# How to set AI spend limits, alerts, and cost per task

Give each AI function a monthly allowance, a per-run ceiling, and a check before every paid step. Route warnings to someone who can act. Record actual charges and unresolved costs in each run receipt.

An owner should be able to answer three questions: Can this job start? Why did it stop? What did an accepted result cost? Specify those answers before building the function.

This article covers the controls inside one recurring job. For the wider account and approval structure, start with [the small-business governance guide](/articles/ai-agent-governance-guide-small-business).

## Define the task and the accepted result

Write the job in one sentence. For example: prepare a weekly account summary from approved records and save a draft for review. Name the required inputs, output location, and person who accepts it.

Choose one unit for reporting cost. A weekly summary is one task even if preparation needs several paid requests. Treat a retry as another attempt within that task. Give a deliberate rerun its own identifier and a link to the earlier job.

Define acceptance separately from completion. A saved file may still contain an unsupported claim or a wrong total. Require the checks that make the draft usable before counting it as accepted work.

Keep failed, blocked, and abandoned tasks visible. These states explain spending that did not produce an accepted output. They should stay in the reporting period even when a later attempt succeeds.

## Set limits at more than one level

Specify a monthly allowance for the function and a smaller ceiling for one run. Add a ceiling for each paid step. Decide how many attempts the function may make before it must pause.

The monthly allowance defines the approved workload's spending boundary. The run ceiling contains an unusual job. The step ceiling prevents one request from consuming the whole run allowance.

Choose limits from measured trial work and the owner's willingness to spend. Do not borrow an amount from an unrelated function. Record who approved each limit and when it next receives review.

Keep an account-level control as a further boundary. Check the account documentation before relying on it. The documentation reviewed here distinguishes alerts from enforced limits and warns that enforcement can lag. [Vendor spend controls, checked 2026.10.26](https://developers.openai.com/api/docs/guides/spend-limits)

Therefore, require the function's own permission check before it initiates another paid step. Test that check directly.

## Make the next request affordable before starting it

Have the builder estimate a conservative maximum charge for the next request. Include the permitted input, maximum output, and any separately billed tools within scope.

The pricing page checked for this article lists distinct input and output rates and separate charges for some tools. A single model rate does not describe every possible billable component. [Vendor pricing schedule, checked 2026.10.26](https://developers.openai.com/api/docs/pricing)

Keep the applicable rate schedule with an effective date and account reference. Require an update procedure when the vendor changes pricing. Do not have the model invent a rate from memory.

Before starting, reserve enough allowance for the proposed step. If the estimate exceeds the remaining allowance, pause the run. If a tool has an unknown or unbounded charge, exclude it until the owner accepts a controlled alternative.

A reservation is your internal planning record. Keep it distinct from a confirmed vendor charge.

## Handle simultaneous jobs with one shared budget record

If several jobs use the same function allowance, require one shared record of available, reserved, and confirmed amounts. Ask the builder to make the permission check and reservation one indivisible operation.

Otherwise, do not accept a demonstration that runs only one job at a time. Create a test where two jobs request the last available allowance together. Require evidence showing which job received permission and which one paused.

Give each reservation a unique identifier. Connect it to the request and the run receipt. After the confirmed charge arrives, settle the reservation against that charge and return any unused allowance.

If the final charge is unknown, mark the reservation unresolved. Require investigation before releasing it for another job. Document how the system recovers after a crash or a lost response.

These controls belong in the working function. A sentence asking the AI to stay within budget is insufficient acceptance evidence.

## Put limits on retries and fallback behavior

Write separate rules for a failed request, rejected output, unavailable model, and exhausted budget. Do not let all four become an instruction to try again.

Allow retries only within the remaining run and function allowances. Record each attempt, its reason, its selected model, and its known cost. Include any retry behavior built into the connected software when testing the total attempt count.

If a second model is available, approve it for the same data class and task before using it as a fallback. Apply the same spending check. A fallback must not become a path around the original limit.

If budget exhaustion stops the function, preserve the work already prepared. Give the reviewer a clear partial result and a manual next step. Keep the stopped state until someone with authority makes a recorded decision. Use the [stopping-rule guide](/articles/ai-agent-stopping-rules-examples) to define that decision path.

## Write alerts as assigned work

For each alert, specify its trigger, recipient, backup recipient, expected response, and closing record. Choose warning thresholds that leave time to act before the approved allowance is consumed.

Use different messages for different problems. A high-spend warning asks the owner to inspect usage. An unknown-cost warning asks for reconciliation. A repeated-failure warning asks someone to investigate the function.

Include the function name, period, current totals, unresolved reservations, and receipt location. Avoid putting customer message bodies or private documents in the alert.

Decide whether the function continues while the alert waits. Document this decision rather than leaving it to whoever notices first. Test an absent primary recipient so the team knows how the backup path works.

## Make the receipt readable without the builder

Use stable field names. Record the run identifier, function, start and finish times, selected model, work status, and acceptance status. Add the rate schedule version, confirmed charge, estimated charge, and unresolved charge state.

Keep confirmed and estimated amounts in separate fields. Never replace an unknown amount with zero. A manager should know whether a total is final before using it to compare periods.

Record which source records the function inspected and where it saved the result. Use references instead of copying private input into the receipt. Include a concise reason when the job stops.

The [receipt design guide](/articles/receipt-is-part-of-the-output) explains how to connect the artifact, checks, and review decision. The cost fields extend that evidence to spending.

## Calculate cost per accepted task honestly

For a closed period, divide the function's attributed charges by the number of accepted tasks. Include charges from failed attempts in the numerator. Show unresolved charges separately until reconciled.

If the accepted count is zero, display no accepted tasks and the period's spending. If some tasks still await review, label the measure provisional. Keep the definition consistent when comparing periods.

Show direct model charges, other service charges, and any allocated subscription cost separately. State the allocation rule for shared charges. Track human review time beside the financial measure without claiming they are the same thing.

Then test the whole path: normal completion, denied spending, failed retry, simultaneous starts, and unknown final charge. Put the evidence in the handoff record.

Scale With Search includes spending limits and run costs in the method on [the AI systems page](/ai-systems). Bring one function and its required stopping behavior to [the work scope form](/work).
