# AI-native insurance agencies: the first functions to build

Start with an agency office task whose result is preparation. Organize a service request, build an internal renewal exception list, or assemble a certificate request packet. Keep advice, coverage interpretation, and policy actions with the appropriate authorized staff.

The [insurance agency hub](/for/insurance-agencies) introduces bounded office work. This plan defines three proposed functions with source records, named reviewers, and acceptance cases. It does not describe a system already installed in an agency or promise a measured result.

Choose the first function by inspecting a real office process. Ask staff which information they repeatedly reconstruct and which decisions must remain visible. Build around that distinction before choosing the AI service.

## Sort the agency's recurring work

Follow one request from receipt to resolution. Note each copy, lookup, clarification, and approval. Ask which tasks can stop, which can follow a fixed rule, and which require a prepared draft for judgment.

| Decision | Agency example | Accountable person |
|---|---|---|
| Eliminate | Stop retyping an account reference into an unused second list | Operations lead |
| Automate | Copy an approved request identifier into the receiving queue | Operations lead |
| Augment | Assemble missing-item questions and compare received documents with a checklist | Account manager |
| Outsource | Send a defined specialist matter through an approved external process | Agency principal |

Keep policyholder information inside the approved record-handling boundary throughout the sort. Outsourcing needs a permitted purpose, recipient, and record set. It should not mean uploading an account archive because an external service can accept it.

Preserve the controlling agency record when eliminating duplicate work. Check who reads a tracker before retiring it. Staff should know where to record a correction and which record governs the next preparation run.

## First function: prepare the service-request handoff

The operations lead directs this job. Read the received request, approved service categories, permitted contact details, and current routing instructions. Prepare an internal handoff with the customer's stated task, missing questions, and the role responsible for the next review.

Preserve the distinction between a question, a document request, a proposed policy change, and a possible claim-related communication. If the category is unclear, show the uncertainty. Do not classify the request as completed service or confirm that coverage has changed.

The account manager checks identity and account references through the established agency process. The appropriate licensed reviewer checks any content that would require insurance judgment. An authorized person approves the exact customer message before sending.

Use a fictional request that says, “Please add this tomorrow,” without identifying what should change. The function should preserve the words and name the missing information. It should not choose an endorsement, effective date, or confirmation.

The [existing-policy service-page guide](/articles/insurance-agency-existing-policy-service-page) covers the website entry point. This function begins after the request reaches the controlled office queue.

## Second function: assemble the renewal exception list

The account manager directs the period, permitted account set, and current office checklist. The function compares the approved renewal date list, open-item index, received-document status, and recorded client instructions. It returns exceptions for staff review.

Separate a recorded date from a completed renewal. Separate a document marked received from a document accepted as sufficient. Keep a customer preference distinct from a carrier decision. If two date sources disagree, list the conflict and refer it to the account manager.

The account manager checks dates and missing items. The responsible producer checks questions involving policy terms, carrier requirements, or recommendations. The function should not recommend a replacement policy, state a premium, or decide that an account is ready to renew.

Test a file whose checklist was revised after the previous run. The output should identify the current requirement and show the old item's superseded status. Test a missing attachment separately. A filename appearing in an email should not count as a verified document received.

Keep the function focused on office readiness. Existing coverage of [insurance agency context records](/articles/ai-memory-for-insurance) addresses the broader business record. Use this new function for a specific pending-work report.

## Third function: prepare a certificate request packet

The service lead directs this function. Read the request, approved account reference, agency checklist, intended recipient, and controlled document index. Produce a packet listing supplied information, unresolved questions, and the staff review required before any document is issued.

For certificates within its definition, North Carolina G.S. 58-3-149 states that a certificate is not a policy and does not amend, extend, or alter coverage. [North Carolina certificate statute, checked 2026.10.26](https://www.ncleg.gov/EnactedLegislation/Statutes/HTML/BySection/Chapter_58/GS_58-3-149.html).

That is a state-specific boundary, rather than a nationwide certificate rule. Have the agency establish the applicable requirements. Do not let a requested description become an approved statement of insurance.

The authorized certificate reviewer checks the packet against the actual policy and agency process. The function cannot issue a certificate, invent wording, or send the customer's contract to an unapproved destination. Missing authority or conflicting recipient details should stop the packet.

Test a request containing language absent from the available source record. The output should flag that language for review and avoid presenting it as a supported certificate fact.

## Choose the approved data route before building

Use a field-level source list. Record the purpose, permitted readers, destination, and retention rule for each field. Give the function only what its proposed output needs. Prefer a controlled status extract when the full application or policy file is unnecessary.

North Carolina G.S. 58-39-75 limits disclosures of personal or privileged information collected in connection with an insurance transaction, subject to its stated conditions. [North Carolina disclosure statute, checked 2026.10.26](https://www.ncleg.gov/EnactedLegislation/Statutes/HTML/BySection/Chapter_58/GS_58-39-75.html).

Have the responsible reviewer establish the lawful and contractual route for the agency's data and jurisdiction. Do not assume that a vendor account, a signed client application, or removing a name resolves every disclosure question.

Keep identity documents, payment details, health information, and unrelated account files outside the initial prototype. Use fictional records until the handling route is accepted. Store the business's rules and corrections in records it controls.

## Train the people who direct and check

Use the 10/80/10 method on [AI systems](/ai-systems): staff set direction, the system prepares the middle, and staff check the result. These proportions describe the approach. They are not a guaranteed allocation of time on a regulated task.

Give the directing staff member a source checklist. Give the reviewer a traceable output that separates facts, missing items, and unresolved decisions. Rehearse a rejected draft and a correction to the controlling record.

In a small agency, one person may direct and check. Still record both steps. Name a backup and a pending-work procedure for absences. Do not release an answer automatically when a review target is overdue.

## Set separate budgets and acceptance checks

Give each function a monthly spend limit, alert recipient, and enforced stop. Bound the number of accounts, attachment size, output size, and attempts per run. Count failed requests and rejected drafts against the function's usage.

Each run should record its function, permitted account reference, source versions, model, output location, cost, and review state. Keep policyholder details out of routine cost receipts. Make missing work visible through a blocked result with an assigned owner.

Accept the first function only after it handles unclear requests, revised checklists, incorrect recipients, and missing documents. Confirm that staff can operate it from the runbook and retrieve the business's records when changing providers.

Bring Scale With Search one agency preparation job through the [written scope form](/work). Name the qualified reviewer, permitted records, and decisions the function must leave with staff.
