# Give AI your SOPs and equipment records so plant paperwork starts from your process.

You ask an AI assistant to draft a maintenance schedule. It returns generic advice about "regular inspections" and "preventive maintenance windows."

It does not know that your line runs 24/7 except the third Sunday of each month. It does not know that Machine 4 needs calibration every 500 cycles. It does not know your vendor lead times or the tolerances for part 7821.

The assistant is not the problem. It has no memory of your plant. This page shows how to give it one: a maintained file with your equipment, processes, vendors, and standards.

## What a plant needs the assistant to know

Manufacturing runs on process. You have SOPs for setup, changeover, quality checks, and shutdown. You have documented equipment specs, service schedules, vendor lists, and safety protocols.

When you ask for help, the assistant must refer to your processes, not textbook best practice. It needs these facts:

- your production schedule and shift handoff steps;
- which vendors supply which materials, and at what lead time;
- service intervals and calibration requirements per machine;
- quality standards for each product line;
- safety protocols for each work area;
- whom to call when a machine goes down or a part is out of spec.

Today every conversation starts from zero. You explain the context, paste the specs again, and describe the process flow. The assistant answers. You close the chat, and the context is gone. The next production question starts over.

## How a context file gives the assistant memory

The memory is a file, not a feature. One Markdown file holds what the assistant needs about your operation: equipment specs, vendor details, production schedules, quality standards, safety protocols, and service intervals.

In Claude Code, that file is `CLAUDE.md`. Claude Code reads it at the start of each session in the plant folder. You write it once and edit it when the process changes.

The file sits in a folder on your computer, such as an Obsidian vault. It is plain Markdown in no proprietary format. The model runs on the provider's servers, so the text Claude reads goes to the provider during a session. Decide what enters the file with that in mind.

With the file in place, the requests change:

- Ask for a changeover checklist, and it refers to your machines and setup times.
- Ask for a maintenance report, and it pulls your service intervals and last service dates.
- Ask for help with a quality issue, and it knows your tolerances, inspection steps, and escalation contacts.

Update the file when a process changes, when new equipment arrives, or when an SOP is revised. The assistant reads the current version every session.

## What goes in a manufacturing context file

The file does not need to be complete on day one. Start with what matters most:

## Six plant jobs the file supports

### Production schedules

You plan next week's run. The assistant knows the order backlog, machine capacity, shift schedules, and changeover times. It drafts a schedule around service windows and material availability. You review, adjust, and publish it.

### Maintenance work orders

Machine 3 is due for calibration. The assistant knows the procedure, the tools, the expected downtime, and who is certified to do the work. It drafts the work order with those details filled in. You do not search binders or spreadsheets.

### Purchase requests

Part 4502 runs low. The assistant knows the vendor, the typical lead time, the reorder quantity, and the last unit price. It drafts the purchase request. You check the price and send it.

### Quality documentation

A batch fails inspection. The assistant knows your standards, inspection criteria, and rework steps. It helps you document the issue, list root cause candidates from your process specs, and draft the corrective action report. The quality manager decides the disposition and the root cause.

### Safety protocol updates

An OSHA rule changes, and your safety procedures must follow. The assistant knows your current protocols, the affected work areas, and the training requirements. It drafts the updated SOP from the rule text you supply and lists which employees need retraining. The safety manager approves the SOP before it replaces the controlled version.

### Shift handoff reports

Second shift needs to know what first shift finished. The assistant knows your handoff template, production targets, and open issues. It drafts the report from the day's notes. The shift lead reviews it and passes it on.

## Why an ERP chatbot is not the same thing

Your ERP vendor probably added an AI chatbot. It answers questions about the software. It does not know your operation.

It cannot draft a maintenance schedule around your equipment faults. It cannot write a vendor email that refers to past orders and prices. It cannot help with a quality issue from your process flow. It is a help desk for the software, not an operations assistant.

A context file gives the assistant operational memory: your machines, vendors, processes, and team. It works across scheduling, documentation, communication, and troubleshooting. The file stays yours if you change tools. Claude Code itself needs a paid Claude plan.

## Keep controlled and restricted data under control

A draft from the assistant is not a controlled document. Your document control process still decides which SOP, drawing, or specification is current. Point the context file at controlled copies and mark them read-only for the assistant.

Customer drawings and specifications can carry contract limits. Export-controlled technical data, such as ITAR or EAR items, stays away from any AI provider. Only your export compliance officer can approve an exception. When in doubt, keep the data out and reference it by document number.

Safety-critical steps stay with qualified people. The assistant can draft a lockout/tagout checklist from the controlled SOP. It does not decide whether a machine is safe to work on. ## Test the file before daily use

1. Start a new Claude Code session in the plant folder.
2. Ask when Machine 4 next needs calibration, given a cycle count you supply.
3. Ask for the lead time on part 4502, and compare it with the vendor file.
4. Ask for the tolerances on part 7821, and compare them with the controlled spec.
5. Ask for a changeover checklist, and check it against the current SOP revision.

## Who this setup fits

This setup fits a plant manager who needs better production plans and an operations director who wants consistent documentation. It also fits a quality manager who needs faster root cause work and a maintenance supervisor who tracks equipment schedules.

## Approval and stopping boundary

The assistant drafts schedules, work orders, purchase requests, quality reports, SOP revisions, and handoff notes. The owner of each record approves it: planning, maintenance, purchasing, quality, or safety. The assistant does not release production, accept a nonconformance, place an order, or replace a controlled document. When the file conflicts with a controlled document, the controlled document wins, and you correct the file.
