# Give each client a profile so AI drafts match that client's tools, tone, and deadlines.

It is Monday morning, and you will work for five clients before lunch.

At 9 a.m., you process invoices for the e-commerce client. They use QuickBooks, record shipping in its own category, and need invoices sent by the 5th.

At 10 a.m., you schedule social posts for the real estate agent. She posts at 8 a.m. and 5 p.m., never uses hashtags, and wants Canva templates in her brand colors.

At 11 a.m., you draft a proposal for the consultant. He wants two pages at most, bullet points over paragraphs, and case studies in an appendix.

You ask ChatGPT for help with the proposal. It returns a generic template: no two-page limit, paragraphs instead of bullets, and no appendix. You would have to explain his preferences anyway. Writing it yourself is faster.

## Why a generic model fails a virtual assistant

A virtual assistant does not serve one client. You serve five, eight, or ten businesses at once, and each one differs:

- tools: one uses Asana, another ClickUp, another Trello;
- processes: invoice schedules, communication rules, and approval steps;
- voice: formal or casual, emojis or none, first person or third;
- deadlines: monthly reports on the 1st, check-ins on Friday, quarterly reviews;
- contacts: vendors, contractors, team members, and their clients.

A fresh chat tracks none of it. Each time you need help, you explain which client and how they operate.

"Draft an email to reschedule a meeting. The client prefers calls over email, but Calendly manages the calendar. Pacific time. Keep it short and friendly."

Next client: "Draft an email to reschedule a meeting. This client is formal, wants detailed explanations, and always copies their assistant. Eastern time."

Same task, different execution. A fresh chat has no record of the difference.

## What the model should know

You do not need AI to replace your judgment. You need it to know which client you work for and how that client wants the work done. That takes seven kinds of facts:

- client profiles: business, industry, and time zone;
- communication preferences: email, Slack, or Voxer; formal or casual; expected response time;
- tools and systems: CRM, project tool, and accounting software;
- brand voice: tone, format, and words to use or avoid;
- recurring tasks: invoice dates, report deadlines, and social calendars;
- key contacts: vendors, contractors, and team members;
- procedures: how each client wants specific tasks done.

With those facts, "Draft an invoice reminder for the e-commerce client" produces the right client, software, tone, and due date. "Schedule social posts for the realtor" produces the right times, platforms, colors, and hashtag rule.

## Build a profile for each client

Claude Code reads `CLAUDE.md` from the folder where you start it. Use it for your own standing rules, and keep one folder per client. Each profile has seven parts.

Client directory. Business, industry, time zone, and contract basics such as hours per week and start date.

Communication profile. The channel for each purpose, such as email for formal items, Slack for quick questions, and Voxer for urgent items only. Expected response times, greetings, and sign-offs.

Tools and access. Which tools the client uses: QuickBooks or FreshBooks, Asana or Monday, Gmail or Outlook. The profile names the tool. It never holds a password.

Brand voice. One client wants bullet points and bold headers. Another wants flowing paragraphs. One uses emojis. Another never does.

Recurring tasks. Monthly invoicing for Client A by the 5th. Weekly reports for Client B on Friday afternoon. Posts for Client C at 8 a.m. and 5 p.m.

Key contacts. When you say "email the graphic designer about the logo revisions," Claude knows which client's designer you mean and how to reach them.

Procedures. Client A's invoice process: export from Shopify, import to QuickBooks, email the PDF by the 5th. Client B's proposal process: use the two-page template, add case studies, send as a Google Doc for comments.

## Before and after: a rescheduled meeting

Before, you ask: "Draft an email to reschedule tomorrow's call to next Wednesday at 2 p.m." The model writes a two-line note with "Hi [Name]." It has no tone, no time zone, and no copy line. It is wrong for half your clients.

After, you ask: "Draft an email to reschedule tomorrow's call with CL-04 to next Wednesday at 2 p.m." Claude reads the profile and drafts:

The tone, the copy line, the time zone, and the invite details come from the profile.

## Before and after: a listing post

You ask: "Create a social post about the new listing for the real estate client." Claude reads her profile and drafts a post for Instagram and Facebook at 8 a.m. tomorrow:

The draft describes the home, not the buyer. Phrases about who should live there, such as "perfect for families," can raise fair housing problems in real estate ads. Put that rule in the realtor's profile so every draft follows it.

## Set up the profiles in an afternoon

1. Set up Claude Code, which needs a paid Claude plan or an Anthropic API account.
2. Create a folder you can open in Obsidian, which is free to download.
3. Write `CLAUDE.md` with your own rules: review before send, no passwords in files.
4. Add one folder per client with the seven parts of the profile.
5. Test each profile with one email, one recurring task, and one procedure question.

Plan three to four hours for the first set of clients. When you sign a client, add a folder. When a client changes a preference, update the profile the same day.

## Keep credentials and clients apart

Client logins never go in the files. Use the password manager share each client provides, and let the profile name the tool. The files stay on your computer, but Claude Code sends the text it reads to Anthropic's servers during a session. Retention and training terms depend on your plan. Keep each client in its own folder, and ask for work on one client at a time. A draft for one client then cannot pick up another client's contacts or voice. ## What stays with you

The profiles do not do the work. Claude does not log in to client accounts or send email for you in this setup.

The profiles remove re-explanation. You do not restate which client uses which tool, describe each brand voice again, or list contacts every time you need an address.

You still make the decisions, review everything before it goes out, and manage the client relationships. Once a week, read each active profile for five minutes and remove anything stale. This setup fits a virtual assistant with three to ten clients, an executive assistant who supports several departments, and a freelance administrator with repeat clients.
