# AI-native locksmiths: the first functions to build

Start with the office work that helps a locksmith make a decision. Prepare an authorization handoff, assemble commercial quote questions, or review job-record exceptions. Keep entry decisions, technical methods, dispatch, and final prices with authorized people.

The [locksmith hub](/for/locksmiths) describes the broader preparation boundary. This plan turns recurring work into three proposed functions with defined sources, reviewers, and acceptance cases. It does not describe an installed system or promise a measured reduction in office work.

Use one service class for the first trial. A residential lockout, commercial rekey request, and vehicle-key inquiry can involve different facts and checks. Write the result and stopping rules before choosing the tool.

## Sort the work around an access request

Follow a request from the first call to authority review, accepted scope, service record, and follow-up. Note where staff repeat a fact and where they decide whether the business can act.

| Decision | Locksmith-office example | Accountable person |
|---|---|---|
| Eliminate | Stop retyping the same accepted job reference into an unused side list | Office owner |
| Automate | Copy approved contact and job identifiers into an internal packet | Dispatch lead |
| Augment | Assemble missing authority questions and compare a request with accepted scope | Responsible locksmith |
| Outsource | Route a defined specialist requirement through an approved provider | Business owner |

Keep ordinary field copying deterministic. Use AI for irregular call notes, comparisons, and draft questions. Before retiring a tracker, check whether accounting, dispatch, or a commercial account owner still depends on it.

Outsourcing needs a defined purpose, permitted record set, and reviewer. It should not disclose key-system records or entry details because a provider asked for a complete job archive.

## First function: prepare the authorization handoff

The dispatch lead directs this function using the business's accepted identity and authority procedure. Read the recorded request, permitted contact fields, claimed relationship to the property or vehicle, and the status of required checks. Return an internal handoff showing stated facts, unresolved questions, and the responsible reviewer.

Keep a person's claim separate from a verified conclusion. A caller saying “I manage the building” should remain a recorded claim until the established verification process is completed. Do not use confident wording to bridge missing authority.

North Carolina G.S. 74F-14 requires a licensee opening a locked door to make a reasonable effort to verify ownership or owner authorization. [North Carolina Locksmith Licensing Act, checked 2026.10.26](https://www.ncleg.gov/EnactedLegislation/Statutes/HTML/ByChapter/Chapter_74F.html).

That is a state-specific source. Have the responsible locksmith establish the applicable procedure for the business's location and service. The function can prepare the handoff. It cannot decide that entry is authorized.

The dispatcher checks contact and location. The responsible locksmith performs and records the required authority review. Test a request with a changed address and missing authority evidence. The function should stop the packet and identify the missing review. It should not dispatch or provide entry instructions.

## Second function: assemble commercial quote readiness

The commercial lead directs this job. Read the approved account contact, broad requested outcome, permitted site summary, existing accepted scope, and the current assessment checklist. Return a list of supplied facts, unresolved technical questions, and decisions needed before a proposal can be prepared.

Keep sensitive key-system information out of the general packet. Use controlled references for records that only the qualified technical reviewer may access. A question about changing access should not become permission to disclose existing key assignments or security weaknesses.

The account owner checks requester authority. The responsible locksmith checks technical feasibility and any required assessment. The commercial approver checks the exact proposed scope, price, and terms before a quote leaves the business.

Test a request that names several doors but gives no confirmed hardware information. The output should preserve the unknowns. It should not choose equipment, assert compatibility, or quote another account's job as a final price.

The [commercial key-system request guide](/articles/commercial-locksmith-key-system-quote-page) covers the website entry point. This function prepares the controlled office review after receipt. It should not ask the public form to collect sensitive system records.

## Third function: prepare job-record exceptions

The office owner directs the reporting period and accepted record checklist. Read the permitted job index, accepted scope references, completion status, and recorded follow-up issues. Produce an exception list showing missing items, conflicting versions, and the person responsible for resolution.

Separate a visit from completed work. Separate an unresolved charge question from an accepted resolution. Keep a technician's recorded observation distinct from a customer's later report. The function should preserve disagreements and point reviewers to the source.

The responsible locksmith checks technical and authority records. The office owner checks commercial and communication status. Keep identity documents and detailed security information inside their approved restricted process. A general exception list needs an identifier and missing-item status, not a copy of a key code.

Test a job whose scope was revised during service and a record whose completion status is blank. The function should identify the accepted current version and leave the blank unresolved. It cannot invent work performed or mark the account closed.

Use the result to prepare staff review. Keep payment collection and customer messages outside this first function's permissions.

## Build a record the business can control

Name a controlling source for rate descriptions, accepted scope, customer authority checks, technician observations, and account instructions. Record revisions and the person allowed to correct each source. Keep a requested action separate from an accepted instruction.

Give each function only the permitted fields for its output. Keep key codes, master-key structures, alarm details, bypass methods, passwords, payment credentials, and unrelated identity records outside general AI preparation. Use a separate restricted process when the service itself needs those records.

Keep the instructions, corrections, acceptance cases, and run history in business-controlled records. A staff member should be able to locate the current rule without searching another person's chat history. Preserve readable exports and the information needed to test a different model.

Review the provider and data route before supplying real customer material. Use fictional jobs while the handling decision is unresolved.

## Train direction and review without widening authority

Use the 10/80/10 method on [AI systems](/ai-systems). A person sets the job, the system prepares the middle, and a person checks the result. These proportions explain the approach. They do not establish that any share of an access decision is safe to delegate.

Teach dispatch to select the correct service class and source versions. Teach the reviewer to distinguish claimed authority, recorded checks, and an accepted decision. Rehearse rejecting a packet and correcting the controlling source.

Name a backup and an absence procedure. If no qualified reviewer is available, keep the packet pending and use the established manual process. An urgent call should not expand the preparation function's authority.

## Set spend and acceptance for each function

Give authorization handoffs, commercial readiness, and record checks separate monthly limits. Name an alert recipient and enforced stop. Bound documents, job count, output size, and attempts per run. Count failed requests and rejected drafts.

Write a receipt with function, job reference, source versions, model, output location, review state, and cost. Keep security details and identity evidence out of routine receipts. Use an authorized reference when a reviewer must inspect the original.

Accept the function after it handles missing authority, changed addresses, unsupported compatibility, conflicting scope, restricted records, and exhausted budgets. Have another staff member follow the runbook, reject an output, and pause processing before handoff is complete.

Bring Scale With Search one locksmith office function through the [written scope form](/work). Name the responsible locksmith, permitted source set, and decisions that must remain with the business.
