# AI-native bookkeeping and tax practices: first functions to build

Start a bookkeeping or tax practice's AI build with a preparation task whose answer comes from approved practice records. A close-exception packet, missing-document draft, or notice handoff can give a reviewer something concrete to check. Keep accounting entries and tax judgments outside that first function.

Study the work before buying a tool. Ask which handoff waits on repeated copying, missing facts, or unclear ownership. Define the smallest output that helps a responsible person make the next decision.

The [bookkeeping and tax practice hub](/for/bookkeeping-and-tax-practices) outlines preparation jobs. This guide turns those jobs into separate function specifications with sources, direction, checks, and cost controls.

## Trace one client and one period

Ask the practice owner, bookkeeper, preparer, and administrator to follow a representative assignment. Map the engagement, document request, receipt register, working review, client questions, and final handoff. Use synthetic examples while designing access.

Record the client identifier, legal entity, accounting period or return year, and responsible professional. Keep these fields attached to every packet. A shared client name must not cause the function to mix two entities or periods.

For each fact, identify its authority. A register can show that a file was received. It does not establish that the document is complete or its accounting treatment is correct. A client's explanation and a professional's accepted decision need separate labels.

Ask where staff currently repeat work. Find duplicate status lists, requests sent from stale organizers, and exception notes without an owner. Choose the first function only after the reviewer agrees what a complete packet contains.

## Eliminate, automate, augment, or outsource

Make the four-way sort explicit. Eliminate unnecessary duplicate summaries. Automate fixed comparisons. Augment drafts requiring interpretation. Outsource a specialist assignment through the practice's approved professional and data process.

| Recurring task | Proposed choice | Direction and checking |
| --- | --- | --- |
| Re-entering receipt status in another private list | Eliminate duplicate entry | Administrator proposes; practice owner checks |
| Finding required fields missing from a register | Automate a checklist | Administrator directs and checks |
| Explaining unresolved close items | Augment a review packet | Bookkeeper directs; close reviewer checks |
| Drafting a request from an approved organizer | Augment the message | Preparer directs; administrator checks delivery details |
| Work outside the practice's accepted expertise | Outsource a defined assignment | Practice owner appoints and reviews the provider |

Do not treat outsourcing as permission to export client files. Define the recipient, purpose, and approved channel separately. Do not remove documents that support a required retention process merely because a working copy appears redundant.

## Approve data handling before the first live packet

The FTC's Safeguards Rule guidance lists tax preparation firms among covered financial institutions. Covered firms need a written information-security program and service-provider oversight. [FTC Safeguards Rule guidance](https://www.ftc.gov/business-guidance/resources/ftc-safeguards-rule-what-your-business-needs-know), checked 2026.10.26.

Tax-return information also needs its own review. Treasury regulations define protected information and distinguish permitted disclosures and uses. Have the practice's qualified reviewer assess the actual function and provider. [26 CFR 301.7216-1](https://www.ecfr.gov/current/title-26/section-301.7216-1) and [301.7216-2](https://www.ecfr.gov/current/title-26/section-301.7216-2), checked 2026.10.26.

Until that review is complete, build fixtures with invented clients and documents. Keep account credentials and complete bank or tax files outside the development package. Record the approval for the eventual live input set.

## First function: prepare the close-exception packet

Have the bookkeeper direct the function from an approved close checklist and source register. Supply one entity and one period. Include status entries already recorded by authorized staff and links to the permitted supporting documents.

Require the packet to list missing statements, open reconciliation statuses, items staff already flagged, unresolved questions, and the assigned reviewer. Have each item point back to its source. Do not let the function categorize transactions or declare an account reconciled.

The close reviewer checks the packet against the checklist and books. That reviewer decides which questions need follow-up and which work is complete. Staff approve any client message separately.

Test two hypothetical entities with similar names. Include an account whose statement belongs to the previous month. The function should flag the mismatch rather than silently use the available file. A partial packet must remain visibly partial.

Require no ledger-write, banking, payroll, or filing capability for this function. A useful exception list does not need authority to alter the source accounts.

## Second function: draft missing-document requests

Have the preparer direct this function using the current organizer, receipt register, and approved delivery instructions. The request list must come from the preparer's reviewed requirements. The function should not invent additional tax questions from general model knowledge.

Ask for received items, missing items, unreadable uploads, possible duplicates, and a draft request. Keep the taxpayer, entity, year, recipient, and approved private upload route explicit. Avoid including document contents in a routine request.

The preparer checks why each item is needed. The administrator checks contact identity, channel, attachment references, and final wording. Staff release the approved message. A draft must not become a sent request merely because its list is complete.

For the acceptance case, mark a document received after the first draft. Require the next version to remove it from the missing list. Add a duplicate with a different filename and require review instead of another demand for the same item.

Use the [client portal entry guide](/articles/tax-practice-website-client-portal-link) for the public access page. Keep this function's document-handling permissions in the practice's internal security process.

## Third function: stage a notice-review handoff

Have the notice-intake owner direct a packet from approved intake fields and document references. Require the issuing authority, notice identifier, entity, period, stated amount, printed dates, pages received, and engagement-scope status.

Label client statements as client statements. Copy a printed date only from the controlled record. Do not ask the model to calculate a response deadline, determine liability, select a tax position, or promise representation.

A qualified professional checks authenticity, authority, relevant dates, engagement scope, and next action. The administrator checks that the assigned reviewer can open the approved source material. Keep authority contact and notice response outside the function.

Test an incomplete notice with a missing page and conflicting entity details. The packet should name the omissions and stop. A polished response letter is a failed result because the requested job was a handoff for professional review.

## Own the instructions and accepted corrections

Keep approved checklists, organizer versions, source registers, permissions, corrections, and run receipts under the practice's control. Preserve the accounting and tax systems as authoritative for their respective records.

Apply 10/80/10 as a division of responsibility. A person defines the task, the function prepares the middle, and a person checks the result. These shares are a working method, rather than a promised amount of staff time.

Record corrections with the client, entity, period, source, and approving professional. A decision about one client's treatment must not become a general practice rule without separate review. Keep a short runbook that another authorized employee can follow.

## Put a cost stop on each function

Set separate monthly and per-run allowances for close packets, document requests, and notice handoffs. Name the budget owner and alert recipient. Limit document volume and retries before processing starts.

Require a remaining-budget check before each paid call. Write a receipt with the job reference, input versions, approved model used, result, and cost. Keep model names in internal settings and test any replacement against the same data and approval rules.

Accept the function only after testing missing sources, wrong entity, wrong year, changed recipient, prohibited write access, repeated job, and exhausted budget. Have practice staff run the complete fixture and explain each blocked case.

Bring the selected preparation task to Scale With Search. Read [AI systems](/ai-systems), then send the source list and approval owner through the [written scope form](/work).
