# Give AI your property details so guest replies are accurate and on brand.

A guest emails three questions. What is your pet policy? Which room suits an anniversary weekend? Can you handle a gluten-free breakfast?

You ask an AI assistant to draft the reply. It returns generic hotel language about "checking availability" and "guest services."

You wanted a reply that states your actual pet fee structure. You wanted it to name the king suite with the balcony view, the room couples ask for. You wanted it to confirm the chef's gluten-free menu options.

The assistant does not know your property. It does not know your brand voice, amenities, vendors, or guest patterns. Every reply needs manual edits before it sounds like your staff wrote it. This page shows how to give the assistant the same property knowledge your front desk manager has.

## Why hospitality replies need property context

Run a hotel, resort, bed and breakfast, or event venue for a month, and a pattern appears. You answer the same questions with the same facts, adjusted for each guest.

The topics repeat: room types and rates, amenity details, pet policy, and parking. Local recommendations, dietary accommodations, event capacity, and vendor contacts for weddings and conferences repeat too.

You do not create new information. You apply known details to each guest's situation:

- A guest inquiry needs your room options, rates, and availability patterns.
- An event proposal needs venue capacity, catering options, and the AV equipment list.
- A pre-arrival email needs check-in steps, parking details, and local recommendations.
- A review response needs your service recovery protocol and brand voice.

A general assistant treats every property the same. It cannot tell a 200-room chain hotel from a boutique inn with six suites. With a property file, it refers to your amenities, policies, and vendors, and the reply sounds like your staff.

## How CLAUDE.md holds your property record

`CLAUDE.md` is a Markdown file in your Obsidian vault or any folder you control. Claude Code reads it at the start of every session in that folder. The model runs on the provider's servers, so the text Claude reads goes to the provider during a session. Retention and training terms depend on your plan, and Claude Code needs a paid Claude plan or an Anthropic API account.

Think of the file as your property manual for the assistant. A hospitality file has six sections:

Keep the root file short and point to detail files, such as `rooms.md` or `events.md`. The assistant then reads the room details only when a reply needs them.

## Four guest replies the file improves

### An anniversary inquiry

You ask Claude to draft a reply to the anniversary inquiry. A general assistant writes about "romantic getaways" and "special occasions."

With the property file, Claude names the king suite with the balcony, your most requested room for couples. It mentions the complimentary champagne that comes with anniversary bookings. It suggests the Italian restaurant two blocks away that guests ask about, and it states your weekend rate from the rate file.

The reply fits the property and the guest's request.

### A corporate retreat proposal

You ask Claude for a proposal: 40 people, a two-day offsite. A general assistant asks you for venue capacity and catering options.

With the file, Claude knows that your conference room holds 50 theater-style. It knows your preferred caterer, with menu options and prices, your AV list, and breakout room availability. It drafts a proposal with correct logistics and prices. You review and send.

### A pre-arrival email

You ask for a pre-arrival email for a family that arrives Friday: two kids, first stay. A general assistant writes standard check-in steps.

With the file, Claude includes your check-in time, the parking lot location, and gate instructions. It mentions the heated pool and the breakfast buffet hours, with a note about the pancake bar that kids like. It adds directions from the interstate with landmarks. The family arrives with the facts it needs.

### A review response

You ask for a reply to a 3-star review about slow check-in. A general assistant writes defensive corporate language.

With the file, Claude follows your service recovery protocol:

1. Acknowledge the specific issue: the wait time.
2. Explain the context: a weekend arrival surge.
3. Describe the fix: a new staffing pattern.
4. Offer a future incentive: 20% off the next stay.

## Why accurate details matter more than tone

Hospitality messages are dense with operational facts: room features, amenity hours, policy exceptions, vendor contacts, directions, and dietary options.

One wrong detail creates a service failure. The reply says the pool is heated, and it is not. It says breakfast starts at 6:30, and it starts at 7:00. It confirms a pet-friendly room when only certain floors allow animals.

A general assistant fills gaps with assumptions, and assumptions become complaints. With a property file, the pool hours in the reply are your pool hours. The pet policy is your pet policy. The room features exist in the rooms.

## Build the property file in one afternoon

You already know every fact. Setup is a documentation job.

1. Start with property basics: room types with features and rates, amenity hours, and policies for pets, cancellation, check-in and check-out, and extra guests.
2. Add brand voice standards. Collect your best guest emails and write down the patterns: formal or casual, warm or reserved.
3. Add vendor relationships: catering, maintenance, local partners, and preferred transport.
4. Add operations: booking system notes, seasonal patterns, event capabilities, and staff roles.

Update the file when something changes: a room renovation, new amenity hours, or a new vendor. Claude Code reads the file from source every time, so the next session sees the change.

## Keep guest data and live rates in their systems

The property file holds rules and descriptions. Guest names, contact details, stay history, and payment data belong in your property management system. Draft replies in the assistant and add the guest's personal details in the system that sends the message. Rates and availability change daily. Record the rate structure in the file. Add one rule: confirm the rate in the booking system before you quote. Check every quoted rate and date before you send.

Dietary and allergy statements carry health risk. Record only what the kitchen has approved, with the date and the chef's name as source. If a guest asks about an allergy the file does not cover, the reply says that the kitchen will confirm.

## What the file supports beyond guest email

With the property file in place, Claude can help with more tasks:

- guest communication: inquiry replies, confirmations, pre-arrival emails, post-stay follow-ups;
- events: proposals, timelines, vendor coordination emails;
- marketing: property descriptions, package promotions, seasonal campaigns, social posts;
- staff resources: training materials, protocol documents, guest service scripts;
- review management: response templates and feedback analysis;
- local partnerships: restaurant collaboration emails and attraction packages;
- operations: policy updates, procedure guides, emergency protocols.

The file does not replace hospitality skill. It removes the repeated explanation.

## Why one record keeps every channel consistent

Guest experience accumulates. Every email, call, and confirmation either supports or weakens your brand.

When staff give different answers, guests notice. When the website says one thing and the confirmation email says another, trust erodes. With one property file, the pet policy in the inquiry reply matches the website and the confirmation. The restaurant recommendations stay current across every message.

## Test the file before a busy weekend

1. Start a new Claude Code session in the property folder.
2. Ask for a reply to a pet inquiry.
3. Compare the pet fee and floor rules in the draft with the policy file.
4. Ask for the breakfast hours and the pool temperature policy.
5. Change one amenity hour in the file, start a new session, and confirm that the next reply uses the new hour.

The test passes when every stated fact matches the file and the edited hour appears in the next draft.

## Approval and stopping boundary

The assistant drafts replies, proposals, and review responses. A staff member confirms rates, availability, and dietary statements, then sends. The assistant does not book rooms, charge cards, post reviews, or change the booking system. When the file and the booking system disagree, the booking system controls until you correct the file.
