# AI-native general contractors: the first functions to build

Start with the work between the site visit and the decision. For a general contractor, that can mean assembling bid questions, reconciling requested changes, or preparing a progress report. Give each function a current project record and a person responsible for its result.

Use the [general contractor hub](/for/general-contractors-and-construction) for the wider office context. This plan turns those office jobs into separately testable functions. It does not propose a system that prices a building or directs construction without review.

The examples below are proposed operating designs. Apply them to one representative job before adding another project, crew, or customer. Write the result you want before choosing software.

## Sort the recurring work before building

Walk one inquiry through your office. Ask who receives it, who qualifies it, who visits the site, and who prepares the bid. Follow a requested change through pricing and acceptance. Then follow a site note into the customer update.

Use four decisions:

| Decision | Construction-office example | Person accountable |
|---|---|---|
| Eliminate | Stop retyping the same project address into a second informal tracker | Office manager |
| Automate | Copy accepted project identifiers into a standard report header | Office manager |
| Augment | Prepare bid questions and compare scope versions | Estimator or project manager |
| Outsource | Send a defined specialist question to an appropriately qualified provider | Contractor |

Keep the simple copying deterministic. Reserve AI for reading uneven notes and preparing a draft that needs judgment. Outsourcing still needs a scope, permitted records, and a reviewer. It does not transfer authority to accept a project.

Before deleting a tracker, ask what uses it downstream. Preserve required business records. Elimination means ending unnecessary repeated work, with the owner agreeing where the controlling record will live.

## First function: prepare the bid readiness packet

The estimator directs this function. The office supplies the inquiry, site-visit notes, current scope worksheet, approved specifications, and permitted supplier responses. The output is a bid readiness packet with documented facts, missing decisions, source links, and questions for each trade.

Make the packet distinguish measured quantities, customer preferences, allowances, and unresolved choices. If a drawing revision conflicts with a site note, show both. Do not let the draft choose the cheaper interpretation or turn a rough note into a verified measurement.

The estimator checks quantities, specifications, exclusions, and open questions. The contractor checks the commercial decision before a proposal leaves the business. A supplier's old response should remain a dated reference until someone confirms its current use.

Use a fictional kitchen project for acceptance. Leave an appliance specification unresolved and supply two drawing revisions. The function should identify the conflict and withhold a completed bid. Then provide the approved revision and rerun it. Check that the obsolete version no longer controls the packet.

This function stops at preparation. Estimating from current cost records is a related subject covered in [AI for contractors](/articles/ai-for-contractors). Keep that pricing record separate from a model's suggested language.

## Second function: prepare a scope-change comparison

The project manager directs this job after a customer or trade requests a change. Read the accepted scope, accepted amendments, the new request, and the current project notes. Return a comparison of requested additions, removals, affected decisions, and questions requiring a new quotation.

Separate four states: requested, priced, accepted, and completed. Require a supporting record before an item moves between them. A customer's message asking for another outlet should remain a request until the business completes its approval process.

The estimator checks price-related inputs. The project manager checks the scope comparison. The contractor or designated commercial approver accepts the final offer. Customer acceptance belongs in the project's established record, with the exact version identified.

Test a request that arrives after a priced change has already been revised. The function should show which proposal remains current. It should not combine the price from one version with exclusions from another. Reject a packet that hides a missing signature or a disputed instruction behind confident prose.

Keep the output internal until those checks finish. Do not connect the first version to customer messaging, purchasing, or crew assignments.

## Third function: assemble the weekly exception report

The project manager sets the reporting period and the approved source list. The function reads dated site notes, the current schedule, open questions, and the accepted scope. It prepares completed observations, unresolved items, and decisions needed from the office.

Require every completion statement to point to the note supporting it. Keep an inspection scheduled for next week separate from an inspection recorded as passed. Keep the customer-facing summary separate from private trade discussions, employee matters, and internal cost analysis.

The site supervisor checks observations against the job. The project manager approves the final customer update and any promised next step. A delayed supplier response should appear as an unresolved input unless an authorized person has accepted a revised date.

Test one report with an empty day's notes. The draft should say the record is missing. It should not fill the gap by repeating yesterday's progress as new work. Check the reporting period and time zone before accepting the output.

## Build a project record the company controls

Name one controlling source for accepted scope, another for current schedule, and another for site observations. Store revisions with their dates and accepted status. Keep customer requests separate from business approvals. Give staff a clear place to record a correction.

Limit what the function reads. The FTC advises businesses to keep sensitive information only for legitimate business needs. [FTC business information guidance, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/protecting-personal-information-guide-business).

For this design, keep employee tax records, payment credentials, alarm codes, and unrelated customer files outside the preparation source set. Use project identifiers in routine receipts. Give a reviewer controlled access to the original when verification requires it.

The owned record should remain readable when you change the model or software provider. Save the task instructions, acceptance examples, corrections, and run history beside the business's approved source references. Identify the model used in the private receipt without making it part of the customer promise.

## Train direction and review as separate jobs

Use the 10/80/10 approach described on [AI systems](/ai-systems). A person sets direction. The system performs the middle. A person checks the result. These proportions describe the method, rather than a measured allocation for every project.

Teach the estimator to name the current revisions and the expected output. Teach the reviewer to trace a draft statement to its source. Give both roles a stop procedure for missing scope, conflicting instructions, or an unfamiliar recipient.

Start in rehearsal with fictional or approved redacted material. Then run a small internal sample alongside the existing process. Record corrections before expanding the source set. A fluent report alone does not demonstrate that the right revision was used.

If the reviewer is unavailable, leave the output pending. Name a qualified backup before relying on the function during an absence. Do not let an overdue report create automatic permission to send.

## Set spend and handoff checks per function

Give bid preparation, change comparison, and reporting separate monthly limits. Set a maximum input size and a maximum number of attempts for each run. Alert the office manager before the limit is reached. Stop further calls when the enforced budget is exhausted.

Write one receipt per run with project identifier, source versions, output location, model, cost, and review state. Include failed attempts in the total. Keep a blocked run visible so staff know why no packet arrived.

Accept the first function only after it handles missing records, revisions, and rejected drafts correctly. Ask another staff member to operate it from the written instructions. Confirm the company can retrieve the records and change the model without losing accepted rules.

Bring Scale With Search one recurring project-office job and a representative source set. [Send your brief](/work#send-your-brief) for a written function scope, exclusions, and handoff checks.
