# AI-native moving companies: first functions to build

Start an AI-native moving company with the office work around an estimate, dispatch decision, or damage report. Choose a function that organizes current records for the person making the decision. Keep prices, services, crew assignments, timing, and claim outcomes with authorized staff.

Define one checkable result before choosing a tool. A change packet can show the estimator what changed. A pre-move draft can prepare confirmed office details for review. A claim intake packet can organize a customer's statement without deciding liability.

The [moving company hub](/for/moving-companies) describes these source records. Use the sequence below to select a first internal function for your own office.

## Study one move through its changes

Ask the coordinator to walk through a permitted example from first inquiry to the final office handoff. Record every repeated lookup, copy, clarification, and approval. Include changes to inventory, access, packing, storage, and requested dates where they occur in your process.

Ask which document controls each fact. The accepted estimate establishes its commercial terms. Dispatch establishes the current approved operational window. The customer message establishes what the customer requested. Keep those roles distinct in the proposed function.

Separate move types before writing legal instructions. The federal shipment references below concern applicable interstate household-goods work. Have the responsible reviewer establish the rules and documents for local work in each state you serve.

## Sort office work into four decisions

Review the task list with estimating, dispatch, and the owner:

| Decision | Moving-office task to examine |
| --- | --- |
| Eliminate | A second inventory summary nobody maintains or relies on |
| Automate | A fixed check for missing access questions or document references |
| Augment | Preparing an inventory-change packet for the estimator |
| Outsource | A separately scoped specialist question with approved file access |

Keep estimating decisions out of a simple completeness check. The function can identify a missing inventory reference without deciding the shipment's weight, required crew, or final charge.

For outsourced work, define the exact question and permissible material. Keep access approval with the moving company. The assignment should have an output and reviewer rather than a general request to handle everything.

## First function: prepare the estimator's change packet

Have the move coordinator direct this function. Supply the accepted estimate, inventory reference, approved access notes, and new customer request. The estimator checks the resulting comparison.

Require separate rows for the accepted record, requested change, affected assumption, missing fact, and decision needed. Preserve the customer's wording where it matters. Keep an unconfirmed request from becoming the new accepted scope.

For applicable interstate household-goods shipments, 49 CFR 375.401 requires a written estimate and identification of its binding or non-binding status. [Federal estimate rule, checked 2026.10.26](https://www.ecfr.gov/current/title-49/subtitle-B/chapter-III/subchapter-B/part-375/subpart-D/section-375.401).

Have the estimator control any resulting document change under the applicable process. The function prepares the comparison; it does not issue a revised estimate or calculate a new charge.

Test a synthetic request that adds packing and several items after estimate acceptance. The packet should identify both requests and their source. It should not mark packing included, change the total, or confirm capacity.

The [estimate explanation guide](/articles/moving-website-binding-nonbinding-estimates) addresses public wording. Keep that educational page separate from the individual estimate and approval process.

## Second function: draft a pre-move confirmation

Build this once estimating and dispatch agree on the controlling sources. Have the coordinator direct the draft using the accepted service record, approved dispatch information, and current administrative message rules. Dispatch checks timing. The coordinator approves the final recipient and text.

Include approved addresses, contact route, accepted services, confirmed date or window, and unresolved administrative questions. Keep internal crew notes and private access credentials outside the customer draft unless specifically authorized for that recipient.

The federal bill-of-lading rule includes agreed pickup and delivery dates or periods for non-guaranteed service. [49 CFR 375.505, checked 2026.10.26](https://www.ecfr.gov/current/title-49/subtitle-B/chapter-III/subchapter-B/part-375/subpart-E/subject-group-ECFR678dd6dec294449/section-375.505).

For work within that rule's scope, have the responsible reviewer define the source and wording used in the draft. Do not let a customer preference override the agreed record or a current dispatch decision.

Use a synthetic example where the request says morning but the approved office record provides a different window. The function should flag the conflict. It should not create an exact arrival promise to make the confirmation sound complete.

## Third function: prepare a damage-report intake packet

Have the claim owner direct this function. Supply the permitted customer statement, move reference, received-file index, and claim intake checklist. The assigned claim reviewer checks the packet.

Require the report date, item description as supplied, received evidence, missing information, and assigned next office step. Keep the customer's allegation labeled as a statement. Do not rewrite it as an established finding.

The function should not decide fault, coverage, value, settlement, or payment. It should not infer that an absent photograph disproves a report. Keep any legal deadline or claim requirement tied to the actual approved source for that work.

Test a synthetic packet with two item references and a missing attachment. The expected output flags the association question and missing file. It should never send a denial or invent the contents of an unavailable image.

## Keep one move record and a correction path

Use the same move identifier across permitted inputs, drafts, and receipts. List the version of the estimate, inventory, dispatch record, and claim source the function reads. Keep the authoritative documents in the existing system.

Store the function specification, source map, approval roles, corrections, and test examples in records the business controls. Existing estimating and dispatch platforms can remain in place. A first function should not require replacing them.

Date accepted corrections and identify the future task affected. A corrected access detail should reach the next confirmation without another person reconstructing the earlier conversation. Recheck the relevant synthetic example after changing the rule.

Keep customer addresses, property details, and access information within the approved source boundary. Use a limited internal reference when a broad summary does not need the full detail. Have the office approve who can read outputs and receipts.

## Put direction and checking into the scope

Use 10/80/10 as the working method. A person sets direction and sources, the system prepares the middle, and a person checks. The proportions describe responsibilities rather than measured labor savings.

Name the director, checker, and backup for each function. Require the reviewer to trace every commercial or operational statement to its source. If a source is missing or conflicts, the result should identify the next decision owner.

Keep sending separate from drafting. Approval should name the move, estimate version, recipient, final text, and attachments. A later inventory or dispatch change needs another check before release.

## Cap spending and make stops observable

Give each function its own monthly allowance, alert owner, and per-run limit. Cap moves, source pages, paid requests, retries, and output length. Use fixed comparisons where direct checks supply the answer.

Check remaining allowance before a paid request. Reserve for pending work and stop when the next request would exceed the ceiling. Keep an unknown charge marked pending until reconciled.

Write a receipt for successful, blocked, failed, and empty runs. Record function, move reference, source versions, model identifier, output location, cost state, and checker. Keep model choices in private configuration and rerun the same examples after changing them.

## Hand over one office function

Ask a backup coordinator to follow the runbook using synthetic moves. Include added inventory, changed access, conflicting timing, a missing file, and exhausted allowance. Save the observed results with the accepted scope.

Teach the team how to pause the function, correct the controlling record, and retry only the affected item. Require a clear manual route when processing stops.

Bring the recurring moving-office handoff to [AI systems](/ai-systems). Send Scale With Search its approved records, review roles, and acceptance examples through [the written scope form](/work).
