# AI-native architects and interior designers: first functions to build

Build the first AI function around a project decision your studio already records. Start with an inquiry review, a requested-change comparison, or a client-update draft. Keep design decisions with the responsible professional.

Use the plan below as a proposed office workflow. Adapt it to the services your practice accepts and the records your team maintains. The first deliverable should be a checked working function with a named owner, rather than a collection of prompts.

The [architecture and interior design hub](/for/architects-and-interior-designers) introduces office jobs. This guide takes the next step: choosing the source, reviewer, stopping conditions, and acceptance cases for one of those jobs.

## Study one project from inquiry to close

Ask the principal, project lead, studio administrator, and purchasing coordinator to trace one completed assignment. Use a representative job the team may review internally. Write down every handoff without copying its confidential contents into an unapproved tool.

Follow the inquiry, initial brief, accepted proposal, design decisions, requested changes, purchasing instructions, and progress reports. For each step, ask who supplies the facts and who can change them. Record where the current version lives.

Separate a client's desired completion date from the studio's accepted schedule. Separate a material suggestion from an approved selection. Separate a supplier quote from an authorized purchase. Preserve those distinctions in the function's input fields.

Choose a task whose output can be compared with a short source package. Leave drawing production, code interpretation, and construction decisions outside the first administrative function. Define completion as a reviewable packet that lets a person make the next decision.

## Sort the recurring work before building

Use four decisions for each task. Eliminate work that has no required reader or decision. Automate fixed checks. Augment work that needs interpretation. Outsource a defined assignment when a qualified external person is the better owner.

| Studio task | Proposed treatment | Decision owner |
| --- | --- | --- |
| Recopying approved scope into another summary | Eliminate the duplicate version | Principal |
| Finding missing fields in an inquiry | Automate a fixed checklist | Studio administrator |
| Comparing a request with accepted scope | Augment with a cited draft | Project lead |
| Reviewing a technical specialty outside studio capacity | Outsource under a defined appointment | Responsible professional |
| Explaining progress to a client | Augment from current project notes | Project lead |

Do not use this sort to discard project records. Eliminate the unnecessary act of copying; preserve records under the studio's approved retention process. If two teams need different views, derive both from the same approved source.

NCARB's model conduct rules address competence and applicable building laws. They are recommendations for jurisdictional boards. Check the rules adopted where your professionals practice. [NCARB Model Rules of Conduct](https://www.ncarb.org/publications/ncarb-model-rules-of-conduct), checked 2026.10.26.

## First function: prepare an inquiry decision packet

Have the principal direct the inquiry function. The principal supplies accepted project types, service boundaries, location limits, and the questions needed before a fit decision. Give the function only the inquiry and this approved practice sheet.

Require a fixed output: requested service, project stage, stated location, requested timing, supplied documents, and unanswered questions. Preserve uncertain wording. If the inquirer writes “perhaps a renovation,” the summary must not call it an approved renovation commission.

The studio administrator checks the packet against the submitted inquiry. The principal decides whether to continue. Staff approve any reply, fee discussion, or availability statement before it leaves the office. The function has no authority to accept work or reserve project capacity.

Keep contact details separate from the descriptive brief when the task can use a project reference. Follow the FTC's advice to inventory personal information and keep only what the business needs. [FTC personal-information guidance](https://www.ftc.gov/business-guidance/resources/protecting-personal-information-guide-business), checked 2026.10.26.

For the public collection step, use the existing [interior design inquiry-form guide](/articles/interior-design-website-inquiry-form). This function begins after the office receives that inquiry.

## Second function: compare a requested change with scope

Have the project lead direct this function using one accepted brief and one new request. Include the approved version identifier and the request date. Reject a job that contains two briefs marked current until the lead resolves them.

Ask for a comparison with four parts: current commitment, requested difference, source references, and decisions still needed. Require a distinct label for a request awaiting approval. Do not let the function update the accepted brief itself.

Use a hypothetical furnishing change as an acceptance case. The client asks to replace a selected table and advance delivery. The draft should identify both requests. It should leave supplier availability, revised fees, and the delivery commitment unanswered until the relevant people confirm them.

The project lead checks scope accuracy. The purchasing coordinator checks any purchasing facts included in the packet. The principal approves a fee or contract change under the studio's own rules. Keep purchase execution outside this function.

A missing price is a missing price. A supplier's old estimate must not fill that gap. Require the draft to name the unanswered question and the person who can settle it.

## Third function: stage a project-update draft

Have the project lead supply approved progress notes, open decisions, and the current schedule. Define the reporting period and audience before each run. Limit the function to that project and those sources.

Require separate sections for completed office work, pending client decisions, dependencies, and the next confirmed action. Ask the system to cite the source beside each status claim in its internal review copy. Remove internal references only after checking the final message.

The project lead reviews every factual statement. The principal reviews changes to scope or commitments. Staff send the approved text through the studio's normal channel. An earlier approval must not cover a later draft with different dates or recipients.

Test a project with no progress note for the reporting period. The correct result is an incomplete packet that asks for the missing update. Do not accept a fluent paragraph assembled from the previous week's activity.

## Put each function on a record the studio owns

Keep approved service descriptions, scope versions, decision records, corrections, and run receipts in business-controlled storage. Give every function a short instruction file naming which record controls which fact. Maintain client separation when retrieving older examples.

Use the 10/80/10 pattern as a working design. A person sets direction. The function prepares the middle. A person checks the result. These shares describe responsibility; they are not a measured promise about review time.

When a reviewer corrects a draft, record the accepted correction with its scope and date. A rule for one project must not silently become a rule for every client. Ask the project lead to approve reusable practice rules separately.

## Cap cost and prove the handoff

Give each function its own monthly spend limit, per-run allowance, and alert recipient. Require the executor to check remaining allowance before a model call. If usage cost cannot be determined, hold the next paid step for the budget owner.

Include the job identifier, approved source versions, model used, status, and cost in every run receipt. Keep model names in internal records and make replacement a tested setting change. Recheck source handling before approving a replacement.

Before handoff, test a complete packet, missing scope, conflicting versions, another client's document, repeated job, and exhausted budget. Have someone other than the builder run the instructions. Require a blocked result for each prohibited case and a usable draft for the complete case.

Start with the function whose source and review path the studio can name today. Scale With Search studies the business and builds one working function at a time. Read [AI systems](/ai-systems), then send the proposed task and its approval owner through the [written scope form](/work).
