# AI-native property management: first functions to build

Start AI-native property management with administrative preparation for maintenance and owner reporting. Give the system a current record and a defined output. Keep entry authority, spending, contractor selection, disputes, and housing decisions with the responsible people.

Three candidate functions are maintenance-packet preparation, work-order question drafting, and owner-update assembly. Build one first. These are proposed internal workflows, rather than claims that a particular tool already performs them.

The [property management hub](/for/property-management) describes the broader office setup. The [sample owner statement guide](/articles/property-management-sample-owner-statement-page) covers public demonstration material. This article concerns the private maintenance and reporting process behind the office.

## Study one maintenance request through its records

Ask the maintenance coordinator, property manager, and reporting owner to reconstruct an approved example. Use synthetic resident and property details for the initial workshop. Include the request, authorized work record, vendor status, invoice reference, and owner update.

Write each handoff as an action. Someone identifies the property, checks authority, asks for clarification, approves work, or confirms a recorded result. Keep the decision and the document proving it together.

Separate the resident's report from the manager's decision. A request saying send someone is an input. It should not become authority to enter, approve a cost, or choose a contractor.

Identify the controlling record for each statement. The maintenance request controls what was reported. The accepted work order controls authorized work. The accounting record controls accepted amounts used in a report.

## Sort the work before adding model reasoning

Use four treatments to decide what the office needs. The following assignments are candidates for the team to assess.

| Treatment | Candidate task | Decision owner |
| --- | --- | --- |
| Eliminate | Duplicate status reports with no current reader | Office manager |
| Automate | Property-reference and missing-field checks | Maintenance coordinator |
| Augment | Organizing notes into an owner-update draft | Property manager |
| Outsource | Approved specialist work under separate scope | Authorized manager |

Keep exact matching, recorded totals, and state comparisons deterministic where fixed rules answer the question. Use model work to organize supplied narrative. Require the manager to check its meaning before any outward action.

Do not include applicant screening or eligibility decisions in these first functions. Keep the data connection narrow enough that an administrative drafting task cannot reach those records by default.

## First function: prepare the maintenance review packet

The maintenance coordinator directs the function using the selected request and approved intake checklist. The permitted inputs identify the property reference, reported issue, contact route, access question, and relevant administrative status.

The function organizes the report in the writer's own terms. It flags missing location details, conflicting references, and unanswered questions. It cannot diagnose the problem, decide priority, approve entry, or commit to a visit.

The coordinator checks identity and completeness. The property manager checks authority and directs the next action through the company's actual process. Use qualified people and approved instructions for safety-related concerns.

Test a synthetic request that names the property but omits the unit. Require an unresolved location question. Test a message with proposed entry instructions that conflict with the current record. Require manager review rather than an accepted access plan.

The output is an internal packet. Receipt of the request should not become a message saying a contractor is scheduled or entry is authorized.

## Second function: draft work-order clarification questions

The property manager directs the function with the accepted work order, approved vendor communication format, and recorded question. The permitted purpose is to prepare a draft clarification.

The function can compare reported work with the written scope and identify unanswered administrative details. It should distinguish a vendor's request for additional work from an approved change. Keep proposed costs separate from amounts already authorized.

The maintenance coordinator checks references and document versions. The property manager checks scope and spending authority. An authorized person approves the exact recipient, wording, and attachments before release.

Test a vendor note asking to replace another component beyond the accepted work order. The draft should request review without approving the additional work. Test an invoice with a different property reference. Require the function to stop before using its contents in the message.

Keep purchases, payments, contractor assignment, and changes to the work order outside the preparation function. A generated question should not alter the original scope.

## Third function: assemble an owner-update draft

The reporting owner directs this function using approved management records and an accepted report format. Give it a defined reporting period and property set. Keep unrelated properties outside the input boundary.

The function organizes documented work, unresolved requests, approved amounts, and questions awaiting an owner's response. Require source references for every amount and status statement. Calculate totals with the approved accounting method rather than free-form model reasoning.

The accounting reviewer checks financial figures. The property manager checks operational status and disclosure. The authorized release owner checks the recipient and final packet.

Test a report with work marked scheduled but no accepted completion record. The draft must not announce completion. Test an amount missing an approval reference. Require an exception rather than silently including it as settled spending.

Keep the draft separate from the accounting record. It cannot authorize a payment, change an owner's statement, settle a dispute, or interpret a lease.

## Keep sensitive records outside the first connection

Use business-controlled maintenance records, reporting templates, approval rules, and correction history. The current management platform can remain the controlling source. Start with a restricted export or read-only view for the chosen function.

Exclude applicant files, consumer reports, identity documents, payment credentials, and private access codes from these preparation tasks. Do not attach an entire property archive when the function needs one work order.

The FTC says its Disposal Rule applies to business users of consumer reports, including landlords. Treat those records as a separately governed category. [FTC Disposal Rule guide, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/disposing-consumer-report-information-rule-tells-how).

That source does not authorize an AI processing arrangement. Have the company's responsible person determine the applicable handling and retention requirements before any different function is proposed.

Preserve corrections beside the controlling rule. If an update turns scheduled into complete, record the state distinction and retain the failed synthetic case. Future runs should read the corrected instruction.

## Set spend and review limits by function

Give maintenance preparation, work-order clarification, and owner updates separate monthly model ceilings. Name the warning threshold, alert recipient, budget owner, and stopping behavior. Include extraction, supporting services, and retries.

Reserve a bounded allowance before starting. Count concurrent runs against the same remaining balance. Stop new paid work before it exceeds the limit. Keep the office's human queue visible so a budget stop does not hide an unresolved request.

Require a receipt with function, property reference, input versions, model identifier, actual or pending charge, output status, and reviewer. Keep resident narratives and private access details outside general cost logs.

Use 10/80/10 as the responsibility method. A person sets direction, the system prepares the middle, and a person checks the result. It is not a promise about saved labor or permission to bypass authority checks.

## Train the manager on rejection and recovery

Have the coordinator direct a synthetic run. Ask the accounting reviewer to reject an unsupported amount. Have the property manager correct a scope error and repeat the case.

Test missing sources, conflicting property references, an exhausted budget, and an unavailable reviewer. Each should leave a clear pending or stopped result and a person assigned to recovery.

Choose the first function with an agreed source and a willing reviewer. Scale With Search builds [AI systems](/ai-systems) one working function at a time. Send the maintenance or reporting handoff and acceptance examples through the [written scope form](/work#send-your-brief).
