# AI-native pest control: the first functions to build

Start an AI-native pest control company with the office handoff between a reported problem, an approved visit record, and the next customer message. Give the system a defined preparation job. Keep identification, treatment choice, safety instructions, and release authority with the responsible people.

Three candidate functions are service-request preparation, visit-report assembly, and recurring-plan question drafting. Build only one first. The examples below are proposed operating designs, rather than claims about a particular tool or treatment result.

The [pest control industry hub](/for/pest-control-companies) covers the wider setup. The [commercial report sample guide](/articles/commercial-pest-control-report-sample-page) covers public demonstration material. This article addresses the private record behind the office's work.

## Study the path from reported issue to reviewed record

Ask the office coordinator, technician, and technical supervisor to walk through a completed service cycle. Use a synthetic customer record for the initial study. Include the initial request, approved visit, service notes, follow-up question, and agreement terms.

Write down what someone retypes and what someone decides. A callback number is an exact field. A customer's description is a reported observation. A treatment selection is a technical decision. Keep those categories visible in the task map.

Identify which record controls each statement. The customer's requested date should remain separate from the accepted appointment. The technician's recorded work should remain separate from work planned for another visit.

Stop before building if the office cannot identify the current plan terms or responsible reviewer. Resolving the source is part of the study. More drafting capacity does not supply a missing agreement.

## Sort recurring work into four treatments

Consider the following starting assignments with the people doing the work. Replace them with decisions supported by the actual process.

| Treatment | Candidate task | Decision owner |
| --- | --- | --- |
| Eliminate | Repeated internal updates with no reader | Office manager |
| Automate | Matching service references and required fields | Service coordinator |
| Augment | Organizing technician notes into a review draft | Technical supervisor |
| Outsource | Approved specialist work outside the service scope | Business owner |

Keep exact date comparisons and template selection deterministic when fixed rules are sufficient. Reserve model work for supplied language that needs organization or summarization. Require the reviewer to check the resulting meaning.

Pesticide labels are legally enforceable, according to EPA. A generated draft must not replace the applicable label. [EPA introduction to pesticide labels, checked 2026.10.26](https://www.epa.gov/pesticide-labels/introduction-pesticide-labels).

## First function: prepare the service-request review

The service coordinator directs the function using the company's approved intake checklist. The inputs are one received request, the accepted service list, and the relevant existing-customer reference when authorized.

The function organizes the caller's reported issue, location, contact route, property type, and unanswered questions. It preserves descriptions such as something in the attic as the caller's words. It does not convert them into a confirmed pest identification.

The coordinator checks identity, completeness, and service scope. The technical supervisor checks any issue requiring treatment or safety judgment. A dispatcher or other authorized person decides the appointment under the actual office process.

Test a request with no service location. The output should identify the missing field rather than assume the billing address. Test a customer asking whether an area is safe to enter. The function should route that question to the qualified reviewer without inventing reassurance.

Keep the result internal until a person approves the next communication. Receipt of a request should not become confirmation that treatment is scheduled.

## Second function: assemble a visit-report draft

The technical supervisor directs this function. They identify the accepted technician record and report format for one service visit. The function reads only that record and the approved supporting material.

Configure it to organize recorded observations, documented actions, attached references, and unresolved questions. Each proposed statement should retain a link to the underlying note. A blank treatment field stays blank for review rather than receiving a likely value.

The attending technician checks whether the draft matches the visit. The technical supervisor checks technical meaning and approves the customer-facing report. Keep product selection, application details, and safety wording tied to the qualified person's accepted record.

Test notes that describe an inspection without a recorded treatment. The output must not say a pesticide was applied. Test conflicting location references. The report should stop until the supervisor identifies the correct service record.

Keep public sample reports separate from these private drafts. Do not reuse a live customer's report as marketing material without its own publication review.

## Third function: prepare recurring-plan answers

The office manager directs the function with the customer's current agreement and approved plan explanation. The intended output is a draft answer to a specific administrative question.

The function can locate the recorded visit schedule, included scope, exclusions, and cancellation route. It should cite the agreement version for the reviewer. A request to change the plan remains a request until an authorized person accepts it.

The account coordinator checks the customer and active plan. The manager checks commercial terms and approves the answer. Any question about treatment suitability or application safety returns to the technical supervisor.

Test two similar plan names with different documents. Require the system to use the customer's accepted version. Test a request for a free extra visit when the agreement is unclear. The correct output is a question for the manager, rather than an invented benefit.

Exclude automatic charging, refunding, renewal changes, and cancellation decisions from the draft function. Those actions need their own approved process.

## Keep an owned source record for each function

Use business-controlled records for service scope, active agreements, approved templates, and corrections. Name who updates each record. Keep the service platform in place if it already controls visit status.

Separate an accepted record from a draft. Require the reviewer to identify which changes belong back in the source. A generated report should not silently rewrite the technician's original notes.

Use a correction example from testing. If the function treats an inspection as a treatment, record the distinction in the governing rule. Preserve the failed case and expected output for later model changes.

Limit access by service and purpose. A plan-answer function does not need unrestricted access to photographs, employee files, or payment records. Require the maintainer to demonstrate that a harmless unrelated record stays outside the input set.

## Set cost and approval boundaries together

Use 10/80/10 as a responsibility pattern. The coordinator or supervisor sets direction, the system prepares the middle, and a person checks the result. Do not interpret it as permission to skip technical review.

Give each function a separate monthly spend limit and named alert recipient. Include document processing, model usage, and retries. Reserve the permitted amount before the run begins.

Stop new paid work when the remaining capacity cannot cover it. Route the item to the human queue. Keep a receipt with the service reference, input versions, model identifier, cost, review state, and reason for any stop.

Compare costs with accepted reports and unresolved exceptions. Do not call an incomplete draft finished because it stayed under budget. Keep billing uncertainty visible until actual charges reconcile it.

## Train the office before expanding

Have the coordinator direct a synthetic run and the technician check its draft. Ask the supervisor to reject an unsupported treatment statement. Record the correction and repeat the same case.

Test missing inputs, an exhausted limit, unavailable reviewers, and a service record assigned to the wrong customer. Each needs an understandable stopped result and a named person responsible for recovery.

Choose the function whose input record is current and whose reviewer can own the check. Scale With Search builds [AI systems](/ai-systems) one function at a time. Send the service handoff, approved records, and acceptance examples through the [written scope form](/work#send-your-brief).
