# Plan gym workouts and shift coverage from equipment and certification records.

You run a CrossFit box with 200 members. Each member has different mobility limits, injury history, and goals. You know that one member cannot do overhead squats after shoulder surgery. You know that another needs scaled box jumps because of a knee. When you ask Claude to write a workout, it knows none of this.

You explain your floor layout, equipment, and class format again and again. A workout draft uses racks that are already booked. A coverage suggestion names a coach without the required certification. A fresh chat does not keep those operating records.

This page focuses on workout planning, available equipment, and certified shift coverage. Keep the operating record current, check each proposed workout with a coach, and verify coverage before changing the schedule.

## Why generic fitness advice fails

You ask ChatGPT to help plan next month's programming. It suggests movements that need equipment you do not have. It recommends class formats that do not fit your schedule. It writes social posts that sound like every other gym.

The assistant knows fitness in general. It does not know your facility: your equipment list, member mix, coaching philosophy, and brand voice.

Claude Projects can hold uploaded files, but that copy of your operations manual is one more place to keep current. ChatGPT memory may keep a vague fact such as "owns a gym." It does not reliably keep which certifications your staff hold or when your peak classes run.

Neither feature gives you a dated operations record that you edit in one place and test.

## What your gym context file contains

In Claude Code, the file is `CLAUDE.md`. Claude Code reads it at the start of each session in your gym folder. The file is plain Markdown and stays on your computer. The model runs on the provider's servers, so the text Claude reads goes to the provider during a session. Retention and training terms depend on your plan.

The file holds six kinds of records.

**Programming patterns.** Common scaling options, accommodation categories, progression models, and benchmark workout standards. When you ask for a workout, Claude knows which movements your members handle and which need a scaled option.

**Class schedule.** Time slots, instructor assignments, attendance patterns, capacity limits, and seasonal changes. The assistant knows that Wednesday at 6 p.m. is always full and that Friday morning needs a promotion.

**Equipment inventory.** Quantities, service schedules, replacement dates, vendor contacts, and usage notes. Claude knows that you have three rowers, that one squeaks, and that its warranty ends in March.

**Instructor certifications.** CPR renewal dates, continuing education credits, coaching strengths, and schedule preferences. When you need coverage, Claude knows who may teach which class.

**Campaign history.** What worked, what failed, seasonal patterns, acquisition cost per member, and retention rates. The assistant suggests promotions from your results, not from generic gym tactics.

**Retention records.** Cancellation reasons, re-engagement tactics that worked, referral patterns, and event attendance. Claude helps you spot churn risk early.

## Keep member health details out of the file

Injury history and surgery notes are health information. Do not record a member's name next to a condition in the context file. Record accommodation categories instead, such as "shoulder-limited." Keep the link between a member and a category in your member management system, where access is controlled.

## Daily operations with the file

Monday morning. You plan the week. Ask for a Thursday 2 p.m. workout scaled for an older-member group.

Claude checks the equipment calendar: the squat racks are booked for physical therapy from 1 p.m. to 4 p.m. Its draft avoids those racks and includes the coach-approved scaling categories. For an evening class, check the booking at that class time; an afternoon reservation does not make the racks unavailable all day.

An instructor calls out sick. You ask who can cover the 6 a.m. spin class. Claude checks the certification list, finds the spin-certified coaches, notes their usual availability, and names two options.

You plan a New Year's promotion. You ask what worked for January sign-ups last year. Claude reads your campaign results, names the channels that brought the most sign-ups, and gives the cost per acquisition you recorded. It then recommends changes from those results.

## Programming that fits your members

You cannot run one workout at a powerlifting gym, a yoga studio, and a senior fitness center. Members have different needs, limits, and goals.

With the file, Claude knows your population. The beginner class needs a longer warm-up and more coaching cues. The competitive athletes respond well to benchmark retests. The lunch class needs extra mobility work.

You ask for a four-week strength cycle for the evening classes. Claude considers skill levels, equipment, class length, and recent programming. The cycle fits your facility and is not a template from the internet.

Scaling options appear without a request, because the file lists the accommodation categories each class needs.

## Marketing in your brand voice

Without context, an Instagram caption comes back as generic motivation: "Push harder. No excuses." That line does not fit a gym that sells community and long-term health.

Your file stores your brand rules, message pillars, audience, and examples of posts that performed well. Claude writes in your voice because the voice is on the page. You ask for next week's newsletter. Claude pulls recent class highlights, upcoming events, and fitness tips that match your coaching philosophy. Member milestones go in only with the member's consent.

## Equipment service before breakdowns

Treadmill 3 starts to make noise. You ask Claude for its service history. It returns the last service date, the vendor, the replaced part, and the warranty end date.

You do not search email receipts or paper records. The facts are in the service log because you logged them once.

Ask for a weekly operations brief, and Claude flags every machine that is due for service by your schedule. You fix equipment before it fails, not after a member reports a problem.

## Keep retention campaigns in their own workflow

The attendance export remains in your member system until an approved job needs it. Keep member health details out of campaign files. Here the primary checks are whether the workout fits the equipment booking and whether the proposed cover coach has the current certification.

## Set up the file in one afternoon

You already have this information. It sits in your gym software, spreadsheets, and phone notes. Setup moves it into one structured folder with a short root file.

Add the class schedule, certifications, equipment list, marketing calendar, and programming philosophy. Claude Code then reads them in every session.

The files are yours and cost nothing to keep. Claude Code needs a paid Claude plan or an Anthropic API account.

## Test the file before you rely on it

1. Start a new Claude Code session in the gym folder.
2. Ask for a Thursday 2 p.m. workout, during the rack booking.
3. Check the workout time against the rack booking. Pass: during Thursday's 1 p.m. to 4 p.m. booking, it uses other equipment and coach-approved scaled options. Fail: it assigns those racks while they are unavailable.
4. Ask who can cover a spin class. Pass: each proposed coach has a current spin certification and availability in the source records. Fail: an expired or missing certification is treated as current. The manager confirms coverage before booking.
5. Search the file for any member name next to a health condition, and remove each one.

The test passes when the workout fits the equipment calendar, the coverage answer matches the list, and no member health detail appears in the file.

## Approval and stopping boundary

The assistant drafts workouts, coverage options, newsletters, and campaign plans. A coach approves every workout before class. You approve every post and email before it goes out. The assistant does not message members, change bookings, or edit the member system. When the file and the gym software disagree, the software controls until you correct the file.
