# Draft commercial carrier submissions and renewals from current appetite files.

You represent eight carriers. Each has its own underwriting guidelines, commission structure, renewal steps, and claims process. One carrier considers restaurant property risks that another excludes. Commercial auto requirements differ by carrier and operation; your current appetite files must show those limits.

You ask Claude to draft a commercial submission. It does not know the current appetite version, the excluded operations, or the required attachments. You spend ten minutes on carrier background before you get useful output.

This page focuses on commercial carrier appetites, submission formats, and renewals. Keep the current guidelines beside the draft, and have a licensed agent check every eligibility and coverage statement. The agency file supplements the AMS; it does not bind coverage.

## Why general insurance answers fall short

You quote commercial property coverage for a restaurant client. You ask ChatGPT to help structure the proposal. It suggests coverage options your carriers do not offer. It recommends limits that do not match your state's requirements. It writes generic insurance language that does not sound like you.

The assistant understands insurance. It does not understand your agency: which carriers you represent, which products you sell, which markets you serve, and which clients renew this month.

Your agency management system (AMS) stores policy data, but it does not give an AI assistant that data in a usable form. Claude Projects needs manual context for each project. ChatGPT memory may note that you "work in insurance." It will not keep that you hold a Safeco appointment for personal lines but not commercial. It will not keep that your commercial auto book centers on contractors and transportation.

## What your agency context file contains

In Claude Code, the file is `CLAUDE.md`. Claude Code reads it at the start of each session in your agency folder. The file is plain Markdown on your computer. The model runs on the provider's servers, so the text Claude reads goes to the provider during a session.

The file holds five kinds of records.

**Carrier relationships.** The carriers you represent, your product line appointments, commission structures, underwriting contacts, appetite guidelines, and submission steps. When you place a risk, Claude knows which carriers to consider and which to skip.

**Book structure.** Client segments, premium volume by line, renewal distribution across the year, retention rates, and cross-sell gaps. Record these as summaries, not as client lists.

**Licensing and compliance.** Every state where you hold a license, with its continuing education (CE) deadlines and appointment renewals. Your errors and omissions (E&O) coverage details and regulatory filings go here too.

**Procedures and templates.** How you handle renewals, claims support, policy changes, and new business intake. Every producer then gets the same answer.

**Carrier documentation rules.** What each carrier wants in a commercial submission. You stop checking submission guidelines each time.

Record carrier habits as your own observations with a date. An underwriter's preference can change when the underwriter changes.

## Daily work with the file

For individual claim explanations and client messages, use [AI for insurance agents](/articles/ai-for-insurance-agents). Carrier procedures and policy wording need their own source review. This commercial workflow starts with the submission requirements and the dated renewal export.

It is renewal season. You ask for all commercial policies that renew in the next 60 days. Claude reads the renewal export and returns dates and notes on accounts that need attention. One contractor's experience modification rate (EMR) dropped. One retailer added a location mid-term.

### Proposals that know your carriers

You quote a package policy for a small manufacturer. You ask Claude to compare options from two of your carriers for this risk profile. Claude knows both carriers' appetites, their typical pricing for manufacturing risks, their coverage differences, and your commission with each.

The draft includes coverage comparisons, limits that fit the client's operations, and a note on which carrier offers better loss control service. You do not copy last year's proposal and change the client name. Check every coverage statement against the carrier's current forms before you send.

## Cross-sell from your own book

Generic advice says to cross-sell more. That advice is useless without the facts of your book.

With the file, Claude finds patterns in your book summary. For example: 40 commercial auto clients, but only 12 carry umbrella policies. Or: homeowners clients in one ZIP code may be underinsured after recent construction cost increases.

You ask which clients to contact about umbrella coverage. Claude reads the export and lists accounts by policy limits, assets at risk, and claims history. The outreach targets real coverage gaps.

## Submissions in each carrier's preferred form

Every carrier has preferences, and your notes record them. When you submit a risk, Claude frames the submission the way that carrier's underwriter prefers.

You ask for a submission email for a contractor risk to CARRIER-A. Claude knows from your notes that this carrier writes a lot of contractor business and values safety program documentation. It knows the underwriter answers concise emails with attachments faster than long explanations in the body. The email follows the pattern that has worked with that carrier before.

### A synthetic carrier submission

This carrier, risk, appetite, and submission are invented. They do not describe an actual carrier's eligibility or coverage.

Ask for an email with the operations summary first and an attachment checklist. A synthetic draft:

The draft says the risk appears within the recorded appetite, subject to underwriter review. Missing loss runs stay marked missing; an attachment list is not proof the documents exist.

Pass: the fresh-session draft cites version 4, preserves the excluded operations, and requests missing documents. Add tree removal to the risk and rerun. Pass: it flags the exclusion and stops the submission for agent review. Fail: it removes that fact or calls the risk eligible. Replace the appetite file with version 5 and retire version 4. The next draft must read version 5 and flag any changed rule.

A licensed agent checks current carrier guidelines and actual risk details before submission. An underwriter's acceptance and issued policy control; an AI draft grants no coverage.

### Compliance across jurisdictions

You hold licenses in four states. Each has different CE requirements, appointment steps, and regulatory details. Manual tracking means spreadsheets and calendar reminders that you can miss.

Your file records every obligation. Ask for a compliance check, and Claude can report that your North Carolina CE deadline is 45 days away and you are 8 hours short. It can report that your E&O policy renews next month and the carrier needs current revenue figures. You meet requirements before they become emergencies.

## New producer onboarding

A new producer must learn your carriers, procedures, markets, and systems. The usual path is weeks of shadowing, manual reading, and repeated questions.

With the file, the producer asks Claude:

- What is our procedure for binding commercial property?
- Which carrier fits a landscaping contractor?
- How do we handle mid-term changes?

## The difference from your agency management system

Your AMS, such as Applied Epic, Vertafore, or HawkSoft, tracks premiums, renewals, commissions, and clients. It does not hold the working knowledge around them.

The context file does not replace the AMS. It stores what the AMS does not capture: carrier relationship notes, underwriter preferences, market position, templates, and priorities. The AMS says that a policy renews March 15. The file tells Claude why that account matters, which coverage concerns the client raised, which carrier alternatives exist, and how you handled past renewals.

The AMS handles transactions. The file holds the context for the next decision.

## Keep policyholder data in the AMS

Client names, policy numbers, driver records, claims details, and financial information are nonpublic personal information. The Gramm-Leach-Bliley Act applies. By August 2025, 28 of the 56 NAIC member jurisdictions had adopted the NAIC Insurance Data Security Model Law. Keep those records in the AMS.

When a job needs account data, export only the fields that the job needs, such as a policy ID, line, and renewal date. Remember that any text Claude reads goes to the provider. Check the provider's data terms for your plan and record the result before you use real exports. ## Set up the file in a few hours

You already know this information: your carriers, your book, your renewal and claims steps, and what your clients care about. Setup writes it down in a structured folder.

Start with the carrier list with appointments and contacts. Add agency procedures for common tasks, the book summary, and the compliance calendar. Update the folder when something changes: a new appointment, a revised procedure, or a new compliance requirement. The files cost nothing to keep. Claude Code needs a paid Claude plan. Obsidian or any text editor handles the files.

## Test the file before client work

1. Start a new Claude Code session in the agency folder.
2. Ask which carrier fits a landscaping contractor, and compare the answer with the appetite files.
3. Ask for the steps to bind commercial property, and compare them with the procedure file.
4. Ask for your next CE deadline, and check it against the state record.
5. Search the folder for client names or policy numbers outside the exports folder, and remove each one.

The test passes when every answer matches your records and no policyholder data sits in the root file.

## Approval and stopping boundary

The assistant drafts proposals, submissions, renewal lists, and client explanations. A licensed agent approves every coverage statement, quote, and client message.
