Give the system records to organize and a person to check its work. Keep creative judgment, rights decisions, pricing, and file release with the studio. Three candidate functions are inquiry-brief preparation, selection reconciliation, and delivery-message drafting. Choose one first. These are proposed workflow specifications for a studio, rather than evidence that a particular product already handles them. This article focuses on the internal handoff behind that interface. ## Study a job through its actual records Ask the studio owner, photographer, editor, and coordinator to reconstruct a completed assignment. Use a synthetic job for the first workshop. Gather the brief, proposal, approved scope, selection record, editing instructions, and delivery checklist. Identify what someone copies and what someone decides. A requested shoot date is a field. An accepted booking is a business decision. A selected frame reference is an input. The final creative treatment belongs to the photographer or approved editor. Map where the records disagree. A coordinator may have a revised brief while an editor receives an earlier selection. Write the mismatch as a source problem before proposing a model to interpret it. Choose a controlling record for each job state. The signed scope controls deliverables. The accepted selection record controls requested images. The approved delivery checklist controls what may leave the studio. ## Sort the office work before adding AI Use four treatments with the people performing the work. A language model may help organize narrative questions. It should not infer creative intent from a missing instruction or add a usage right to complete a proposal. Keep a removed task out of the future run schedule. Adding an AI version of an unnecessary update preserves the unnecessary work. ## First function: prepare the inquiry brief The studio coordinator directs the function using the approved service list and question checklist. The permitted input is one inquiry and any authorized background already attached to it. The function organizes the requested work, proposed date, location, deliverables, intended use, contact route, and missing questions. It preserves uncertain answers. A requested date remains a request until the studio confirms availability through its actual process. The coordinator checks completeness. The photographer checks creative scope and feasibility. The studio owner approves any price or commercial commitment before a reply leaves the business. Test an inquiry asking for headshots and a separate event assignment. Require the brief to distinguish the work instead of forcing both into one package. Test an inquiry that says all rights without defining the intended use. The output should flag the term for human review. Keep automatic booking, price changes, and contract acceptance outside this function. The accepted result is a review brief with unanswered questions visible. ## Second function: reconcile selections before editing The production coordinator directs this function with the current accepted selection export and image manifest. The system should compare stable image identifiers before any narrative summarization. Prepare a list of selected references, duplicates, missing files, and mismatches. Preserve the original selection record. An unknown reference should remain an exception rather than being matched to a visually similar frame. The editor checks the file mapping. The photographer checks any ambiguous creative instruction. The coordinator confirms the accepted selection version before work begins under the studio's own process. Use a synthetic set containing two similar filenames and one removed image. Require exact identity. Add a revised selection after the first export. The function should distinguish versions and request a decision about the controlling record. Do not let a selection check overwrite originals, delete unused images, or choose final frames. Keep file changes outside the initial preparation scope. ## Third function: draft the delivery packet The studio owner directs the function using the approved delivery checklist, accepted scope, and final file manifest. The intended output is a draft message plus an internal checklist for release. The function can list the supplied files, approved delivery route, recorded usage wording, and remaining administrative questions. It should identify the source of every promised deliverable. A missing approval keeps the packet pending. The production coordinator checks file references and recipient details. The photographer checks the finished work. The studio owner checks commercial terms and approves the release. Test a packet with an unapproved preview among final files. Require the checklist to flag it. Test a delivery message based on an old package. The output must not promise files beyond the accepted scope. Keep the act of releasing files separate from preparing the packet. A draft with a download address should not automatically make that address accessible to a client. ## Preserve rights as explicit source information The Copyright Office says the photographer is generally the initial copyright owner, with exceptions including qualifying works made for hire. Do not assume the file recipient owns every right. Have the authorized person supply accepted usage language and any restrictions affecting the job. Keep publication permission, client delivery, and AI processing as separate studio decisions. An image approved for a portfolio should not automatically become eligible for every external tool. Have the owner check the relevant terms before choosing the processing arrangement. Store the accepted scope, selection version, rights record, and corrections in business-controlled files. Keep the current studio platform when it already supplies the source. Start with a narrow read-only export rather than replacing the whole workflow. ## Control spend and release together Give each function a separate monthly model limit, warning threshold, and alert owner. Include document reading, retries, and any metered supporting service. Use deterministic checks without a model where they answer the task. Reserve a bounded allowance before each run. Stop new paid work when the remaining capacity cannot cover it. Keep a manual review path available. A cost stop should leave the client task visible to the coordinator. Each attempt should write a receipt with job reference, input versions, model identifier, actual or pending cost, and review state. Avoid putting private images or complete client messages into a general cost report. Use 10/80/10 as a division of responsibility. A person directs the work. The system prepares the middle. A person checks the result. It is not a promise about creative labor or a reason to bypass image review. ## Train the studio on exceptions before handoff Have the coordinator direct a synthetic run. Ask the editor to identify a mismatched file. Have the photographer reject an unsupported creative assumption and record the correction beside the rule. Repeat the same case after a correction or model change. Include an unavailable reviewer, an exhausted spending limit, and an unknown delivery recipient. Require a stopped result rather than a silent file release. Choose the first function with an agreed source and a responsible checker.
