed job the company may review internally. Ask the intake coordinator, project manager, and office administrator to reconstruct the work. Identify the record that controlled each decision.

List the caller's report, accepted work authorization, site observations, dated readings, approved scope, changes, customer updates, and document requests. Keep the originals available to authorized reviewers.

Mark facts reported by the customer separately from observations entered by field staff. Mark accepted scope separately from proposed work. Those distinctions must survive any summary.

Ask where staff copied information and where they decided what it meant. A filename check may need a fixed rule. An interpretation of site conditions needs the responsible professional.

Observe the receiving end of every output. A project manager's review sheet, a customer's status message, and an insurer's document packet need different fields and different disclosure decisions.

## Sort the work before adding AI

Use eliminate, automate, augment, and outsource to assign a treatment to each recurring task. Confirm the proposed sort with the people who depend on the records.

| Task found in the study | Proposed treatment | Person deciding |
| --- | --- | --- |
| Repeated internal summaries with no distinct purpose | Eliminate an unnecessary copy | Operations manager |
| Checking required filenames against a checklist | Automate with fixed rules | Office administrator |
| Preparing a sourced status explanation | Augment with a draft | Project manager |
| Specialist review outside the company's competence | Outsource under an approved scope | Business owner |

Do not remove required records when removing duplicate reporting. Have the responsible reviewer identify what must remain and which copy controls. Keep the reason for that choice in the runbook.

EPA identifies moisture control as central to mold control. That guidance supports preserving source observations rather than replacing them with a fluent progress story. [EPA mold and moisture guide, checked 2026.10.26](https://www.epa.gov/mold/brief-guide-mold-moisture-and-your-home).

The function should not infer remediation success, occupancy safety, or a drying endpoint from that general guidance. Site decisions need their own authorized review and evidence.

## First function: prepare a new-loss intake brief

The intake coordinator directs the function. Give it one incoming report, the current intake checklist, and the company's approved contact and service information.

Require the loss reference, caller, reported location, stated event time, reported issue, and missing answers. Label every customer statement as reported. Keep unknown facts visibly unknown.

The intake supervisor checks the brief before the office uses it to coordinate a response. The function may flag a missing callback detail. It may not classify water, assess contamination, or choose equipment.

Keep dispatch outside the first build. A prepared brief does not authorize a crew assignment, arrival promise, or work commitment. Those actions need their named business owner.

Test an incomplete address, two calls about the same loss, and a caller who changes their description. Require a possible-duplicate flag rather than silently merging records.

Use the [restoration emergency contact checklist](/articles/restoration-emergency-call-website) when reviewing the intake source. Staff should know whether a web request is a received inquiry or an acknowledged emergency call.

## Second function: prepare a status update from approved events

The project manager directs the status function. Supply the current approved scope, permitted event log, and the company's accepted customer-update format. Restrict each run to one loss.

Ask for recorded work, pending decisions, and the next approved communication step. Attach a source reference to every statement about completed work. Leave technical interpretation for the project manager.

The project manager checks the draft before the office sends it. A reading in a file must not become a statement that an area is dry, safe, or ready for occupancy.

Require a hold when dates conflict, a source is absent, or a scope change lacks approval. The system should show the conflicting entries instead of selecting the most reassuring version.

Test with an equipment log that changed after an earlier draft. Require the new version to identify the change and return to review. Earlier approval cannot authorize a revised technical statement.

Keep any customer health information outside routine status drafting. Use only the operational instruction approved by the responsible reviewer. Do not copy private explanations into every update.

## Third function: assemble a document-packet index

The office administrator directs this function. Its inputs are the approved document request, loss reference, permitted file list, and the company's packet checklist.

Have it prepare an index showing requested item, matching file, source date, version, and missing material. A file should enter the proposed packet only when it matches the correct loss.

The project manager checks technical inclusion. The authorized office reviewer checks the recipient and disclosure boundary before release. Record who performs each part when one person fills both roles.

Do not let the function interpret policy coverage or state that a packet guarantees payment. It organizes approved evidence. It does not decide the recipient's claim or the contractor's rights.

Test an unrelated customer's photograph, an obsolete scope, and a missing authorization. The packet must hold those items for review and report the incomplete request explicitly.

## Own the job record and accepted corrections

Keep source observations, approved scope, document permissions, and communication decisions in the company's controlled record. Give each accepted version a date and responsible person.

Use a stable loss identifier in every input and output. Restrict the function to the minimum approved view. A document-index job should not receive unrestricted access to every loss folder.

FTC guidance recommends limiting access to information needed for the task. [FTC business data guidance, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/protecting-personal-information-guide-business).

Translate that principle into a field and folder list the owner can inspect. Give the reviewer a way to remove access and stop the function when the scope changes.

Preserve original records when correcting a summary. Save the accepted correction and its reason with the relevant rule. Do not replace an actual observation with a model-generated reconstruction.

## Put a limit on every function's spending

Budget loss intake, status drafting, and packet preparation separately. Name the monthly ceiling, the alert recipient, and the person allowed to approve a changed limit.

Set maximum input size and bounded attempts. Process only the approved document list. An absent file should produce a missing-item result rather than repeated searches across unrelated customer folders.

Require each run receipt to record the function, loss reference, source versions, model, attempts, outcome, approval state, and cost. Keep private loss details out of routine cost reports.

Make the model named and replaceable in the operating record. Run accepted loss examples through any proposed replacement. Compare source accuracy, privacy boundaries, holds, and review effort before current use.

## Hand off a function the office can run

Use 10/80/10 as a responsibility pattern. A person sets direction, the system prepares the middle, and a person checks. It is not a drying schedule or efficiency claim.

Train the office to run an incomplete intake, reject an unsupported status statement, and hold a packet with the wrong file. Have staff locate the source and record the correction.

Keep the runbook, approval roles, acceptance cases, and cost receipts with the business. The first handoff should leave a working office function with an explicit stop path.

Scale With Search studies the business before building one function. Read the [AI systems scope](/ai-systems), then send the loss-office handoff through the [written scope form](/work).
