# AI-native foundation and home repair: first functions

Start an AI-native foundation or home repair business with a repeated office handoff. Choose inspection-file preparation, scope-change tracking, or warranty-request organization. Give the system current records and a person who can check the result.

Keep technical findings with the people responsible for them. An administrative function should not diagnose movement, select a repair, interpret engineering, or declare a structure safe. Its job is to organize approved facts and expose missing decisions.

The [foundation and home repair overview](/for/foundation-and-home-repair) describes bounded preparation tasks. This guide addresses how to choose a first function and connect it to the rest of the office. The examples below are designs to review, not statements about a particular property or contractor.

## Study one project from inquiry to service history

Ask intake, the inspector, estimator, production manager, and warranty owner to trace an ordinary job. Include the records each person receives, creates, checks, and hands to someone else.

Map intake, visit requests, inspection records, estimating, accepted scope, scheduling, project updates, change approvals, and later service questions. Write down where the office repeatedly reconstructs the same facts.

Preserve the role of each source. A homeowner's description reports a concern. A field report records observations. The accepted proposal states the agreed scope. Production records state the current work status. Do not let a summary flatten those differences.

Use fictional project files during development until the business approves the actual data path. Identify the fields needed for the function before collecting photographs, addresses, financial documents, or full project archives.

## Sort the work before assigning it to a model

Use four choices for the recurring tasks. Ask the owner to accept or revise these examples.

| Choice | Proposed repair-office example | Management decision |
| --- | --- | --- |
| Eliminate | Rewriting a status narrative that duplicates the current job record | Confirm who uses it and what replaces it |
| Automate | Check a required inspection-file list for missing references | Define exact required fields and exceptions |
| Augment | Prepare a scope-change comparison for the estimator | Keep approval and technical interpretation with people |
| Outsource | Obtain separately scoped professional support | Name qualifications, deliverable, and review owner |

Use deterministic checks for required files, quantities already approved, and recorded status counts. Let a model organize varied notes only within the accepted scope. Keep calculations that determine a design outside the initial administrative function.

Before removing a record, check its contractual, operational, and preservation role. A document can look repetitive while serving another reader. Name the controlling replacement before proposing elimination.

## First function: prepare the inspection-file handoff

The inspection manager directs this function. The estimator checks the administrative packet before relying on it. A qualified technical owner reviews any interpretation outside the approved field wording.

Supply the accepted field-report version, photo register, inspection checklist, and recorded customer questions. Ask for an index of available material, missing measurements identified by the checklist, and unresolved references.

The output should preserve the inspector's wording and source location. It can say that a referenced photograph is absent. It should not infer a condition from the remaining photographs or fill in a measurement from an image.

Test a missing room label, conflicting project identifiers, an absent engineering reference, and a corrected field report. The function must stop where the packet cannot support the handoff. A well-formatted index does not establish that an inspection is technically sufficient.

Choose this first if estimators keep returning to the field team for missing administrative material. The acceptance check is whether the estimator can find and verify the recorded facts.

## Second function: compare approved scope changes

Let the estimator direct the function. The project manager checks production implications, and the authorized price owner reviews any customer-facing wording before it leaves.

Inputs include the accepted proposal, current work order, approved changes, and relevant production notes. Keep requested changes separate from accepted changes. Give each version a clear identifier and effective status.

The output can show differences in recorded areas, listed work, exclusions, and pending customer choices. It should point to the exact source for each item. It must not add a repair method, calculate missing quantities, set a price, or accept a change.

Test a customer message requesting more work beside the unchanged accepted proposal. The result should label the request as pending. Add a work order that conflicts with an approved change and require a stop for the project manager.

Build this function when change handoffs create the repeated explanation. Do not start with automatic customer updates while scope authority remains unclear. Resolve the record first, then prepare a reviewed update from it.

## Third function: assemble warranty-request exceptions

The warranty owner directs and checks this function. The service manager reviews operational questions. Keep any engineering or technical conclusion with the appropriate qualified person.

Use the issued warranty, relevant job reference, service history, and current inquiry. Ask the function to organize the reported concern, document versions, missing references, and questions requiring a decision.

It can preserve what the customer says and identify the warranty document linked to the project. It should not decide coverage, cause, remedy, fault, or whether a condition is new. A term copied into a summary is not a coverage determination.

Test an inquiry from a person whose authority is unresolved, an absent issued document, and a later photo with a different area label. Require a review hold rather than a promise to inspect, repair, or pay.

Start with this function if warranty intake is the office's clearest repeat burden. Otherwise, wait until the business can maintain the underlying project and service records. A general warranty explanation cannot substitute for the issued terms.

## Set privacy and technical boundaries together

The FTC recommends inventorying personal information and limiting it to business need. [FTC business data-security guide, checked 2026.10.26](https://www.ftc.gov/business-guidance/resources/protecting-personal-information-guide-business).

For these functions, keep entry codes, payment secrets, and unrelated household information outside the model input. Use the minimum approved project reference in receipts. Keep public marketing material separate from private inspection and warranty records.

North Carolina's engineering definition includes specified investigation, evaluation, and design work. Use it as a state-specific reason to identify professional boundaries. It is not a nationwide rule for every repair task. [North Carolina G.S. 89C-3, checked 2026.10.26](https://www.ncleg.gov/EnactedLegislation/Statutes/HTML/BySection/Chapter_89C/GS_89C-3.html).

Have the business identify the actual jurisdiction and qualified reviewer. The companion [repair AI rules](/articles/foundation-home-repair-ai-rules-data-approvals-spend) covers restricted records, approvals, and cost controls. The [report-access guide](/articles/foundation-inspection-report-pdf-search-privacy) addresses the separate website-sharing problem.

## Choose the handoff with an accountable source owner

Compare the candidates by source readiness and review effort. A missing-file index may be ready while scope-change records still lack a current owner. Choose the function whose inputs the business can maintain.

Write a fictional ordinary job and a conflicting-source example before implementation. Have the estimator or warranty owner approve the expected result. Ask the daily user to locate each controlling record from the proposed output. Keep these examples in the runbook. They give later staff a concrete way to check the function after a rule or model changes.

## Limit spending and test the handoff before expansion

Give each function a monthly model-spend allowance and a budget owner. Add per-run limits, input limits, and bounded retries. Require a stop before another paid request exceeds the remaining allowance.

Each run should record its function, source versions, result, model identifier, and cost. Label estimated costs until reconciled. Include failed attempts in the total. Keep hosting and other service charges visible separately.

At handoff, have the daily user run a normal project, missing report, conflicting scope, wrong-project attempt, and exhausted budget. Ask the checker to locate the source and explain the next decision. Put accepted corrections in the current records before repeating the relevant case.

The 10/80/10 method places direction and final checking with people. The system prepares the middle within the agreed boundary. Scale With Search studies the business, then builds one function on records the business owns.

Review [AI systems](/ai-systems), then [send your brief](/work#send-your-brief) with the repair-office handoff you want to address first.
