# AI-native plumbing and electrical: first functions to build

Start an AI-native plumbing and electrical business with one office preparation function. Choose a task that has a current source record and a person who can check it. Keep fault diagnosis, safety decisions, dispatch, pricing, and technical approval with authorized people.

Three candidate functions are service-call preparation, estimate-question drafting, and job-status assembly. They should prepare work for the office rather than make commitments in its name. The designs below are proposed scopes, not descriptions of a deployed service.

The [plumbing and electrical hub](/for/plumbing-and-electrical-contractors) covers the wider workflow. Use the [booking confirmation guide](/articles/contractor-online-booking-request-confirmation) for the public request path. This article begins with the internal handoff after the request arrives.

## Study a service call and a planned estimate separately

Ask the dispatcher, estimator, technician, and office manager to reconstruct one approved example of each workflow. Use synthetic customer details for the initial study. Gather the call record, accepted appointment, estimate version, job notes, and parts status.

Write down what each person reads before acting. A reported symptom is an input. A diagnosis is a technical decision. A requested arrival time is an input. Dispatch confirmation is an authorized commitment.

Keep the two trades distinct in the task map. A company-wide address record may be shared. Trade-specific licenses, work descriptions, technical instructions, and review responsibilities should remain identifiable.

If the office cannot identify the current estimate or job owner, resolve that gap before building. A model should not select which of two conflicting records represents the company's promise.

## Sort the repeated work before choosing AI

Use four treatments to decide which steps need a model. The following assignments are candidates for the team to assess.

| Treatment | Candidate work | Decision owner |
| --- | --- | --- |
| Eliminate | Duplicate daily status notes nobody reads | Office manager |
| Automate | Job-reference matching and required-field checks | Dispatcher |
| Augment | Organizing call notes into a review packet | Service manager |
| Outsource | Approved specialist work outside company scope | Business owner |

Use fixed rules for exact identity, dates, and state comparisons. Consider model work where supplied language needs organization. Require the responsible reviewer to check any interpretation before it affects an outward statement.

For a North Carolina electrical example, the licensing board publishes the governing laws and rules. Use the authority for the actual trade and project location. [North Carolina electrical board, checked 2026.10.26](https://www.ncbeec.org/laws-rules/).

The source identifies the authority. It does not establish your firm's license status or authorize a model to decide technical compliance.

## First function: prepare the service-call packet

The dispatcher directs the function using the approved intake checklist and selected call record. Limit inputs to the requested trade, service location, caller's authority, contact route, reported issue, and approved administrative notes.

The function organizes the caller's words and missing questions. It should retain uncertainty about affected equipment or location. It cannot diagnose a fault, give repair instructions, choose emergency priority, or assign a technician.

The dispatcher checks identity and completeness. The service manager checks questions requiring technical judgment. A person follows the company's approved urgent-call process when the caller reports a concern requiring immediate attention.

Test a synthetic request mentioning a breaker without an address. The output should flag the missing location and preserve the report. It must not generate troubleshooting steps. Test a request selecting plumbing while the narrative asks for electrical work. Require a trade conflict for dispatch review.

The accepted result is an internal packet. It should not say a technician is on the way merely because a request was received.

## Second function: draft estimate questions and follow-up

The estimating lead directs the function with the current approved estimate, recorded customer question, and accepted follow-up rules. The input should identify the exact version and requested purpose.

The function drafts a restatement of the recorded options, exclusions, and open choices. It can separate a request for additional work from the current offer. It cannot calculate a new final price from an uncertain symptom or copy another job's price.

The estimator checks scope and commercial terms. The service manager checks any technical statement. The office coordinator checks the recipient and final wording before an authorized person sends it.

Test a customer asking to add another fixture or circuit. The expected draft treats the request as new scope needing review. Test an estimate marked superseded. The function should stop until the lead selects the controlling version.

Keep discounts, deposits, purchases, accepted changes, and start-date promises outside this draft function. Those decisions need their own authorization.

## Third function: assemble a source-based job update

The job owner directs this function with the accepted service record, parts status, and approved update format. The goal is a draft identifying documented work, unresolved items, and the next confirmed office step.

The function should preserve distinctions between ordered, expected, received, installed, and inspected when those states appear in the records. It must not fill an absent state with a likely next step.

The technician checks the work description. The job owner checks schedule and parts statements. The authorized reviewer approves the final text and recipient before release.

Test a part marked ordered beside an old note saying expected tomorrow. The output should not promise arrival tomorrow without a current approved source. Test an inspection visit without a recorded result. Require the draft to leave approval unresolved.

Keep technical diagnosis and completion certification with the people responsible for the work. A readable paragraph does not establish that a job passed its checks.

## Own the records and correction process

Keep current service rules, estimates, accepted notes, approval criteria, and correction history in business-controlled storage. The field-service platform can remain the controlling record. Define the narrow read-only export the first function needs.

Separate operational status from generated drafts. A status assembly function should not mark work complete or change an appointment. Require every accepted correction to reach the relevant source owner.

For example, if a draft turns expected into received, update the state rule and preserve the failed case. Repeat it during later checks. Avoid relying on a one-time correction buried in a staff member's chat.

Restrict access by job and purpose. A call-summary function does not need alarm codes, payment credentials, or every technician's personnel record. Require the maintainer to show that unrelated synthetic files stay unreadable.

## Set cost limits around the function

Give each office function a monthly model ceiling, alert threshold, and named budget owner. Include document reading, supporting services, and retries. Keep exact administrative checks deterministic where possible.

Reserve a bounded allowance before a run begins. Count simultaneous runs against one balance. Stop new paid work when the remaining capacity cannot cover the allowance and leave the task visible in the human queue.

Write a receipt with function, job reference, source versions, model identifier, cost, result, and review state. Keep billing uncertainty marked pending until the actual charge is known. Do not call a stopped run a completed customer update.

Use 10/80/10 as the responsibility pattern. A person directs the work, the system prepares the middle, and a person checks it. The method promises no number of hours saved.

## Train dispatch and the reviewers before expansion

Have the dispatcher direct a synthetic run. Ask the technician to identify a wrong state. Have the estimator reject an unapproved scope change. Record each correction in the business-owned rules and repeat the case.

Test missing sources, an exhausted limit, an unavailable reviewer, and conflicting trade references. Require clear stops and a person responsible for recovery. Expand only after the team can operate the first function through those cases.
