# Keep one context file per client so AI drafts know who each client is.

"Draft a follow-up to John about Q2."

The AI replies: "Who is John? What is Q2 about?"

You have described John three times this month. The AI has no record of it. Every chat starts from zero, so you explain the client, the project, and the history again. The assistant that should save time costs time.

A chat tool does not reliably keep client details between sessions. It does not know that John owns a three-location veterinary clinic, prefers morning calls, and needs content for each location.

A client context file fixes this. One file per client holds the name, company, scope, preferences, and history. The AI reads it before any task for that client. Then "follow-up to John about Q2" is enough.

## What client management looks like with context

Give the AI one Markdown file per client relationship, and it becomes client-aware. Each file stores five things:

- basic information: name, company, role, and contact channel;
- project scope: current work, timeline, and deliverables;
- communication preferences: email or calls, response time, meeting times;
- history: past projects, decisions, and what worked;
- notes: goals, pain points, and details worth keeping.

When you ask the AI to draft an email, plan a call, or summarize project status, it has the client's context. No "who is this?" and no briefing.

## Write the five sections

The example below is fictional. Replace every value with your own client's facts.

Start with the basics: who the client is and what you do for them.

Add the communication preferences: how the client likes to work with you.

Document the scope: what you deliver and when.

Track the history: past results, past mistakes, and the reasons for decisions.

Add notes: facts that do not fit elsewhere but shape the work.

## Set it up

Create one file per client, such as `client-john-martinez.md`, with the five sections:

1. Client information: name, company, contact channel, project basics.
2. Communication preferences: how they work and what they expect.
3. Project scope: deliverables, topics, and exclusions.
4. History: a dated timeline of work, with what worked and what did not.
5. Notes: anything else that shapes the work.

Save the files in an Obsidian vault or any folder. In Claude Code, add a line to the root `CLAUDE.md` that tells it to read the matching client file when a task names a client. Keep each client in its own file, and load only the client the task names. Before, without a client file:

No back-and-forth. The AI knew the client, the scope, and the style. You still read the draft before it goes out.

## What the file fixes and what it does not

The file stops four repeats. You no longer explain the client in each chat. You no longer forget preferences, because the communication rules are written down. Client email stops sounding generic, because the AI knows the relationship and its history. You no longer ask yourself what was decided last month, because the history section records it.

The file has limits. It does not track deadlines; you still need a project management tool. It does not update itself; when the scope changes, you edit the file. It does not replace meeting notes; it holds the reference facts, not the transcript. ## Onboard a new client in fifteen minutes

A new client file does not need a full history on day one. Build it from the documents you already have.

1. Copy the five-section template into a new file named after the client.
2. Fill the client information from the signed agreement: company, contact, start date, and a pointer to the contract file.
3. Fill the scope from the statement of work. Copy the deliverables list word for word, so the assistant never invents a deliverable.
4. Fill the communication preferences from the kickoff call. If you did not ask, ask in the first email: preferred channel, best time for calls, and how much detail they want.
5. Leave the history section with one dated line: "Onboarded; kickoff call on [date]."

The notes section stays empty until something worth noting happens. A file that starts small and grows is easier to trust than a file that starts full of guesses.

## Test the file with three questions

Run this check in a fresh session before you draft anything the client will see.

1. Ask "What do we deliver for John each month?" Pass: the answer matches the scope section line by line. Fail: it adds a deliverable, drops one, or gives a generic list.
2. Ask "When can I call John?" Pass: mornings, 8 to 10 a.m. Eastern. Fail: a generic suggestion.
3. Ask "What did we decide in January?" Pass: the answer cites the January history entry. Fail: it paraphrases or invents.

A fail on the first question is the one to fix first, because a wrong deliverable in a client email costs trust. Copy the scope wording again, and run the question again.

## Keep personal details minimal

A client file holds facts about real people. Store what the work needs and nothing more. Business contact channels belong in the file. Home addresses, health details, and private remarks about family members do not. ## Keep the file accurate

A stale client file is worse than none, because the AI states old facts with confidence. Update the file after any meeting that changes scope, dates, or preferences. Add a `last_verified` date at the top, and check it before a task that goes to the client.

Most people cannot hold ten or more client relationships in full detail. Names blur, preferences slip, and last month's decision fades. The client file carries that load for you and for the AI.
