# AI-native IT providers: the first functions to build

Build the first MSP function around a packet your team must check. Prepare onboarding exceptions, assemble ticket evidence, or draft a client service review. Keep production access and client commitments outside that first preparation function.

The [IT and managed service provider hub](/for/it-and-managed-service-providers) describes the wider support boundary. This plan adds a sequence for choosing and accepting working functions. It focuses on the records and decisions behind service delivery, rather than producing another list of AI tools.

Treat the examples as proposed designs. Inspect your service agreements, client boundaries, and staff responsibilities before adopting them. A function that reads a record should not inherit permission to operate the system described in it.

## Sort work by the decision it supports

Follow one client from signed scope to onboarding, a support request, and a service review. Ask which repeated tasks add information and which duplicate an accepted record. Name the person who uses each output.

| Decision | MSP example | Accountable person |
|---|---|---|
| Eliminate | Stop rebuilding an inventory in an informal presentation when the accepted report already contains it | Service delivery manager |
| Automate | Copy approved ticket identifiers and dates into a standard index | Service desk lead |
| Augment | Compare evidence with an onboarding or service-review checklist | Technical lead |
| Outsource | Send a defined specialist assessment through an approved client arrangement | MSP principal |

Keep fixed transfers deterministic. Use AI where uneven notes or multiple records need a readable draft. Review who depends on a report before removing it. Eliminating repeated work should leave the authoritative record available.

Outsourcing needs the same client authorization and record boundaries as internal processing. Define the specialist's scope and permitted material before sending anything.

## First function: prepare onboarding readiness exceptions

The onboarding lead directs this job after the commercial scope is accepted. Read the current service agreement, approved onboarding checklist, permitted asset index, and transition issue list. Produce an internal readiness packet showing completed evidence, unresolved dependencies, source conflicts, and owners.

Keep “requested,” “received,” “validated,” and “accepted” separate. A backup document being received should not establish that restoration was tested. An account appearing in an inventory should not establish that access works or that management responsibility has transferred.

The technical lead checks evidence and technical assumptions. The service delivery manager checks the service boundary and open dependencies. The client contact approves client decisions through the established process. The function cannot accept onboarding, obtain credentials, or begin remote management.

CISA's joint MSP advisory recommends transparent contractual ownership of security roles and responsibilities. [CISA AA22-131A, May 11, 2022, checked 2026.10.26](https://www.cisa.gov/news-events/cybersecurity-advisories/aa22-131a).

Make that boundary visible in the packet. Test a service listed in an old proposal but excluded from the accepted agreement. The function should flag the conflict and leave the service unaccepted.

## Second function: assemble ticket evidence for review

The service desk lead defines the eligible ticket class and permitted records. Read the selected ticket, current service entry, approved runbook reference, and documented actions. Return an evidence brief with requester details as recorded, observed symptoms, attempted steps, unresolved questions, and source links.

Require each factual statement to identify its source. Keep an observation separate from a suspected cause. Do not let a ticket comment asserting “fixed” override missing validation. Preserve the original uncertainty when the requester cannot identify the affected device.

The assigned technician checks the brief before deciding the next action. A security lead handles indicators that the written policy routes to security review. Keep priority and escalation decisions within that accepted policy and staff authority.

Test an older runbook, a contradictory user report, and a ticket that mentions another client's asset. The function should show the stale reference, retain the disagreement, and reject the foreign record. It should not close the ticket or attempt a repair.

The result should help a technician see the evidence. Do not give the function remote access tools merely because the brief contains a proposed next step.

## Third function: draft the client service-review packet

The service delivery manager directs the reporting period and metric definitions. Read approved service reports, ticket status extracts, accepted changes, and the current contract scope. Produce an internal draft with defined counts, recorded exceptions, unresolved decisions, and questions for the review meeting.

Separate observed service activity from claims about protection or business outcomes. A count of closed tickets should not become a claim that all customer problems are resolved. A backup status should not become an unsupported recovery guarantee.

The technical lead checks incident and change statements. The account owner checks commercial scope and any proposed customer commitment. The authorized client-message reviewer approves the final packet and recipient list.

Test a month with incomplete data and a changed metric definition. The report should label the missing period and preserve the definition change. It should not join incompatible counts into a smooth trend.

Use the [MSP cybersecurity claims guide](/articles/msp-cybersecurity-website-claims) when reviewing statements that might later become public. Keep client-private service evidence separate from marketing material.

## Keep client records separated at retrieval

Store shared procedures separately from client-specific facts. Give every run an enforced client identifier and an approved source list. Check the identifier before retrieval and again before writing output. Do not rely on a folder name appearing in the prompt as the only isolation control.

Keep passwords, private keys, recovery codes, and active session material outside these preparation functions. Let a permitted record point to the established credential process without exposing the credential itself. Give the function only the read permissions and draft destination it needs.

For healthcare work, HHS lists MSP services involving electronic protected health information among its business-associate examples. [HHS business associate guidance, checked 2026.10.26](https://www.hhs.gov/hipaa/for-professionals/privacy/guidance/business-associates/index.html).

Have the appropriate reviewer establish the data route before using those records. A ticket can require restricted handling even when its visible subject looks ordinary. Start acceptance work with fictional clients and harmless test facts.

## Teach source review and correction

Use the 10/80/10 method on [AI systems](/ai-systems). Staff define the job, the system prepares the middle, and staff check the result. The proportions express the method. They do not establish an automatic safe share of production work.

Train the directing person to select current scope and source revisions. Train the reviewer to trace conclusions to evidence and preserve uncertainty. Correct the controlling record when an accepted fact changes. Rehearse the next run to confirm that the correction is used.

Have a second technician follow the runbook without help from its author. Ask that person to locate a pending packet, reject it, find the missing evidence, and stop further processing. Record gaps before calling the function handed over.

## Scope spend and acceptance per function

Give onboarding readiness, ticket evidence, and service-review preparation separate monthly limits. Set maximum records, input size, output size, and attempts. Alert the service delivery manager before the limit and enforce a stop at the permitted spend.

Write a receipt for every run with client identifier, source versions, model, output reference, review state, and cost. Count rejected outputs and failed calls. Keep receipt content sparse enough to avoid reproducing client secrets or incident details.

Accept the function after it handles stale scope, missing evidence, tenant mismatches, denied access, and budget exhaustion. Keep the original operational path available when the function stops. Test a replacement model against the same cases before switching ordinary work.

Bring Scale With Search one preparation function through the [written scope form](/work). Name the client boundary, technical reviewer, exclusions, and result your team must be able to accept.
