# AI-native churches and nonprofits: first functions to build

Start a church or nonprofit's AI build with a bounded office task. Prepare a volunteer-inquiry packet, stage a program update, or draft a gift acknowledgment from approved records. Keep participation decisions, pastoral care, and tax judgments with the responsible people.

Study the office before choosing the tool. Ask which recurring handoff has a clear source, a named reviewer, and a defined next action. Build one function the team can direct and check before adding another.

The [church and nonprofit hub](/for/churches-and-nonprofits) introduces office jobs. This guide adds the task sort, source rules, human ownership, and acceptance checks for a first working function.

## Follow one program through its office work

Ask the program owner, volunteer coordinator, giving administrator, and office lead to trace a representative week. Use invented people and gifts. Record inquiries, role questions, schedule changes, staff handoffs, donor questions, and the reports someone reads.

For each task, identify its source and decision. Separate expressing interest from being accepted as a volunteer. Separate asking about a program from enrollment. Separate a payment notification from an approved gift record and acknowledgment.

Ask who can change the schedule, approve a role description, confirm a gift, or authorize public wording. Keep those responsibilities distinct even when one employee carries several roles. Record a deputy for office absence without giving the model permission to choose one.

Find the repeated copying and unanswered questions. Choose the function whose input and checker are already available. If the program owner cannot identify the current schedule, settle that source problem before automating replies about it.

## Sort work into eliminate, automate, augment, or outsource

Use the four decisions on actual office tasks. Eliminate unnecessary duplication. Automate fixed checks. Augment drafts requiring context. Outsource a defined specialist assignment through the organization's approved process.

| Recurring work | Proposed treatment | Human owner |
| --- | --- | --- |
| Recopying a program schedule into another internal list | Eliminate the duplicate source | Office lead |
| Checking an inquiry for required fields | Automate the checklist | Volunteer coordinator |
| Explaining a schedule change | Augment a draft | Program owner |
| Preparing a gift acknowledgment | Augment from reviewed records and wording | Giving administrator |
| A specialist accounting or records question | Outsource a defined review | Finance lead |

Do not use this sort to remove required records or expose personal files. A duplicate working summary and an authoritative record are different things. Have the records owner approve retention and access separately.

Keep pastoral counseling, safeguarding reports, screening decisions, and personal assistance histories outside the first general office function. Those records need their own reviewed process. Do not make them available because they share a folder with ordinary program information.

## First function: assemble volunteer-inquiry packets

Have the volunteer coordinator direct this function using submitted inquiries, approved role descriptions, current openings, and contact preferences. Limit it to the fields needed for the next office conversation. Keep background-check documents and sensitive screening material outside the packet.

Require the requested role, stated availability, location, unanswered administrative questions, and responsible staff contact. Preserve the inquirer's uncertainty. If someone writes “not sure where I fit,” return that answer without assigning a role.

The coordinator checks the packet against the original inquiry. The program owner makes any acceptance or assignment decision through the existing process. Staff approve the final reply before it leaves the organization.

Test a fictional inquiry for a closed role and one with no reply permission recorded. Require a visible hold or staff question. The function should not accept the volunteer, schedule a shift, or imply that screening is complete.

Use the [volunteer signup page guide](/articles/nonprofit-volunteer-signup-page) for the public collection step. The internal function begins after the organization receives an inquiry through its approved route.

## Second function: stage program-update drafts

Have the program owner direct this function from the current schedule, location instructions, approved participation steps, and office message template. Name the specific program and audience for every run. Keep beneficiary case files outside the source package.

Ask for confirmed time and location, changed instructions, unresolved staff decisions, and a draft update. Require a source reference beside each date and location in the internal review copy. Do not fill missing details from an old flyer.

The program owner checks accuracy. The office lead checks the audience, recipient list, channel, and final wording. The function must not enroll participants, promise space, determine eligibility, or publish a schedule change on its own.

Test a closure with no replacement date. Require the draft to leave the next date unconfirmed. Add two documents marked current and require a conflict stop. The model should not choose the more appealing schedule.

For an internal report, use the same source package to list unresolved office actions and their owners. Keep that report separate from the message approved for public or participant use.

## Third function: prepare acknowledgment review copies

Have the giving administrator direct this function using a confirmed gift entry, current contact preference, and the reviewed acknowledgment template. Require the gift reference, organization identity, gift type, and approved wording before preparing the draft.

The IRS's acknowledgment guidance lists the organization name, cash amount or noncash description, and applicable goods-or-services statements. For noncash gifts, the description does not include a value. [IRS written-acknowledgment guidance](https://www.irs.gov/charities-non-profits/charitable-organizations/charitable-contributions-written-acknowledgments), checked 2026.10.26.

Have the responsible tax reviewer approve the template and any conditional wording. The function should not decide deductibility, assign a noncash value, invent a benefit statement, or change the gift entry. It should hold an incomplete record for review.

The giving administrator checks gift facts. The finance or designated tax reviewer checks the applicable wording. Staff approve the exact recipient and final text before release. Keep a general thank-you and the organization's formal acknowledgment process distinctly labeled.

Test a pending payment, a corrected gift entry, a noncash gift, and an event-related payment. Require the correct approved template or a hold. Do not let the function turn every recorded amount into the same tax statement.

## Keep payment secrets outside office drafting

Use gift status and an approved reference when the function needs payment context. Keep full payment credentials outside prompts, drafts, and cost receipts. Payment execution should remain in the approved payment process.

PCI SSC says sensitive authentication data must not be stored after authorization, even encrypted. Its examples include card verification codes and PIN data. [PCI SSC FAQ 1533](https://www.pcisecuritystandards.org/faqs/1533/), checked 2026.10.26.

Ask the builder to demonstrate the exclusion using synthetic fields. Keep charges, refunds, recurring-gift changes, and payment-account updates unavailable to the first function. A support inquiry should become a task for staff, rather than an automatic money action.

## Own the records and train the team

Keep approved schedules, role descriptions, gift templates, correction records, instructions, and receipts under organizational control. Let existing program and giving systems remain authoritative. Give each function an explicit source list.

Use 10/80/10 as a division of responsibility. A person directs the job, the system prepares the middle, and a person checks the result. The shares describe the method; they are not a measured promise about staff time.

Have another authorized employee run a fixture from the written instructions. Require them to find the source, explain the approval, and record a correction. Keep one-program decisions from silently becoming organization-wide rules.

## Set a separate cost line for each function

Give volunteer packets, program updates, and acknowledgment drafts separate monthly allowances. Add per-run ceilings, retry limits, and alert recipients. Name who may approve additional spend.

Check remaining allowance before every paid call. Write a receipt with the function, source versions, model used, outcome, and cost. Keep model names in internal settings and test replacements under the same data and approval rules.

Accept the function with fixtures for closed roles, stale schedules, pending gifts, changed recipients, forbidden data, repeated jobs, and exhausted budget. Require each prohibited case to stop before an effect occurs.

Bring the selected office handoff to Scale With Search. Read [AI systems](/ai-systems), then request a bounded function through the [written scope form](/work).
